How to Prepare a PhD Research Plan/Schedule?

PhD research plan is a structured schedule for completing different objectives and milestones during a given timeframe. Scholars are usually unaware of it. Let us find out how to prepare it. 

Between March 2021 to 2022, I read almost 15 different research proposals from students (for their projects) and only a single one, I found, with a comprehensive research plan for 3 years. Which is still not, kind of practical, probably copied from other students. 

Such entities are not known to over 90% of students, if some know that because their university asked for but unfortunately, this basic procedure lacks penetration among students. I don’t know the exact reason, but students lack a basic understanding of the research process. 

Meaning, that they don’t know or perhaps don’t complete their course work needly. PhD research requires many documents, SOPs and write-ups, before even starting it. For example, a rough research plan, research proposal, initial interview, competence screening, grant proposal and so on. 

However, the requirement varies among universities and thus knowledge regarding basic procedures often also varies among students. So I’m not blaming students but certainly, it is the fault of the university side, as well.  

When you come up with a research proposal with a research schedule or entire plant, certainly it will create a positive image and good reputation. So it is important. But how to prepare it? 

Hey, there I’m Dr Tushar, a PhD tutor and coach. In this article, we will understand how we can prepare a structured plan for the PhD research and how to execute it. 

So let’s get started.  

How to prepare a PhD research plan/schedule?

A PhD research plan or schedule can be prepared using the GANTT chart which includes a month, semester or year-wise planning of the entire PhD research work. 

First, enlist goals and objectives.

It’s not about your research objective enlisted in your proposal. I’m talking about the objectives of your PhD. Take a look at some of the objectives.

Note that these are all the objectives that should be completed during the PhD, but not limited to a specific subject. Note you have to show how you can complete or achieve each objective during the entire tenure of your work. 

And that is what the plan/schedule is all about. Next, explain the time duration. The time required to complete each goal, roughly. For example, a semester or a year to complete the course work or 4 to 8 months for completion of ethical approval. 

Now two things must be known to you, at this point in time. 

  • First, enlist the time required to complete each objective, as aforementioned. 
  • Second, what goals would you complete during each semester?

For instance, course work takes a semester to complete, but during the period a scholar can also craft their PhD research title, research proposal, ethical approval and grant proposals. 

Now it is also crucial to know that there is no time bound to complete goals, but it should be completed as you explained. Let’s say you can plant it for 3 years, 4 or even 5 years depending on the weightage of your work. 

In summary, the answer to the question of how to prepare a research plan is, 

  • Enlist your goals or objectives. 
  • Decide the time required to complete each goal.
  • Prepare a GANTT chart.  

Now you have prepared zero-date planning for your research but how to present it? The answer is a GANTT chart.

GANTT chart is a task manager and graphical presentation of how and how many tasks are completed or should be completed against a given time duration. Take a look at the image below.

How can you prepare one?

Open MS Excel (on Windows) or numbers (on Mac).

Enlist goals or objectives in a column. 

Enlist years (duration of PhD) in a row and bifurcate them into individual semesters. You can also prepare a month-wise plan, that’s totally up to you. In my opinion, semester-wise planning is good because research is a lengthy and time-consuming process. So monthly planning would not work. 

To make a chart more attractive and readable use colors, as I used. Now mark a ‘cell’ against a column and row showing the objective which you are going to complete in a semester. Take a look. 

After the end of this, your GANTT chart would look like this.

Wrapping up: 

Planning and executing a research schedule are two different things. Oftentimes, students just prepare as per the requirements and then do work as per their convenience. Then they are stuck in one place and just work around the time. 

Plan things. Make your own GANTT chart, put it on your work table or stick it on a wall so that you can see it daily. Try to achieve each goal in time. Trust me things will work and you will complete your PhD before anyone else.

It’s no secret the application process can be intimidating. Where do you start? What exactly are schools looking for on your application? What materials do you need to submit? Doctoral candidates and departmental coordinators at the Wharton School have outlined a few tips to help you navigate the process.

Don’t Delay the Process

A successful PhD applicant starts thinking about their application months or even years before the deadlines. For Alejandro Lopez Lira , a third year student in Finance, the application process began a year before he actually submitted the paperwork. He said, “I spoke to my advisors way before, like one year before, about my letters of recommendation, where to apply, everything involved in the process.”

Each program has different requirements, which can make for a tedious process. Karren Knowlton , a third year in Management, said, “I took a little while to draft a personal statement. I had my mom, who teaches creative writing, and a few other people that I trust just read over it. Then you have to tweak it for different schools because they want slightly different things.”

Taking time to prepare your application is critical. Starting the process sooner rather than later gives you several advantages:

  • It allows your letter of recommendation writers enough time in advance to thoughtfully prepare a letter that speaks to who you are as a PhD candidate.
  • It gives you more time to review your materials, fix any errors, and proofread, proofread, proofread.
  • Finally, it means a lot less stress when the deadline starts rapidly approaching. By planning ahead, you’ll have a much smoother process applying.

