Now, let’s make our previous example shine:

Dear Mr. Smith,

My name’s Michael, and I’d like to help XYZ Inc. hit and exceed its sales goals as a Sales Manager. I’ve worked as a Sales Representative with Company X, another fin-tech company , for 3+ years, where I generated an average of $30,000+ in sales per month and beat the KPIs by around 40%. The second candidate starts with what they can do for the company in the future and immediately lists an impressive and relevant achievement. Since they’re experienced in the same industry and interested in finance, the hiring manager can see they’re not just a random applicant.

From this introduction, it’s safe to say that the hiring manager would read the rest of this candidate’s cover letter.

Epicentre is an organization created by Médecins Sans Frontières (MSF) in 1986. We conduct field epidemiology, training, and research activities for MSF interventions. Our activities for populations in precarious situations are led from Uganda, Niger, and France, and through the programs of MSF and others. They mainly concern infectious diseases and undernutrition. The Uganda research centre is in the heart of Mbarara University of Science and Technology (MUST) and Mbarara Regional Referral Hospital (MRRH), Epicentre has been conducting clinical research work for more than 20 years.

Job Summary:  Under the supervision of the  Personnel Administration Manager, managing personnel files and ensuring accuracy and compliance as well as timely payments.

Key Duties and Responsibilities:

  • Recording all required staff information in Homere, such as personal information, contracts, leaves, pay slips, etc.
  • Updating Social Security Tax office files in order to comply with legal requirements including specific amendments, when necessary, in order to ensure local labor and fiscal law compliance.
  • Preparing employment contracts in conformity with legal requirements including specific amendments, when necessary, in order to ensure local labor and fiscal law compliance.
  • Preparing monthly pay slips for all staff, edit and updating the necessary data, in order to ensure the punctuality and accuracy of staff payroll.
  • Supervising support staff (Cleaners/ Cooks); ensuring their routine training (IPC), rostering, meetings, etc.
  • Following up Office/ House stock management and replenishments and repairs/ maintenances.
  • Keeping record of daily workers and incentive workers, and preparing payments as guided by the Personnel Administration Manager.
  • Preparing meal allowance during travel and handling to finance for payment after having the right information from the Personnel Administration Manager.
  • Requesting stationery for general office and Administration.
  • Making all administrative information available to the staff: posting, meetings, etc., supporting the Personnel Administration Manager during meetings upon request.
  • Organizing monthly guest house utility bills and submitting for payment.
  • Executing additional HR/ Admin tasks delegated by the Personnel Administration Manager.
  • The applicant should preferably hold a Degree in Business Administration or HR related diploma
  • Essential previous working experience of at least two years in relevant jobs.
  • Desirable experience in MSF or other NGOs in developing countries.
  • Knowledge of Homère or any HR software is an asset
  • Kowledge: Essential computer literacy (word, excel, internet, power point, databases etc.)
  • Competencies: Result oriented, quality oriented, Teamwork, Cooperation, flexibility, commitment and service
