This will show the hiring manager that you’re not just applying left and right—you’re actually enthusiastic about getting this particular role.

Now, let’s make our previous example shine:

Dear Mr. Smith,

My name’s Michael, and I’d like to help XYZ Inc. hit and exceed its sales goals as a Sales Manager. I’ve worked as a Sales Representative with Company X, another fin-tech company , for 3+ years, where I generated an average of $30,000+ in sales per month and beat the KPIs by around 40%. I believe that my previous industry experience, passion for finance , and excellence in sales make me the right candidate for the job.

The second candidate starts with what they can do for the company in the future and immediately lists an impressive and relevant achievement. Since they’re experienced in the same industry and interested in finance, the hiring manager can see they’re not just a random applicant.

From this introduction, it’s safe to say that the hiring manager would read the rest of this candidate’s cover letter.

#5. Use the Cover Letter Body for Details

First, one of the biggest mistakes you can make is not tailoring the content to the position. If you don’t focus the content on that specific job, you might not connect with that hiring manager, causing them to move onto a different candidate.

Here’s a quick step-by-step guide on how to start a letter when you’re trying o land a job:

1. Choose the Right Salutation

The salutation in your cover letter opening serves as a greeting. It’s a chance to acknowledge the reader directly, even if just for a brief second.

Ideally, you want to address the hiring manager by name, using an approach like:

Dear [Mr./Mrs./Ms./Dr.] [First Name] [Last Name]

Now, you can potentially add one more option to the list: Mx. This is a relatively new gender-neutral addition that’s favored by people who consider themselves nonbinary.

Generally speaking, you should only use “Mx.” if you are completely, 100 percent certain that it’s the hiring manager’s preferred title. You don’t want to go with it simply because you don’t know the hiring manager’s gender. Why? Well, since it’s a newer option, not everyone is familiar with it, so some hiring managers might think it’s a typo.

Additionally, people may have a variety of opinions about “Mx.,” and not all of them are positive. Since it’s a bit controversial in certain circles, you could offend a hiring manager by using it if that isn’t what they prefer.

So, what do you do if you know the hiring manager’s name but not their gender or preferred title? Worst case, go with “Dear [First Name] [Last Name]” instead. It’s a bit less formal, but it may be better than getting the title wrong.

If you genuinely don’t know the hiring manager’s name – and can’t figure it out with some research – you can try:

  • Dear [Job Title/Role] – Dear Hiring Manager, Dear Operations Manager, Dear VP of Sales, etc.
  • Dear [Department] – Dear IT Department, Dear Marketing Department, etc.

Those aren’t as personal, but they can do the trick. They at least speak to a particular individual, making it clear that you had a certain recipient in mind. As a result, they are much better than more generic alternatives.

What about “To Whom It May Concern?” Well, we’ve taken a deep dive into how to use to whom it may concern . But, in most cases, that isn’t your best. It feels outdated, for one. Plus, it doesn’t have a particular reader in mind, which isn’t ideal.

The same goes for “Dear Sir or Madam.” Along with being generic and incredibly old-school, it’s also a bit awkward. Plus, it makes it seem like you didn’t even try to come up with something better, and that’s never good.

2. Nail the Opening Sentence

Your opening sentence in your cover letter is what really needs to draw the hiring manager in. As a result, you want to make sure that it packs a wallop.

Usually, you have a few options that can pull this off. First, if you know someone at the company who referred you to the position, you can try name-dropping. Many hiring managers favor direct referrals, so it’s alright to make that connection clear from the beginning.

Second, you can lead off with a relevant accomplishment. This one can get a little tricky to do well. You really have to relate it to something in the role, and that isn’t always easy to manage without using a sentence or so to build in some context.

Finally, you can focus on your excitement. Hiring managers like people who seem passionate about the opportunity, so this route could let you start your cover letter on a great note.

With all of these, you want to make sure the opening sentence taps on the position you’re trying to land. It’s smart to mention the job title, department, and company, as that ensures the hiring manager knows why you’re writing. If it doesn’t fit in the first sentence, then it needs to come in on the second.

3. Round Out the First Paragraph

What's the best way to start a cover letter for a job? The first couple of sentences of your  cover letter  are the most important ones. Recruiters and hiring managers often spend mere seconds scanning your application.

If your cover letter doesn't grab their attention right away, they may never even get as far as the second paragraph. What should these all-important first sentences say? Keep in mind that you're hoping to differentiate yourself from the competition. Your goal is to explain to the reader who you are, why you're writing, and how you can contribute to the employer's success.