Get Letters of Recommendation

Prof. Matthew Bidwell , who previously served as the doctoral coordinator for the Management program , said a common mistake he sees are letters of recommendations from employers. Although he said it is impressive to see work experience, having an employer write a letter is not the best choice.

“We don’t pay very much attention to those because rightly or wrongly, we worry that they’re not looking for the kinds of things that we’re looking for,” he said. “If you have one, it’s not a disaster, but when you see people with two or three — most of their recommendations coming from their work — that kind of heightens our concern. You’re committing to a fairly specialized career, do you really know what that career entails?”

Instead, he suggests getting to know an academic who will be able to write a recommendation attesting to your ability to manage doctoral-level research and work.

Include Research/Work Experience in Your Field

Each program has a unique set of criteria to evaluate applicants, but several doctoral coordinators agree that some research and work experience in your field of interest will strengthen your application overall.

Prof. Fernando Ferreira , doctoral coordinator for the Business Economics and Public Policy and Real Estate programs, thinks work experience can be useful in demonstrating an applicant’s abilities. He said, “Any work experience after undergraduate school is important. If that experience is more related to research it’s even better, but work experience in general is always good.”

Prof. Guy David , doctoral coordinator for the Health Care Management & Economics program , thinks that work experience benefits applicants in terms of giving them a broader view of business. “Work experience creates retrospection about how the world works, how organizations make decisions, and how people function in various situations,” he said.

However, he warns that spending too much time away from an academic setting can have its drawbacks too. “It may lead people to start their PhD later when they are not in the habit of immersing themselves in rigorous studies and have a shorter horizons to develop a name for themselves,” he said.

Although having both research and work experience can strengthen your application, you will not be denied entry because you are lacking either.

Prof. Bidwell said, “I think research experience does give us some confidence that people have some idea about what it is that we do. In terms of work experience, I think we don’t have a strong view. We quite like work experience, but we also take people straight out of undergrad.”

Prepare for the Standardized Tests

Most PhD programs require students to take the Graduate Record Examinations (GRE). Having high test scores is a key part of an application as it tests skills learned over the course of many years in school. Quantitative skills are especially important when applying to doctoral programs in business areas. Much like any other standardized test, the GRE requires preparation.

Karren, who took the GRE twice to ensure her scores were high enough, offered advice to those who may be struggling. “I would absolutely recommend practicing the writing beforehand. Look up examples and have your outline structured,” she said. “So much of it is just getting the right structure and how you formulate your arguments so knowing what they’re looking for is key.”

Test prep can be time-consuming, but like anything else, practice makes perfect. There are multiple text books and online sites to help you prepare for the exam. Karren aimed to improve her math scores the second time she took the GRE and recommended this site to help strengthen math skills.

Taking advantage of resources to help you study can limit the number of times you need to take the GRE while ensuring you score high enough to remain in the applicant pool.

A PhD Plan sounds like an oxymoron, but charting a path to graduation is one of the most important things you can do as a graduate student.

This week, we talk with Hugh Kearns of Thinkwell about why PhD planning is so challenging for students, and learn about some tools that can keep your research on track.

Uncharted Territory

We start the conversation by trying to understand why planning is so difficult and so rare for PhDs.

“They’ve never done a PhD so they don’t know what’s coming,” Kearns observes. “And your previous education doesn’t prepare for research.”

He continues, “Research by its nature is uncertain. Things go wrong. And then what happens is people think that ‘Because I don’t know, we just won’t plan anything! We’ll see what happens.'”

But just because you’ve never done a PhD before, and no one has pursued your particular branch of research, that doesn’t mean you can’t plan ahead.

In fact, there are already tools and strategies, adapted from project management in the business world, that will help you set some guide rails around your winding path to a PhD.

Getting Your PhD Plan Backward

Traditional ‘forward’ planning works great for a well-worn process, like building a house. Builders know from experience that you can’t build the walls until you’ve poured the foundation, and you can’t paint until the drywall is installed.

Each of those activities has a reasonably predictable timeline, so you can plan the construction of a home week by week until it’s finished.

But a PhD isn’t quite at prescriptive. Sure, you know you need to do a literature review, but how long does that take? And how long will experiments take?

The fact is, they’ll take as much time as you give them. There’s no definitive ‘finish line’ for a literature review the way there is for a construction project. You just need to decide how long you’re willing to give the review, and stop when it’s ‘good enough.’

That’s why Kearns recommends ‘backward planning’ for PhDs. You start with an end date in mind (usually when the funding runs out) and work back from there.

His book, Planning Your PhD: All the tools and advice you need to finish your PhD in three years , lays out the steps in detail, and provides some worksheets you can use to create a multi-year Thesis Plan .

In fact, he offers those worksheets for free on the website!

Drilling into Detail

With your Thesis Plan in place, you can begin the process of adding more and more detail to the events closest in time.

This ‘rolling plan’ recognizes that you don’t know what you might be doing on Tuesday March 25 at 3PM three years from now, but you CAN decide on some goals over the next six months.

