The 6 phases of construction project management (CPM)

It’s hard to think of an industry with more moving pieces and active stakeholders than the construction industry. From materials to suppliers, keeping your construction project in order, on time, and on budget is a task unto itself. 

Luckily, that’s where construction project management (CPM) comes in. With effective CPM, you can track your work, your team members, and your deliverables in one easy place. While CPM won’t help your project build itself, it will help you bring cross-team clarity so you can work more efficiently and effectively as a team.

What is construction project management (CPM)?

Construction project management (CPM) is the process of managing, regulating, and supervising construction processes. CPM can vary from a single project to managing an entire construction management company. Either way, CPM can help your team plan your project work during the pre-construction phase, track deliverables during the construction phase, evaluate project delivery, and close out at the end of the initiative. 

Unique challenges of construction management

In CPM, it’s particularly important to pay attention to project constraints and safety details. A construction project has many similarities and a few key differences to a more traditional project you might have worked on. 

For one thing, construction projects often have a wide variety of stakeholders who need to work together closely but cross-functionally. This includes:

At its core, every construction project is just that—a project. While you shouldn’t neglect any of the construction elements of CPM, make sure you’re also following project management best practices. 

You can do this by:

Running a feasibility study before beginning the project.

Adhering to all of the steps in the project initiation phase to make sure your team is set up for success.

Setting up a proactive risk management process , like a risk register .

Creating a work breakdown structure (WBS) to capture all of your project deliverables and sub-deliverables.

Using the critical path method to identify the best timeline for the project.

Following cost management best practices both before and during the project.

Effectively communicating with your project team and stakeholders.

The 6 phases of CPM

In general, there are six phases to any construction project. Some of these phases are longer than others, but follow this six-step process to set your project up for success.

1. Initiation

The first part of any project, including a construction project, is the initiation phase . This is also sometimes referred to as the conception phase. During this phase, your team will work with the client to identify their needs and how your team will meet them. 

Depending on the scope of the project , you may also want to run a feasibility study or do a full business case to analyze whether or not this project is doable. Even without a formalized business case, make sure you incorporate design sketches into your project plan to ensure you and your client are on the same page. 

2. Pre-construction

Once you’ve finalized the details with your client and signed your contract, it’s time to dive into pre-construction. This is when you start assembling your team—including general contractors—and field testing your construction plans if necessary. 

The pre-construction phase is critical to a successful construction project—if you dive straight into the execution phase, you could miss important details that could lead to project failure. Instead, take some time to clarify:

When you should check in with your clients: Which project milestones do they want to be involved in? 

What your communication plan is: Where and how will you share project status updates with your client? 

Where your project information will live: What is your team’s central source of truth for all of your project information? How will you ensure all of your project team members are using the correct information, especially across project phases ? 

What your risk management plan is: What project risks have you identified, and what’s your plan for proactively mitigating them? 

What your project roadmap will look like: What dependencies does your team need to look out for, and how can they visualize those dependencies? 

What your project budget is: How will you track your project budget ? Which cost control best practices will you put into place to ensure you don’t go over budget? 

What you’re working towards: What is your end goal? Where can your team find your work breakdown structure listing all of your project deliverables and sub deliverables? 

Make sure you’re keeping track of all of this information in a tool everyone can access. Project management tools make it easy to share information with team members and stakeholders and to visually track project progress. Use a Gantt chart to bring your roadmap to life, see progress in real-time, get notified if any project plans shift, and stay up-to-date on any project milestones. 

3. Project execution

Now that you’ve planned your project to perfection, it’s time to put it into practice. The project execution phase is exactly what it sounds like—this is when your project team and general contractors are building your project! 

One of the most important things to carry through into the project execution phase is communication. Poor communication is one of the most common reasons for project failure , especially in the construction industry. Think about all of the stakeholders involved in a construction project. Without a clear way to keep everyone in the loop, especially as people roll onto and off of the project, you’ll never be able to finish the project on time and on budget. 