This might mean  highlighting a contact , providing a quick window into your relevant background and experience, or emphasizing a significant accomplishment that would make you an asset to the organization.

Think about why the hiring manager should select you, above all other candidates, for an interview, and you'll be on the right track.

How to Start a Cover Letter 

Be direct.  In these opening sentences, you want to explicitly let the reader know which position you're applying for. Hiring managers are often looking at candidates for several open jobs at any given time. Make sure it's easy for them to discover your intent. For example:

I am interested in the coordinator position at ABC company.

Mention a contact.  If someone  referred you to the position , include that information early on as well. Referrals are one of the key aspects to securing an interview, so be sure to mention yours right away. For example:

Jane Doe suggested I contact you about the job, as she feels my skills would be a good fit for the position.

State an accomplishment.  Try to state an accomplishment from your previous job. If you can, show how you added value to the last company you worked for. You might even add the job title you had if it's similar to the one you are applying for. For example:

As coordinator at XYZ Enterprises, I have increased my group's output by 37% over the past 15 months.

Express excitement.  Convey your passion for your work, and your excitement about the job and company. Your cover letter is an opportunity to sell yourself to the hiring manager, and to share why you're well qualified for the job. For example:

I would greatly appreciate the opportunity to meet with you to discuss what I have to bring to the position at ABC company.

Use keywords.  If you can include any  keywords  from the job listing, do so. You can mention a skill you have that was included in the post. For example: 

My track history of successfully managing teams and delivering projects on time and on budget makes me a good fit for this role.

  • As an information technology professional with high-level management experience in the IT industry, I learned that the best way to achieve success was to utilize the resources I had by employing well-defined objectives and an attitude of empowerment.
  • I am very interested in the entry-level position that is available at ABC Investment Partners. I recently graduated from XYZ college, and my courses in investments, finance, and business have equipped me with a solid base upon which I plan to build my career.
  • I am writing to express my strong interest in the international marketing position open at WellCam, Inc. My colleague Janna Doling recommended that I contact you directly about this position, owing to the years I have spent developing successful campaigns for XYZ company.

If there are specific events or accomplishments you feel are likely to make you stand out, you can briefly mention them and explain in more detail should you secure an interview.

To end the email, express gratitude to the hiring manager for considering your application and invite them to contact you if they need any more information. For the closing salutation, the usual “Sincerely,” or “Best regards,” will work just fine.

You can also add an email signature for a professional touch—this will include your full name, contact information, and any relevant social media profiles.

A job application email without its attachments would be quite useless, so you need to make absolutely sure that everything is attached correctly. Double-check that all the files are properly named and formatted for easy access. If you edited a previous cover letter, worked off a resume example , or started with a resume template , make sure the file name doesn’t give this away!

It can also be a good idea to add a note to the bottom of the email that lists the attached documents so the reader knows they have everything they’re meant to have. This way, if you did make a mistake, the hiring manager would be able to contact you about it.

Job Application Email Examples

As with most things, the most effective way to learn how to write a job application email is to look at examples. It teaches you what you need to aim for, and shows you multiple versions that cater to different situations. Follow-up email

Follow-up emails are a great way to demonstrate proactivity and professionalism. The start of the application process is often slow, so if a week or two passes without any response from the company, it’s a good idea to send a follow-up email.

It doesn’t need to repeat anything from your initial email, just be concise and professional. Start by expressing gratitude for the opportunity to apply and reiterating your continued interest in the position. Then, you can politely inquire about the status of your application and ask if there’s any additional information you can provide.

Job Application Email FAQs

Employers don’t always require cover letters, but it’s a good idea to send one anyway. If you’re sending your job application via email, you have two choices regarding cover letters. You can either include one within the body of the email or attach it as a separate document. The cover letter provides the perfect opportunity to introduce yourself, your skills, and your qualifications in more detail than your resume allows.

Job applications don’t need to be very long. You typically need an introductory paragraph, a couple of paragraphs on your skills and qualifications, and a couple of closing paragraphs to conclude, mention your attachments, and provide your contact details. In most cases, the total word count doesn’t need to exceed 250 words.

If you don’t receive a response within one to two weeks, it’s a good idea to send a follow-up email. Here, you can mention your continued interest in the job, and ask about the status of your application. It might feel a little needy, but it actually shows that you’re proactive and serious about the role.