And don’t stress out if those goals shift, or you don’t quite manage to meet them. If you revisit your plan on a regular schedule, you can adjust and adapt.

If you never set the goal, or never look back at what you planned, you’re guaranteed to drift as the months and years pass by.

Kearns shares some other tools, like his ‘To Day’ list that works in conjunction with your ‘To Do’ list to put a time component on your tasks. That way, you slowly make progress toward your goals, rather than watching your list grow more and more unmanageable.

The Paradox of Choice

Finally, we talk about the surprising fact having more options usually means you are less happy and get less done. Weird, right?

It’s the ‘paradox of choice,’ described by Barry Schwartz in his 2004 book of the same name, and this TED Talk .

For graduate students, that manifests as a list of things you need to get done: pour a gel, set up those reactions, manage the lab animals, read three papers, write a section of a review, respond to your PI’s email, and on and on.

And what happens when you have all those things you COULD be doing? You get overwhelmed and go scroll through Instagram instead.

Kearns recommends that you identify ‘The Next Thing’ (or TNT) and work on that. The smaller you make that task, the better!

We’ve learned over the years that PhD students don’t understand the meaning of the word “small”. Because they’ll say, “OK, I know what the task is: I’ll finish my literature review”. But this is still way too big. So now we use the word micro-task. For example, some micro-tasks are: * Add two paragraphs to the discussion section * Add the new data to Table 1 * Read my supervisor’s comments on my draft Planning Your PhD, by Hugh Kearns and Maria Gardiner

Keeping ‘The Next Thing’ manageable prevents your brain from shutting down and giving up.

And if you stack up enough ‘The Next Things’, day after day and week after week, you’ll soon be making measurable progress on your PhD!

There’s so many people that I’ve already approached and address the subject, and while it’s still needs to be addressed and is of great value to younger grad students… There’s something that I have experienced two times in my graduate student career, that I’ve yet to hear any academic institution discuss… What happens, when you are left alone when your advisor dies, and/or commits suicide? I realize this is a very small population of the onions that you speak to, but to those of us that I’ve gone through this, it is absolutely devastating. I’m the first person from my family to go to college, let alone grad school. Trying to finish my PhD was absolutely, not supported the least. When my advisor died it just sent things out of control. So, how do you propose to integrate maybe even in a small portion… However uncomfortable it may be, if a student is to be in such a situation where their advisor dies, And they are not receiving any support by their department which leaves them in even greater shock.. And perhaps I need them selves in limbo for years. This is what happened to me. But I had extenuating circumstances. I fought as hard as I could, While escaping a very unsafe home situation… Essentially, how do you bring up these topics for students for the worst possible case scenario for when things go wrong? Hopefully, they never do reach a point Were you have to learn that your advisor died or that you were advisor completed suicide in one of the parking garages is in your university. If you happen to plan your research out, let’s say perfectly; you have five research papers and you were on track to graduate and you were ready to give your defense And anticipated your graduation to be the next upcoming semester. You did everything right. Your plan worked. You follow the rules. What advice for students would you suggest, to prevent them from essentially falling apart completely? Because at the end of the day they put their entire lives into what they are doing here to finish up and move on with their lives. They put relationships and marriages and children on hold… So what happens when a disaster strikes? I think that should be a topic you might want to touch on in the future. Like I said, might be a small demographic, but I lost 1 advisor suddenly, An excellent professor to suicide, a remarkable and rising star an excellent lab-mate to suicide as well. I think that if we can integrate mental health and just kind of trickle it into conversations more, and dedicate more time to Just discussing it, and just discussing that mental health is as important as physical health… mental health won’t be as stigmatized as it unfortunately still is at this very day. Overall, I’m happy about the topic of this episode and this podcast in general. However, I think there are modern in inclusive pathways and things that Students really need help with especially regarding mental health and support… Especially when the loss of a lame or a advisor or a loved one… If any of this occurs, and they feel like they cannot reach out, that can be detrimental to your perfect research plan. So at the end of the day, your research plan could mean absolutely nothing. You have to essentially plan for the worst. Sounds sounds like a very pessimistic thing, I understand. But having gone through this myself, I don’t want anybody to ever experience what I have. We can only start making these extreme cases easier to deal with by Integrating it in our discussions. After all, it is quite relatable to your planning of your research and your PhD career. Because when your world gets turned upside down, your “plan” Could be dead or worthless. So where do you go from there? Just trying to provide a thought on my own take Hope it helps thanks for the podcast.

Structure of a research proposal

A research proposal describes what you will investigate, why it’s important, and how you will conduct your research.

The format of a research proposal varies between fields, but most proposals will contain at least these elements:

Introduction

Literature review.

  • Research design

Reference list

While the sections may vary, the overall objective is always the same. A research proposal serves as a blueprint and guide for your research plan, helping you get organized and feel confident in the path forward you choose to take.

Academics often have to write research proposals to get funding for their projects. As a student, you might have to write a research proposal as part of a grad school application , or prior to starting your thesis or dissertation .