Good communication starts with a clear communication plan, but it doesn’t stop there. Make sure you have a way for team members to access important project information—including the lessons you learned during previous phases. Documenting your client conversations, your team updates, and your project progress reports in one place makes it easy to avoid making the same mistakes you’ve already made. That way, you’re more likely to hit your deliverables on time and on budget. 

4. Commissioning

Once the final product is built, you move on to the commissioning phase. There are three steps to the commissioning phase: 

1. Do a final walkthrough

Before you present the finished product to your client, you want to make sure you didn’t miss anything. Take some time to walk through and test your finished product to ensure there are no errors. Document anything you find in a construction punch list .

2. Present the finished building to your client

Once you’ve finished your internal walkthrough, it’s time to present the finished deliverables to the client and walk them through everything you’ve created. The client will want to inspect the construction site and test systems and equipment. Hopefully you’ve caught all of the errors ahead of time, but if they find any new errors during their walkthrough, it’s your responsibility to fix them as quickly as possible.

3. Train the client on any systems before you leave

Even without errors, make sure the client and building manager know how to operate any relevant systems so they can maintain the building once you’re no longer on the premises. This can include things like electricity, plumbing, software, and more.

5. Occupancy and warranty

During the occupancy and warranty period, the client actually moves into the building. You will no longer be on site, but you may still be responsible for the construction project depending on your contract and your local or federal warranty policies. 

There are two types of warranties depending on your situation: contractual warranty and implied warranty. Work with your internal legal department to figure out which warranty you have and how long the warranty period lasts. 

6. Project closure

Once the warranty period is over, the project is closed. You’ve fulfilled your obligation to the client, but you’re not quite done yet. In order to ensure your team got the most out of the project, hold a project post mortem meeting to review what went right and what could be improved. Catalog lessons learned in a shared tool. That way, the next time you have a similar project, you already have a head start on the planning process.

Tools you need to run a successful construction project

Now that you understand the six phases of construction project management, you need to execute on those phases. That’s where construction project management software comes in. 

What is construction project management software? 

Construction project management tools are tools to help construction professionals execute their work and hit their deadlines. There are two types of tools you can use:

Traditional tools , which offer features specific to construction teams but can be difficult to learn and require a project manager to manage the tool.

Modern project management tools , which are flexible for any team and can be run by anyone.

Modern project management tools make it easy for you to coordinate work, stay in sync, and hit your deadlines. Unlike traditional project management tools, modern project management software is easy for anyone to use. These tools have everything you need to succeed and mold a project exactly to your requirements. 

Key features to look for in your construction project management software

Regardless of what type of tool you use, make sure you select a tool that lets you do the following:

Set clear deadlines

In CPM, deadlines are of utmost importance. Missing a deadline has a cascading effect and can delay the entire project completion schedule. If your team doesn’t know who’s doing what by when, and who’s responsible for the work being done, deadlines are much more likely to fall through the cracks. In fact, according to our research, 26% of deadlines are missed each week.

The key to setting good deadlines is clarity. Make sure your team knows exactly who’s responsible for the work being done, what project dependencies they need to be aware of, and any stakeholders they need to loop in. If you haven’t already, draw out the critical path of your most important work. The earlier you can clarify this information, the more time your team has to make sure they’re prioritizing the right work at the right time. 

What is a critical path?

A critical path in project management is the longest sequence of activities that must be finished on time in order for the entire project to be complete. Any delays in critical tasks will delay the rest of the project.

Especially when it comes to large construction projects, you may need to schedule tasks out weeks or even months in advance—especially when it comes to large pieces of equipment or specialty items. In the moment, a short delay doesn’t seem like a big deal, but if these delays impact your critical path, they may lead to larger issues down the road. 

Visualize the project timeline and dependencies

There are a lot of moving pieces within CPM. With Gantt charts , you can visualize all of this work in one place. Gantt charts are bar chart-like tools that represent each task as a horizontal line. You can see how long each task is expected to take, connect dependencies between tasks for added clarity, and even add project milestones on key dates.