The subject line should always be clear and specific, mentioning the position you’re applying for and your name. It should be instantly obvious that the email is a job application—because job applications are important and it will prompt them to click on it straight away. A simple format would be “Application: [Position title], [your name].

Don’t include overly personal details like your social security number, health issues, or family circumstances in a job application email. Also, skip attaching unnecessary files or photos, and avoid discussing negative experiences with past employers or colleagues. Keep the focus professional and relevant to the position.

Streamline the college application process.

Although college isn't for everyone, earning a degree still offers a pathway to success for many Americans. Yet each year, hundreds of thousands of low-income, college-ready students never actually enroll, partly because the application process prioritizes administrative busywork over academics. Policymakers should work to make it simpler.

Applying to college typically involves selecting from among hundreds of schools, verifying course requirements, submitting standardized test scores, requesting letters of recommendation and providing household financial data. Most students start the process months, even years, before the deadline for submission. More than 1,000 colleges use the Common App — a template for basic information — but applicants often must submit additional material, such as personal essays, tailored to each school.

According to a 2023 poll, 62% of students describe the experience as "very or somewhat challenging." More than 60% of Black, Latino and Asian students say it's more stressful than any other academic activity, 20 points higher than for white students; among would-be first-generation college students, only half say they managed to gather all the material necessary to apply, compared to 74% of those with college-educated parents.

Partly due to these challenges, large numbers of those qualified for college never end up applying. A study of 1.2 million students with Common App accounts found that about 25% of them started but didn't complete any of their applications. Students from poor and less educated families were more likely to be "non-submitters" than their wealthier peers, despite having comparable academic credentials. Overall, as many as 1 million students who begin the application process never finish it.

Should this be of concern? Some students surely neglect to submit their applications due to laziness or procrastination. Others change their minds. Highly selective colleges also have an interest in making the process as demanding as possible, to screen unserious candidates.

Yet 56% of the country's 15 million undergraduates attend four-year institutions that admit at least 75% of applicants, effectively meaning that anyone who meets minimal academic standards gets in. Some of these schools still ask students to itemize their extracurricular activities, list years of work experiences, and submit essays and personal statements, even though the vast majority are admitted on their transcripts alone.

It's reasonable to expect students to put effort into their applications. But for less selective schools, requiring all this added material serves little academic purpose; in fact, it's counterproductive. It diminishes the importance of objective criteria like test scores in favor of "holistic" measures that overwhelmingly benefit wealthier candidates. It also wastes taxpayer money, since public colleges end up employing vast numbers of administrators to review applications, resources that would be better spent on actual instruction. Worse, superfluous requirements can deter otherwise qualified candidates from applying.

Streamlining the process would help. Over the past decade, 10 states have started guaranteeing admission to qualified students to certain schools before they apply, based on their test scores and grade-point averages. Idaho's program has increased enrollment by 7%. A similar effort by Common App has expanded to 28 states; it proactively notifies students of admission and requires a simplified application to confirm their acceptance. One study found that low-income students who received such offers were more likely to submit at least one application than those who didn't.

Policymakers should encourage more colleges to participate in these programs, and to track how many of those admitted ultimately enroll and earn degrees. Participation from flagship public universities should be prioritized, which would ensure that more low-income high achievers can get financial and academic support. The federal government can help by notifying households of their eligibility for financial aid when they file tax returns and requiring greater transparency from colleges on the true costs of attendance.

A college education doesn't guarantee success, but students deserve a fair chance to obtain one. Removing needless application obstacles would be a big step forward.

4 Tips to Complete College Applications on Time

W ith multiple components and deadlines, the college application process can be daunting for some students. Since prospective students are often juggling college applications alongside high school classes and activities, experts say it's easy to fall behind or procrastinate.

"Procrastination is a stress response, and it makes sense that some students who are anxious about the college process will avoid working on their applications in a timely fashion," Angela Warfield, principal consultant and founder of admissions consulting firm Compass Academics, wrote in an email.

"This can become a real problem if students wait too long to request transcripts, test score reports or letters of recommendation. Since the students need to rely on other people to submit these materials, they need to make sure to give those people as much time as possible to get those materials in before deadlines."

There are some exceptions where applications are accepted later, and schools that offer rolling admissions may be good last-minute options for students. But May 1 has traditionally been the decision deadline across higher education, even earning the name "College Decision Day," so students typically need to follow that timeline. If a student is applying for early decision or early action , there will be even earlier deadlines to submit application materials.