In addition to helping you figure out what your research can look like, a proposal can also serve to demonstrate why your project is worth pursuing to a funder, educational institution, or supervisor.

Research proposal length

The length of a research proposal can vary quite a bit. A bachelor’s or master’s thesis proposal can be just a few pages, while proposals for PhD dissertations or research funding are usually much longer and more detailed. Your supervisor can help you determine the best length for your work.

One trick to get started is to think of your proposal’s structure as a shorter version of your thesis or dissertation , only without the results , conclusion and discussion sections.

Writing a research proposal can be quite challenging, but a good starting point could be to look at some examples. We’ve included a few for you below.

Like your dissertation or thesis, the proposal will usually have a title page that includes:

  • The proposed title of your project
  • Your supervisor’s name
  • Your institution and department

The first part of your proposal is the initial pitch for your project. Make sure it succinctly explains what you want to do and why.

Your introduction should:

  • Introduce your topic
  • Give necessary background and context
  • Outline your  problem statement  and research questions

To guide your introduction , include information about:

  • Who could have an interest in the topic (e.g., scientists, policymakers)
  • How much is already known about the topic
  • What is missing from this current knowledge
  • What new insights your research will contribute
  • Why you believe this research is worth doing

As you get started, it’s important to demonstrate that you’re familiar with the most important research on your topic. A strong literature review  shows your reader that your project has a solid foundation in existing knowledge or theory. It also shows that you’re not simply repeating what other people have already done or said, but rather using existing research as a jumping-off point for your own.

In this section, share exactly how your project will contribute to ongoing conversations in the field by:

  • Comparing and contrasting the main theories, methods, and debates
  • Examining the strengths and weaknesses of different approaches
  • Explaining how will you build on, challenge, or synthesize prior scholarship

Following the literature review, restate your main  objectives . This brings the focus back to your own project. Next, your research design or methodology section will describe your overall approach, and the practical steps you will take to answer your research questions.

To finish your proposal on a strong note, explore the potential implications of your research for your field. Emphasize again what you aim to contribute and why it matters.

For example, your results might have implications for:

  • Improving best practices
  • Informing policymaking decisions
  • Strengthening a theory or model
  • Challenging popular or scientific beliefs
  • Creating a basis for future research

Last but not least, your research proposal must include correct citations for every source you have used, compiled in a reference list . To create citations quickly and easily, you can use our free APA citation generator .

Some institutions or funders require a detailed timeline of the project, asking you to forecast what you will do at each stage and how long it may take. While not always required, be sure to check the requirements of your project.

If you are applying for research funding, chances are you will have to include a detailed budget. This shows your estimates of how much each part of your project will cost.

Make sure to check what type of costs the funding body will agree to cover. For each item, include:

  • Cost : exactly how much money do you need?
  • Justification : why is this cost necessary to complete the research?
  • Source : how did you calculate the amount?

To determine your budget, think about:

  • Travel costs : do you need to go somewhere to collect your data? How will you get there, and how much time will you need? What will you do there (e.g., interviews, archival research)?
  • Materials : do you need access to any tools or technologies?

A research aim is a broad statement indicating the general purpose of your research project. It should appear in your introduction at the end of your problem statement , before your research objectives.

Research objectives are more specific than your research aim. They indicate the specific ways you’ll address the overarching aim.

A PhD, which is short for philosophiae doctor (doctor of philosophy in Latin), is the highest university degree that can be obtained. In a PhD, students spend 3–5 years writing a dissertation , which aims to make a significant, original contribution to current knowledge.

A PhD is intended to prepare students for a career as a researcher, whether that be in academia, the public sector, or the private sector.

A master’s is a 1- or 2-year graduate degree that can prepare you for a variety of careers.

All master’s involve graduate-level coursework. Some are research-intensive and intend to prepare students for further study in a PhD; these usually require their students to write a master’s thesis . Others focus on professional training for a specific career.

Critical thinking refers to the ability to evaluate information and to be aware of biases or assumptions, including your own.

Like information literacy , it involves evaluating arguments, identifying and solving problems in an objective and systematic way, and clearly communicating your ideas.

The best way to remember the difference between a research plan and a research proposal is that they have fundamentally different audiences. A research plan helps you, the researcher, organize your thoughts. On the other hand, a dissertation proposal or research proposal aims to convince others (e.g., a supervisor, a funding body, or a dissertation committee) that your research topic is relevant and worthy of being conducted.

A study plan is not just for personal use – it’s also a great tool for roommates, friends, professors, advisers, mentors. It clearly lays out what you’re planning to do so that everyone knows how best to support you on your journey of intellectual development.

Once you have a study plan, it’s easy to keep track of the progress you’ve made completing goals and tasks. Students who are able to regularly check in with their study plan find that they are more confident in their abilities and less anxious about the amount of work required to graduate.

To have a successful graduate school experience, it is important to be organized and productive. Often, there is confusion as to how to best allocate your time between classes and studying for classes, jobs, additional coursework (i.e. M.A./M.S. degree), and other obligations such as taking care of family members, maintaining an apartment/house, and going to gym regularly (if you are lucky enough to have a gym membership).