The power of dependencies

Even with the clearest deadlines, sometimes, things get delayed. Maybe your shipment didn’t arrive on time because of a storm, or a team member was out sick unexpectedly. When these delays happen, it’s critical that you and your team can clearly understand the impact of the delay. 

If something gets delayed, ask yourself the following questions: 

What other tasks and dependencies will need to be pushed back as a result? 

Will this delay impact our overall project deliverables?

Is there work we can do in tandem to make up for the delay? 

Having this level of clarity immediately when a deadline is missed makes it easy for your team to adjust and hopefully, make up for lost time. Alternatively, if someone completes a deliverable early, the person waiting on that deliverable to start their work can get notified about it and start right away. 

Coordinate across multiple projects

If you work at a bigger construction company, you may have many projects in the air at once. When team members are working across projects, one of the most important things for you to keep track of is what each team member has on their plate, and when. 

No one can keep all of this information in their head—and with effective construction management tools, you don’t have to. Instead, capture all of your team’s work in one place and view team member workload across multiple projects. That way, you can avoid overbooking team members and ensure that they have the bandwidth to complete work for your project on time. 

Centralize communication

Clear communication is critical—but in CPM, it’s even harder to coordinate than in traditional project management. Not only do you have a variety of stakeholders and a job that takes you away from the computer, but you also have team members rolling on and off the project. Without clear communication, it’s easy for things to fall through the cracks. 

To prevent this from happening, make sure your entire project team is communicating in the same place—your construction project management tool. By maintaining a single source of truth, there will never be any questions about who’s working on what or the latest status on a piece of work. 

In particular, you need software that updates in real-time so your entire team is updated on the status of work—whether they’re at the office or on the job site. With modern construction project management software, you can also add stakeholders to the project so they get real-time project status reports without having to attend a meeting. 

Track project costs

A huge element of whether or not your construction project succeeds is whether or not it ends under budget. This is especially important in CPM because you may be paying for large, upfront material costs that you need in order to build your final deliverable—whether that’s a house, a building, or something even bigger. But keeping track of budget is really hard to do. 

Like communication, it comes back to viewing information in real-time. When you can visualize project costs in real-time, you can not only see the budget you’ve spent, but quickly course correct if it seems like you’re veering off track. 

Standardize processes

The construction industry is vast—but most construction projects your team works on are probably pretty similar. In addition to following the six steps of CPM, you’ll have your own sub-steps in place to help manage the work and keep your team on track. 

The difference between a successful and unsuccessful construction project often comes down to how well you can execute on those small sub-steps. With a million moving pieces, a diversity of contractors and team members, and potential project risks that could jeopardize your final deliverable, it’s critical that your team stays on top of all of the little details, every time. 

If you’re working on a project similar to a past initiative, there’s no reason for you to reinvent the wheel. Instead, look for a way to templatize your processes. That way, you can plug and play when you have a new construction project—without worrying that you’re going to miss a step. By streamlining the project process, you’re also giving your team more time to execute, rather than plan.

A lot of the time, you need access to information when you aren’t at your desk. Walking through the construction site and notice something amiss? You need a way to log that information into your project management software so you can solve the issue as quickly as possible.

Construction project management jobs vary and cover a range of construction work, from small-scale builds to large-scale construction projects. You can expect to find positions at varying levels and stages of a construction process, with the required skills, qualifications, and certifications. 

What is construction project management?

Construction project management handles the various stages of a construction project. Projects can be anything from residential or commercial buildings to bridges, roads, and eco builds. Different roles correlate with different stages of the project’s development. 

Whatever the construction project, the leadership role of a construction project manager (CPM) has a wide scope, often managing a team and processes. A construction project management career involves expertise in the areas that are essential in project management, such as:

6 Stages of construction project management

Managing a construction process is considered high-level project management, demanding skills and capabilities above the average project management position. There are six stages involved that construction project managers oversee.  