A well-thought-out plan, anchored by a few organizational tips, can keep students on track with college applications. Here are four tips that experts say students can follow to complete their college applications on time.

  • Ask for recommendation letters early.
  • Budget time for application essays.

Start Planning Early

Because there are multiple steps involved in applying to college, many of which require help from other people, experts say the most foolproof method to alleviate anxiety is to start early.

The Common App , which is used by more than 1,000 schools, opens Aug. 1 each year, meaning students can't officially submit applications through the platform until then. But those looking to get a head start can create an account during their junior year and get familiar with the platform, says Denard Jones, lead college counselor at Empowerly, a college admissions consulting company.

And though it may not be as fun as relaxing by the pool or hanging out with friends, students would be wise to use the the summer months ahead of senior year – when they have no academic obligations – to begin or complete college application tasks, such as completing any write-ups for the extracurricular or activities section , experts say.

Otherwise, "it makes the fall of your senior year that much more hard,” Jones says. “Because you still have to do academic work, you still have to go through the semester, and now you’re trying to pull all this information together."

Create a Detailed Checklist

Keeping track of the various application requirements and deadlines can be streamlined with a checklist. School counselors and independent college counselors can typically provide students with a checklist, and the College Board also provides a list for students and parents to use.

Universities also typically have an application checklist on their website, which may include directions or items specific to them.

If applying to multiple colleges, students and parents may also want to create a master spreadsheet or other document to keep track of deadlines and when parts of the application are complete. Setting up reminders on a digital calendar for important dates can also help, experts say.

"Dates to consider include: application deadlines, testing date/score submissions deadlines, dates for recommenders to submit letters of support and important scholarship deadlines," Warfield says.

Ask for Recommendation Letters Early

Letters of recommendation from teachers, school counselors and other sources are important to providing college admissions officers deeper context and colorful details about applicants. Like personal essays, they can help humanize applicants and give schools an idea of whether a student would succeed academically or fit in socially within their campus culture.

A strong recommendation can tip the scales in a student's favor, especially in situations where there are academic blemishes. A weak or vague letter may reflect poorly and cause an application to stand out for the wrong reasons, experts say.

Students should choose the right people to write letters, such as teachers or counselors who know them best. It's equally important to give recommendation writers enough notice so they aren't asked to craft a hastily written letter.

Richard Tench, a school counselor at St. Albans High School in West Virginia, suggests giving recommenders at least two weeks to complete the letter, but in some cases it may be wise to ask even earlier.

“That will provide them the time to say yes or no," he says, "but that also provides them the time to think about it and write a comprehensive letter."

Some teachers are pressed for time and commit to writing a limited number of recommendation letters each year. Once those spots are booked, students shouldn't be surprised if their request is denied. This could force students to pivot to a recommender who doesn't know them as well.

“The more time you give a recommender to write, the better," Jones says. "That way, hopefully it won’t be this template that’s just cut and paste and doesn’t really help the admissions offices much."

Budget Time for Application Essays

Personal statements are often the most time-consuming and stressful part of the application process, Warfield says. But this is another area where students can get a head start during their junior year or the summer before their senior year.

The Common App typically announces essay questions for the upcoming application cycle in January or February, giving students ample time to prepare for or begin writing the essays. Warfield recommends students begin working on essays in early June, ahead of their senior year, which allows more time to edit and perfect their essays with peers or trusted mentors.

Schools that require supplemental essays vary on when those prompts are announced, but Warfield says students should start on them as early as possible and "work smarter, not harder" when completing them.

"Look for similar themes and questions where your answers aren’t likely to change," such as what you want to major in or what community means to you, she says. "You can revise these essays to be school-specific, but not completely rewrite them. Don’t duplicate your efforts."

Starting on essays early can be particularly helpful for students who struggle or need additional assistance with writing the essay, she says, adding that students who procrastinate may be tempted to rely on another person or an artificial intelligence tool such as ChatGPT to write their essay. While some colleges are using AI in admissions, colleges expect the personal statement to be a student's authentic writing.

"As someone who’s evaluated student writing for 30 years, it is not that hard to spot an AI-generated college essay," Warfield says. "If students try to use AI as a shortcut, colleges use AI detectors and seasoned admissions readers to detect derivative material."

This could be anything created by AI technology, and use of such language in essays could harm an applicant's admissions chances, experts say.