A study plan can help keep you on track with your daily responsibilities by providing a breakdown of what you must do each day and each week. The structure presented by a study plan helps you focus on what needs to be done versus what would be nice to accomplish.

6 Ways to Create a Study Plan

1. make the study plan public.

A study plan is not a private document or a scheduling guide that is meant to be used by your professors and/or advisers. Rather, it should be designed by you to help guide your study process and goals.

2. Write on the calendar

If at all possible, create daily and weekly plans for staying on track with your assigned classes as well as other responsibilities (family, housework, gym membership, etc).

3. Make your study plan visible

Be sure when you do prepare a study plan, you make it as visible as possible to other grad students. For example, keep it in a visible place such as on your fridge or by the front door so that others can see it. You may very well be assigned a critique group or give a conference presentation on your thesis research, so be sure to include that information in the plan so that others can better understand what you are working on and how they can help you.

4. Keep a copy of the plan at all times

You may find that having a copy of the study plan (on paper or in electronic format) with you at all times may help you stay on track and achieve your goals and tasks.

5. Write your goals and tasks down

Write your goals, tasks and daily /weekly schedule down on the calendar (see above for how to organize this information) as well as in your own journal/blog. This will help keep you motivated, it will keep you organized, and it will remind you to do the things you need to do.

6. Use a personal checklist

A personal checklist helps students who find it difficult to write down all of their daily tasks and goals because they find that they have so many responsibilities (i.e. classes and jobs). By using a personal checklist, you can simply write down all of your daily tasks and goals and then check them off when they are completed. You can often find a typed out version of such a personal checklist online (i.e. this sample worksheet).

How to use It:

Keep it simple at first by only including the bare minimum of your daily tasks and goals. As your study plan becomes more complex, add more tasks and goals.

What is the Scope of the Study?

The scope of the study refers to the boundaries within which your research project will be performed; this is sometimes also called the scope of research. To define the scope of the study is to define all aspects that will be considered in your research project. It is also just as important to make clear what aspects will not be covered; i.e. what is outside of the scope of the study.

Why is the Scope of the Study Important?

The scope of the study is always considered and agreed upon in the early stages of the project, before any data collection or experimental work has started. This is important because it focuses the work of the proposed study down to what is practically achievable within a given timeframe.

A well-defined research or study scope enables a researcher to give clarity to the study outcomes that are to be investigated. It makes clear why specific data points have been collected whilst others have been excluded.

Without this, it is difficult to define an end point for a research project since no limits have been defined on the work that could take place. Similarly, it can also make the approach to answering a research question too open ended.

How do you Write the Scope of the Study?

In order to write the scope of the study that you plan to perform, you must be clear on the research parameters that you will and won’t consider. These parameters usually consist of the sample size, the duration, inclusion and exclusion criteria, the methodology and any geographical or monetary constraints.

Each of these parameters will have limits placed on them so that the study can practically be performed, and the results interpreted relative to the limitations that have been defined. These parameters will also help to shape the direction of each research question you consider.

The term limitations’ is often used together with the scope of the study to describe the constraints of any parameters that are considered and also to clarify which parameters have not been considered at all. Make sure you get the balance right here between not making the scope too broad and unachievable, and it not being too restrictive, resulting in a lack of useful data.

The sample size is a commonly used parameter in the definition of the research scope. For example, a research project involving human participants may define at the start of the study that 100 participants will be recruited. This number will be determined based on an understanding of the difficulty in recruiting participants to studies and an agreement of an acceptable period of time in which to recruit this number.

Any results that are obtained by the research group can then be interpreted by others with the knowledge that the study was capped to 100 participants and an acceptance of this as a limitation of the study. In other words, it is acknowledged that recruiting 100 rather than 1,000 participants has limited the amount of data that could be collected, however this is an acceptable limitation due to the known difficulties in recruiting so many participants (e.g. the significant period of time it would take and the costs associated with this).

Example of a Scope of the Study

The follow is a (hypothetical) example of the definition of the scope of the study, with the research question investigating the impact of the COVID-19 pandemic on mental health.

Whilst the immediate negative health problems related to the COVID-19 pandemic have been well documented, the impact of the virus on the mental health (MH) of young adults (age 18-24 years) is poorly understood. The aim of this study is to report on MH changes in population group due to the pandemic.

The scope of the study is limited to recruiting 100 volunteers between the ages of 18 and 24 who will be contacted using their university email accounts. This recruitment period will last for a maximum of 2 months and will end when either 100 volunteers have been recruited or 2 months have passed. Each volunteer to the study will be asked to complete a short questionnaire in order to evaluate any changes in their MH.

From this example we can immediately see that the scope of the study has placed a constraint on the sample size to be used and/or the time frame for recruitment of volunteers. It has also introduced a limitation by only opening recruitment to people that have university emails; i.e. anyone that does not attend university will be excluded from this study.