1. Conception

This is the start of the project that establishes whether the build is feasible and designs are achievable. This step also accounts if the location is suitable and costs are realistic. At this stage, as the construction project manager, you will work with an engineer or architect to draw up plans and blueprints that meet all required standards. If everything is in order, you will draw up a project initiation document (PID) detailing the business needs and case for the construction and start the tendering process for the contract. 

2. Pre-construction

Before construction can begin, the pre-construction or planning phase occurs. You put together a project management plan (PMP), a roadmap for what’s to come. This considers factors like visiting the site, conducting relevant tests like soil tests, ordering material, selecting a team, assigning roles, and deciding on appropriate project management software. 

The PMP outlines the project deliverables and milestones, a communication plan to ensure minimal conflicts and a risk management plan, ensuring little disturbances and adjustments are needed if problems arise.

3. Project execution

This is where the construction project begins. Now the plans should be in place, materials should be ready, and a team is in place to carry out the work. This is the most significant part of all the stages and relies heavily on how well you have executed the previous stages.

4. Monitoring

This stage follows the execution stage, although much monitoring happens concurrently to measure progress and quality. Now is the time to test what’s been built, address any errors or safety concerns, and train staff on how to use and maintain systems within the building or structure. It’s also a great time to register any challenges that may help future projects.

5. Occupancy and warranty period

At this stage, the owners of the new building or structure are in the warranty phase. These may be contractual warranties or warranties that are in effect as part of the law for the building 

This is the end of the project. The building work is complete. Construction project managers hold meetings to discuss the build and to address any areas that didn’t meet objectives and how this was addressed. Final budgets and reports are issued.  

Roles of the construction project manager

In any construction project, construction project managers are responsible for several tasks that go above and beyond a general project manager. They require specialist knowledge and experience.

Managing procurement in the construction phase.

During the construction phase, you are responsible for all bidding and tendering, as well as contracting workers and negotiating with contractors to secure preferable prices. 

Managing change in the construction phase.

Change management is a skill that a construction project manager needs to possess. No matter how good the planning stage is, things still need to be adapted. Unforeseen circumstances will result in changes, and a construction project manager has contingency plans for different eventualities. With so many processes and people to manage, changes will likely be needed. 

Tracking work on the construction site.

Part of your role is monitoring progress, conducting inspections, quality control exercises, and ensuring safety. A construction project manager records any problems or deficiencies with strategies for improvement. 

Cost control monitoring in the construction phase.

Monitoring and controlling costs are essential in a project where costs can quickly add up unexpectedly, and processes are subject to change. A construction project manager's role is to budget effectively and monitor progress to ensure budgets are upheld, and everything is on schedule so extra costs can be avoided.

Construction project managers are responsible for keeping records on building work, any problems or safety concerns that need addressing, changes in budgets, and monitoring for improvements. It’s possible to work your way up to a construction project management position from an entry-level construction role, but a bachelor’s degree is commonly required, especially for large-scale projects with large firms. The most effective degrees are in construction management or similar, but you can also enter the profession with a degree in civil engineering.

This article will explore the art of project presentation, giving insights to presenters to deliver a memorable project plan presentation. What Is a Project Presentation?

A project presentation is a business activity that brings together stakeholders and team members to oversee a project from execution to completion. During a project presentation, one or two people present a document or slide deck with an overview of all the project’s details.

During a project presentation, the project manager highlights key data about the project initiation and planning activities, like the project scope, requirements gathering, a deliverable list, timelines, and milestones.

The first instance of a project presentation is right before the execution of the project itself. Then, during the project process life cycle, you present it again with timely updates and news about the progress.

Who is the audience of a project presentation? 

A project-related audience is made up of stakeholders – all individuals and entities that affect or are affected by the project’s existence.

Discuss the project presentation with team members that’ll work on the project so they know what’s at stake and what’s expected of them. They’ll need information like requirements, the roadmap, the work breakdown structure, and deliverables.

Stakeholders

Present your project to the stakeholders that can authorize resources and expenditures. Show them how the project will offer the solutions they want under the conditions they impose in a set amount of time. 

Stakeholders want to know details like project scope, budget breakdowns, timing calculations, risk assessments, and how you plan to confront these risks and be ready for changes. 