This may be an important factor when interpreting the results of this study; the comparison of MH during the pandemic between those that do and do not attend university, is therefore outside the scope of the study here. We are also told that the methodology used to assess any changes in MH are via a questionnaire. This is a clear definition of how the outcome measure will be investigated and any other methods are not within the scope of research and their exclusion may be a limitation of the study.

The scope of the study is important to define as it enables a researcher to focus their research to within achievable parameters.

A successful PhD journey begins with a solid plan that includes a PhD timeline . A thought-through and well-designed PhD timeline requires some time but can be accomplished in a few simple steps.

Why a clear PhD research timeline matters

Step 1: decide what to include in your phd timeline, step 2: discuss your provisional phd timeline with your supervisor/s, step 3: design your phd timeline, step 4: regularly update your phd timeline.

Doing a PhD means committing to a challenging project that spans several years. Therefore, it is no surprise that doing a PhD can feel quite overwhelming. How do you even begin to tackle such a huge project?

A PhD timeline breaks down the daunting task of doing a PhD into an actionable plan with tasks and milestones along the way.

Even if not everything will go as planned (which is normal and no problem!), a PhD timeline can give PhD students peace of mind. A good plan, worked out in a PhD timeline, helps them to structure their time, communicate their goals and work toward specific targets.

Some PhD students are required to create a PhD timeline as part of their programme. Yet, even if PhD students are not required to do so, it is highly recommended to create a PhD timeline!

PhD timelines should be as diverse as PhD research projects: What you decide to include in your timeline should fit to your situation, goals and your programmes’ requirements.

Common elements included in a PhD timeline are the following:

  • Data collection : How, when and where are you collecting your research data?
  • Fieldwork : Is your data collection spread out or are you spending several weeks doing fieldwork? If so, when is this scheduled and how can you avoid overlaps with other requirements, such as coursework?
  • Experiments : Are you running experiments for your PhD research? If so, when? And how long do you estimate this will take you?
  • Data analysis : Once you have your data, be it quantitative or qualitative data, when and how do you analyse it? How much time do you block for this task?
  • Writing plan : When are you writing down your results? How can you break down writing into different parts, for instance, writing goals per chapter or article?
  • Publications : Publication requirements differ from PhD programme to programme. Even if you write your PhD as a monograph (instead of a selection of articles) , you should try to publish something during your PhD. When would you have an opportunity to do so, and how much time does it require?
  • Conferences : Every PhD student should present at a conference during their PhD trajectory. Which conferences are you interested in? When do they take place, and when would you have findings to share at a conference?
  • Coursework : What are your PhD programme’s coursework requirements? What courses are you interested in, and when are they offered?
  • Other activities : Are there any other activities that are crucial for your PhD project? Think, for instance, about an extensive dissemination campaign, collaboration with external partners, internships, online activities etcetera.

Make a draft plan, including dates and times. Then move to Step 2: Discussing it with your supervisor/s!

Proactively creating your PhD timeline is a good step as a PhD student. However, you should share your thoughts and ideas with your PhD supervisor/s and get their input.

If possible, set up a meeting with your supervisor/s that is entirely dedicated to your PhD timeline. During this meeting, you can share what you created so far.

Then, you should discuss the following questions:

  • Is there anything missing in the PhD timeline?
  • Is the PhD timeline realistic?
  • Should anything be removed from the PhD timeline to prioritise other tasks?
  • Does the PhD timeline meet all the formal requirements to graduate within the designated amount of time?
  • Is there institutional support and sufficient financial resources for activities such as fieldwork, conference attendance, etcetera?

Make sure to take notes during the meeting, as you will need the answers to these questions to edit your provisional PhD timeline.

Not only will this discussion help you to finalise your PhD timeline. It will also help you to get clarity on your supervisor/s’ expectations!

Following the input of your supervisor/s, your PhD timeline will reach a more final stage. Now it is time to think about designing your PhD timeline:

A well-designed PhD timeline is not just pretty for the eyes, but it makes it much easier to have a good overview of all plans and milestones ahead.

Yet, it would be wrong to argue that there is a one-size-fits all solution to designing a perfect PhD timeline.

Maybe you are a very visual person and would prefer your timeline to illustrate a broad overview of the upcoming years. Maybe you are encouraged by checking things off your to-do list. In that case, a more detailed PhD timeline with many different tasks and milestones may be more suitable for you.

A PhD timeline is there to keep you on track and to showcase the milestones that you reached in your journey so far. However, while it is good to have a solid plan, the future is impossible to predict.

Your PhD timeline should be a living document or chart. Update it regularly!

For instance, a conference may be cancelled. You may have a period of sick leave. An experiment may not work out as planned. Or writing a paper takes longer than expected.

Successful PhD students remain flexible and don’t panic as soon as something does not work out as planned.

So, use your PhD timeline to regularly reflect on your progress and your current situation. Update your PhD timeline when needed, to prioritise tasks and set more concrete and achievable goals for the upcoming months.

Completing your doctorate at Wharton requires 5 years of full-time study. The first 2 years in the program prepare you for admission to candidacy by taking courses, qualifying exams, and starting research projects. The Doctoral Dissertation

The dissertation process culminates with a “defense,” in which you defend the proposal orally before your dissertation committee.

What is a research proposal?

A research proposal is the beginning of your doctoral project. The proposal outlines the intended focus of your research, the question you intend to explore, and the possibilities.

Doctoral research should be an original contribution to an academic field, and the research proposal should demonstrate that.

Research proposal structure

A research proposal should be concise and direct - the panel won’t be expecting you to know all the answers yet, but they need to see the need for the project, your planned approach or methodology, and its potential impact. Make sure your proposal includes these elements:

  • a relevant title for the project - the first step in writing your proposal is to decide on a title that clearly indicates the focus of your research.
  • an outline of your chosen research question or focus  - this should be outlined at the beginning of your proposal, clearly stating any factors that make the project unique.
  • a brief overview of existing academic work on or connected to your topic  - all proposals should include this, and a clear reason as to why your project will differ or add something new.
  • details of the methodology you intend to use  - your proposal should also include your plan for the research over the course of your degree and what's called your 'research impact' - the effect your research will have beyond academia.

Your research proposal should be no more than 1500 words (not including references). Once you’ve drafted your proposal, ask your potential supervisor for feedback and work on any edits alongside them. Once both you and your supervisor are happy with the proposal, you can submit your application.

Top three tips for your research proposal

1. be distinct.

Amplify the originality of your research, particularly if your work will spotlight an underrepresented area of research or offer a new perspective on a major issue. Outline the need for your research and any elements that might facilitate real-world change.

2. Maximise the potential

How will your project contribute to the research community? Will it have potential for public engagement or be of benefit to a certain community? What could the outcomes be?

Demonstrate your project's scope in your proposal to help it stand out to a decision panel, and to highlight your potential as a researcher.

3. Show your skill

Use your proposal to demonstrate your knowledge of the field, your grasp of methodologies and key concepts, and your abilities as a researcher. Make sure your research plan is feasible and shows your understanding of research practice. The panel will be looking out for good planning and project management.

Make sure you state which of the projects you are choosing to apply for. Your statement should be concise, with your key points clearly emphasised and detailed. This will help you make a strong impression on the application panel.

Your proposal should provide an outline that demonstrates your understanding of the research project you are applying for, its goals and potential impact, and the approach that you would take as a doctoral candidate. Demonstrate your knowledge of the field and current academic work on the topic and outline what sort of methodology you would choose.

For example, what do you think would be the best way to collect data for the project, and why? Include any potential avenues you would pursue, sharing the project’s research outcomes and possible long-term impacts you could facilitate. Make sure that your proposal has a clear plan for undertaking the research in the proposed timeframe. Your potential supervisor may be able to offer guidance on this.

The statement should be 1500 words, not including any references or appendices.

The researcher is at the heart of any research project -  what is about this research that inspires you? Does your personal or professional background give you a unique insight?

Your personal statement should be a snapshot of you as an individual, your professional identity and your experience. The purpose is to demonstrate to the panel that you have the potential to be an excellent researcher and that you are the right person for your proposed project.

If you are asked to write a study plan for a scholarship, you may not know where to begin. Basically, a study plan describes what you'll be studying and why. One common scholarship committee that asks for study plans is the China Scholarship Council (CSC). Start by establishing your main educational goals, and then talk about how you plan to achieve them. Conclude your study plan, and spend time refining your writing.

What to Write About

Step 1 Explain your main educational goals.

  • For instance, maybe your main goals for studying in China are to gain a bachelor's degree in business and learn Chinese because it's becoming a global language. You could write, "My main two educational objectives are to gain a bachelor's degree in business and to learn to speak Chinese. Chinese is becoming a global language, so I feel it's necessary to learn it."

Step 2 Explain why you chose a particular school or program.

  • For instance, you might write, "I was born in the United States, but my grandparents on both sides are Chinese. I chose this business program because I want to connect with my heritage, improve my Chinese, and eventually, help establish better relations between China and the U.S. by improving trade relations."

Step 3 Discuss your future research if you're a postgraduate student.

  • For example, you might say, "As a PhD candidate, I plan to conduct research on how ancient tradition and ritual influence contemporary Chinese culture, which will include a literature review and extensive interviews with historians and a small sampling of the Chinese population."

Step 4 Narrow your research to show you're serious.

  • For example, you might write, "Thank you for considering me for this scholarship. If I receive this award, I can focus solely on my studies. I will work hard to implement my goals of learning Chinese and gaining a business degree at a Chinese university, and your trust in me will not be wasted."

Step 2 Write plainly and eliminate jargon.

  • You don't need to write as if you're talking to a child. However, you should write so someone outside of your discipline can easily understand your plan.

Step 3 Be as detailed as possible.

  • The space for the study plan on the CSC application is only a couple of lines. However, the application suggests you attach more paper as needed.