The Structure of a Project Presentation

Project presentations follow a standard structure covering all critical elements. Follow this guideline to ensure that you cover everything with the slides, the speech, and the discussion.

In the next section, we describe a project presentation structure you can build with SlideModel templates or working with our AI PowerPoint generator . As you will see, most sections in the structure are summaries or overviews of project management practices completed during initiation and planning. 

At the start of your presentation, add an executive summary slide . This section is meant to welcome the viewer to the presentation and give an idea of what’s to come. To differentiate your executive summary from the project overview that comes right after it, use the opportunity to place the project into context. 

In an executive summary , show how this particular project fits into the overall strategy for the company or the section it belongs to. If, for example, your project is about TikTok Marketing, offer information as to how it fits in the overall marketing strategy.

Continue the presentation with a project overview to show the audience what to expect. This section covers one slide or a combination of slides depending on the layout. The project overview slide serves as the introduction to a project presentation and what’s inside.

Include these items:

  • An Introduction with a brief background about the project. 
  • A short explanation of the project’s objectives and completion goals.
  • A quick overview of the timeline with start and end dates.

The project life cycle is the series of phases that a project goes through from its inception to its completion. The project process model is the group of knowledge areas, processes, and their relationships that will guide the activities along the project lifecycle. The next slide should display the chosen project process model and explain how it’ll be carried out along the different lifecycle phases. Project process models examples include Waterfall, Scrum, and V Model for software development, and Business Process Modeling Notation (BPMN) and Swimlane for general business-related projects.

Process models are important for the team to understand execution processes. Stakeholders need to see the process model to understand the systematic process of activities and how long they will take. 

Use one slide for the model, show only high-level components, and offer details during the presentation if the audience asks for them.

The scope is a crucial element of any project and needs its own section in the presentation. The scoping process begins with requirements gathering and includes the creation of a work breakdown structure , an analysis of what’s in and out of scope, plus validation and scope management plans. 

One or two slides are enough to highlight key scope details in a dashboard-style layout mirroring the information on your project scope statement. Preferably, place the scope slides towards the start of the project presentation close to the process model and project resources.

Stages of a Project Scope

Every project needs resources, and that assessment must be included in the project presentation as well. In a general sense, all resources are what make up the overall budget for the project. In turn, you’ll need to show a budget breakdown that shows high-level resources.

Like many aspects of a project presentation, what you include depends on the industry you’re working for. Construction projects use constructors, materials, machinery, etc. Software projects use programmers, designers, software licenses, computers, etc.

Time is the main resource of any project. During project planning, the project management team estimates the required effort needed to complete the defined scope. Using the Project Process Model, Scope, and Resources, a plan is built. Present a roadmap to highlight the expected time for project completion and where each milestone falls along that line.

Roadmaps can be constructed with an infinite variety of visual layouts, from highly creative and illustrative to structured formats resembling spreadsheets and tables with color-coded roadmaps across the cells. Use one slide to show the roadmap highlighting time estimates, constraints, and projections. For updated project presentations, mark where the project is on the roadmap at that particular moment in time.

Every phase of the roadmap is broken down into action plans . Action plans list activities, their duration, allocated resources (human, material, and financial), and the relationship between activities.

Present your project activities plan with a Gantt Chart and a Costs Report. The Gantt Chart will show the activities to execute, how long they will take, and who (person or team) will be responsible for them. The costs reports will show how much the execution of activities will cost.

During the presentation, you’ll spend the most time on this section, as this is when and where your entire plan is outlined. To show more detail than the roadmap overview, use a few slides to show specific sections of the main Gantt chart and show key activities per phase or milestone.

All projects present risks, and to control them, they must be identified, assessed, evaluated, and mitigated . Visualize your risk assessment with a risk matrix and include it in the project presentation. 

Use this slide to explain to stakeholders how you plan to mitigate the identified risks. Share with team members what’s expected of them in order to keep the risks under control. Risk management is a critical component of project management and something stakeholders will always be looking at.