So you’ve made the decision to go to grad school. You’ve weighed your options , researched the benefits of a graduate education , and discovered the value of having an advanced degree . Now it’s time to choose which program to pursue—a task that can seem overwhelming given the number of options available.

But the process doesn’t have to be so daunting. There are actions you can take to make choosing a graduate degree program more manageable—exciting, even. As you take the next step toward your personal and professional goals, take note of the following tips to help you choose a graduate school and degree program best suited for you.

Difference Between Grad School and Undergrad Programs

Before you start searching for the right graduate school for you, it’s essential to know what to expect for this new career trajectory you’ll be embarking on. Unlike an undergraduate program, grad programs are highly specialized and much more advanced in your field of study.

Prospective graduate students can expect a far more individualized experience as they work closely with students and professors. Due to this specialization, entering a graduate program will be an investment of time that’ll ultimately help elevate your expertise and career choices.

Tips for Choosing a Graduate School

1. Take inventory of your passions and motivations.

Pursuing a graduate education is a big investment, so it’s critical to understand the unique “ why ” behind your decision. What do you hope to achieve by going back to school? Whether you’d like to gain more specialized knowledge, change careers, earn a promotion, increase your salary potential, or achieve a lifelong personal goal, make sure the program you choose will help get you there.

Examine the curricula and course descriptions of various degree programs, and assess how each offering aligns with your passions and interests. Graduate school is challenging, but it will feel more manageable if you’re working toward something that matters to you. Understanding your expectations and what you want to get out of the program is the first step in choosing a degree that will be a good fit.

2. Do your research and explore your options.

Once you’ve determined your motivations for returning to school, leave yourself time to research the types of degree programs available in your preferred area of study and the opportunities each can create.

Resources like the U.S. Bureau of Labor Statistics’ Occupational Outlook Handbook can give you a sense of typical career paths by industry, along with the educational degree requirements for each. The handbook also provides market growth forecasts and earning potential to help inform your decision.

It’s also important to note the structure and focus of each program. Even in the same discipline, a program’s focus can vary among institutions. Does the curriculum emphasize theory, original research, or a more practical application of knowledge? Whatever your goals may be, make sure the program’s focus aligns with the educational experience that will provide you with the most value. Career changers, for example, who likely don’t have industry experience, might prefer a program with access to hands-on learning opportunities or a path for completing prerequisites like Northeastern’s Align and Bridge programs.

While conducting your research, don’t be afraid to utilize your professional network. Speak with colleagues who have pursued an advanced degree in your industry and reach out to alumni of the institutions you’re considering. If you’re seeking a specialized area of focus, be sure to examine the program concentrations offered at each institution. One graduate program in education might prepare you to specialize in higher education administration or elementary instruction, while other institutions may offer concentrations in special education or classroom technology. Make sure the program you choose reflects your career interests.

Alternatively, if you’re unsure of exactly where your career path may take you, you may want to consider a broader degree that can give you flexibility in its application. Some degree programs, such as a Master of Business Administration , teach skills that can be applied across multiple professions. If this is the path you’d prefer to pursue, pick a degree that will remain relevant as you move around in your career.

Examine the types of credentials professionals in the industry possess and research the types of skills potential employers are looking for. Check to see that the degree program offers opportunities to learn and develop those same skills. Some professions also require board certification and/or state licensure. Location is also an important factor to consider when thinking about potential employment opportunities after graduation. Individuals interested in financial services may consider schools in a major banking center, such as Charlotte , while those pursuing a technology career might look for programs in Silicon Valley .

Further, if your goal is to work for a specific company, do your research to determine where graduates of the programs you’re looking at are working. Universities often have corporate partnerships in which employers recruit graduates to work at their organization. Check to see if your dream company partners with any nearby universities.

4. Make sure the program fits your lifestyle.

While aligning your career goals, make sure the degree program you choose will realistically fit within your lifestyle, and determine what level of flexibility you need. There are many options available that will allow you to earn an advanced degree at the right pace and in the right format for you.

Some degrees can be earned in as little as 12 months, while others can take years. Determine how much time you’re willing to invest, considering your personal values, work and family commitments, and the type of graduate experience you’d like to have.

Full-time graduate studies are not for everyone. If you’re a working professional, you may benefit from the increased flexibility provided by a part-time degree program. You might also consider the benefits of online or hybrid graduate programs that provide access to worldwide institutions that may have otherwise not been an option.

5. Consider your finances.

Decide what you can afford for graduate school, and don’t forget to factor in both the up-front costs, such as tuition and textbooks, and hidden fees, like transportation and student activity costs. While your education is an investment, make sure you can cover the costs associated with earning your graduate degree.

Paying for graduate school can seem intimidating, but there are many different options available to you. While you narrow down your list of schools, be sure to check out the financial aid options at each institution. Along with scholarships , loans, and grants, some schools may offer assistantships or fellowships for graduate students.

For those who may already be working in their industry, your employer may offer tuition reimbursement , which pays for a predetermined amount of continuing education credits or college coursework to be applied toward a degree.