Risk matrices formats

Controlling the quality of project deliverables is critical for positive project outcomes and continued success with the deliverable. This process is called quality control or quality assurance.

The project process model includes which quality control techniques the team will use and when. Some quality assurance (QA) techniques include statistical process control (SPC), Six Sigma, ISO 9000, and Total Quality Management (TQM). Use one slide to visualize the process and your plan to execute it.

Once the project starts, the project plan is a living entity and evolves over time. This section will need to be regularly updated with progress reports, performance KPIs, and status updates.

Across these slides, explain how activities will be monitored and deliverable outcomes measured. Show exactly how you will determine if the project is on course or has deviations. Visualize all execution activities with a Gantt chart to show the current progress. Use big numbers and data points to highlight performance metrics. Use a comparison slide to visualize the completeness percentage vs. planned progress and budget consumption vs. planned budget.

Explain all monitoring activities for the execution phase using a calendar or schedule that shows on what days activities will take place and who is involved.

The Project Team 

When presenting a project, include a stakeholder map to describe the management team, the sponsors, the main stakeholders, and the implementation team or teams. Depending on the size of the project, this will be an org chart or multiple org charts across a few slides.

Why is it important to present the project team to the stakeholders and vice versa? So that everyone involved knows the other parties and their responsibilities.

Another use for the team slide or slides is to present the next person who will speak during the project presentation. This gives the audience some background on that person’s role in the project.

Case Study – Project Presentation Example

Using the structure we present above, we outlined a case study of a realistic project and how the project manager puts together the project presentation using SlideModel templates. The project presentation example is based on a complex project of building a bridge (Cline Avenue Bridge). For the educational purpose of this article, we are not delivering all the elements of the project presentation, as it is out of scope. Still, we illustrate the more representative slides of each section, show how to prepare a PowerPoint Presentation for a project and how simple it is to adapt the templates to the content that needs to be presented. As a disclaimer, all information we present is an adaptation and reinterpretation of the real project, modified by SlideModel to fit the use case learning goals. This information and presentation should not be considered a source of information related to the Cline Avenue Bridge Project.

In this slide, the presenter summarises the project highlights in a project charter style. The Project Manager can extend this introduction all over the project lifecycle, and the speech can jump from different knowledge areas without the need to change slides or get deeper into details. Specifically, in the Cline Bridge Project, the objective is narrated, the location is just mentioned and linked to a map for further details, and a set of important facts are presented (Building Information Modelling Process, Budget, Duration, Sponsor, and Constructor). Key Highlights of the final deliverable are listed (Segmental Bridge, Material Concrete, 1.7 miles of length and 46 feet of width)

Process Model

The Process Model slide illustrates the framework for the project lifecycle, processes, planning, and execution. In this slide, the Project Manager will describe the model and how it is tailored to the specifics of the project. In this case, for the development and construction of the Cline Bridge, the builder has defined the use of BIM (Building Information Modelling) as the process model. During this slide, the presenter can describe the lifecycle phases (Design, Production, Construction, Operation, and Planning) and drill down one level over the knowledge practices involved. For example, the initial stage consists of “Design”, which has two main knowledge areas, Conceptual Design, and Detailed Design. The project manager is able to explain this definition without the need to outline detailed processes and activities within them.

The Scope section of the presentation generally involves several slides, as the content layout is a list of “requirements.” Based on this fact, a table layout is suggested to make good use of space. It is important to avoid abusing the “list” and present the group of requirements rather than specific requirements. Otherwise, the project manager ends up transcribing the requirements document.

In this project presentation example, we present 10 groups of requirements traversing different stages of the project lifecycle. 

  • Design Standards: Bridge design must comply with local, national, and international design standards, including relevant engineering and safety codes
  • Load Capacity: The bridge must be designed to safely carry a specific maximum load, which would include the weight of the bridge itself, traffic, pedestrians, wind, and other factors.
  • Seismic Design: The design must account for seismic loads. 
  • Aesthetic Design: The bridge must be designed to meet certain aesthetic criteria aligned with the artists and architects.
  • Accessibility and Use Requirements: Requirements for pedestrian walkways, bike lanes, vehicle lanes, load restrictions for vehicles, clearance heights for boats if over a waterway, etc.
  • Regulatory Approvals: The project must secure all necessary permits and approvals from relevant local and national regulatory bodies.
  • Environmental Impact: The project must take steps to minimize its environmental impact during construction and the operation of the bridge, including implementing erosion and sediment controls.
  • Materials Simulation: Materials should comply with regulations and usage expectations for current and future expected requirements.
  • Site Preparation: The project must include preparation of the construction site, including any necessary land clearing or grading.
  • Foundations Construction: Foundations will need to support materials weight and traffic expected for the next 30 years.
  • Site Acquisition: Acquire site and terrain for building and logistics.

Building a bridge involves a high level of resource usage. In an executive meeting of a project presentation, the recommendation is to structure this section as a Financial table with only one level of detail. Further details are delegated to specific resources and cost analysis presentations.

The resources list presented is:

  • Professional Services

  • Waste Disposal and Cleanup
  • Subcontractors

In order to break the style of table after table during the project presentation, we suggest using visual elements as icons and colors metaphorically related to each of the elements listed.

Project Roadmap

As explained earlier in the article, the project roadmap serves to offer a comprehensive overview of the significant milestones that will happen over the course of time. Given the magnitude of a bridge construction project and its prolonged duration, it is advisable, particularly for such extensive endeavours, to present a roadmap that aligns milestones with corresponding lifecycle phases in a discernible manner. This approach enables the audience to mentally envision the sequential progression of the construction process.

Aligned with previous slides, in the example we created a roadmap with the following high level milestones, and sub componentes:

  • Project Budgeting and Financing
  • Land Purchase & Renting
  • Conceptual Design
  • Detailed Design
  • Access Routes
  • Waste Disposal
  • Simulations
  • Materials Tests
  • Seismic Tests
  • Fabrication
  • Preparation of Modular Pieces
  • Build and Assembly
  • Test under Acceptance Criteria
  • Stress Test
  • Operation and Maintenance

As you can see, the Project Manager decided over a sequential roadmap, presented with little detail in timings, with start and end dates to picture dimension over the diagram.

Action Plan

In the bridge construction project of the example, there will be plenty of activity plans. All along the project several of these slides will be created and updated. The most suitable option for presentation tasks, durations, precedence relationship and resource allocation is the Gantt Chart Template. We present the first Quarter of the project, over the Conceptual Design Activities. 

As displayed in the PowerPoint Slide , the subtitle clarifies the number of slides that will be used for this purpose.

Project Risks

Risk management is an iterative process all over the project life cycle. When presenting your projects, the risks will vary depending on the progress over the roadmap. For this specific example we decided to present the risks being discussed during the Ideation stage, where the developer is exchanging risks with contractors and the company that will build the bridge.

Our suggested layout for this kind of information is a simple table, where the risks are clearly readable and visible, while the description is a hint for discussion rather than an in depth explanation.

It is very important to classify the presented risks, at least with two dimensions; “Impact” and “Probability”. This will generate quality conversations around them.

As the reader can spot, the risks outlined, are very high level, and each of them will trigger specific Risk Analysis Reports.

The quality control section of the project presentation may vary depending on the quality process adopted. For large scale companies with a uniform portfolio of projects , it is common to see a continuous improvement quality model, which iteratively builds quality over the different projects (for example software companies) For construction companies like the example, the situation is not different, and the quality control model is aligned with the specific building process model. In this specific case, the project manager is presenting the quality control process to be applied over the BIM model and the Quality Control process to be followed for the physical construction of the bridge:

Execution and Monitoring

During the project, several status meetings will be carried out. During the project presentation the manager can establish the pattern to be used along the project.

For this example, we set a basic progress dashboard where the project manager can present : 

  • The current timeline
  • Top 5 issues
  • Current Burndown
  • Top 5 risks.
