MS PowerPoint is one of the simplest computer programs to learn. It is the number one program used worldwide for presentations. Anyone of you can create stunning presentations that look like they were designed and created by professionals. The main purpose of PowerPoint is to help you design, create, and edit presentation and printed handouts. A presentation is a set of screens, called slides, which you present to people in a group. Presentation is the process of presenting the content of a topic to an audience through audio/video medium.

The main components of MS PowerPoint screen Title Bar: The title bar is present on top of the MS PowerPoint screen. It shows the title of the program (Microsoft PowerPoint) and name of the currently open presentation. Quick Access Toolbar: It is present on the title bar. It contains buttons for commonly used tasks like save, undo, redo etc. Ribbon: Just below the title bar is the Ribbon. It provides all the PowerPoint features in the form of tabs and groups. Each tab, when clicked, opens a horizontal list of groups.

Toolbars: The most commonly used toolbars in MS PowerPoint are standard toolbar, formatting toolbar and drawing toolbar. These toolbars contain buttons for quick access to commonly used PowerPoint commands. Status Bar: Status bar is located at the bottom of the MS PowerPoint screen. It displays information about the current slide number, total number of slides and other details of the currently open slide. File tab: File tab contains different menus to work in MS PowerPoint. Rulers: Rulers are vertical and horizontal guides used for placing objects. Placeholder: Placeholder is used to hold objects like text, pictures, charts etc. Slide: A slide represents work place in MS PowerPoint software.

MS PowerPoint 2010 offers different ways to create a new presentation:

  • New from existing

Creating a blank presentation Let us follow the steps in order to create a Blank Presentation. Step 1 : Click on the office button. Step 2 : Click the New option from the drop down list. Step 3 : Click the Blank Presentation option. Step 4 : Click Create button. A new presentation with a blank slide opens up on the screen as shown.

Follow the below given steps to insert a new slide in a presentation. Step 1 : Click the Home tab on the Ribbon. Step 2 : Click New Slide from Slides group. A list appears. Step 3 : Choose the layout you want. For example, Bank, the new slide is inserted. Similarly, you can add many slides in a presentation. Inserting Objects on a Blank Slide The title and content slide shows six icons in the content placeholder. These icons allow you to insert a table, chart, clip art picture, diagram or media clip into the slide respectively.

Inserting Text To insert text: Select ‘Text Box’ option from the ‘Insert’ tab inside Text Group. Draw the text box anywhere on the slide. The cursor appears inside the text box to type the desired text. You can use all text formatting features like font, color, size, bold, italics, underline, etc.

Delete Slide Follow the below given steps to delete slide. Step 1 : Select the slide you want to delete. Step 2 : Right-Click on the slide. Step 3 : Click Delete from the options. The slide gets deleted.

Follow the steps given below to save a presentation. Step 1 : Click the Office button. Step 2 : Click the Save option. The Save As dialog box appears. Step 3 : Type the file name. Step 4 : Click the Save button. Follow the steps given below to view a slide show: Step 1 : Click the Slide Show tab on the Ribbon. Step 2 : Click From Beginning from the Start Slide Show group. You see your slides on full screen. Click your mouse each time to see the next slide. Sit back and enjoy your presentation!

How to close a Presentation Follow the steps given below to close a presentation. Step 1 : Click Office Button. Step 2 : Click Close option from the list. If the current file is unsaved. PowerPoint displays a dialog box asking you to choose whether or not to save your file. Select Save if you wish to save the file or Don’t save, if you do not wish to save the file. You can choose Cancel, to return to your presentation without saving it.

How to open an existing Presentation Follow the steps given below to open an existing presentation. Step 1 : Click the File tab option. Step 2 : Click the Open option. The Open dialog box appears. Step 3 : Select the file to be opened. Step 4 : Click the Open button. You can also open your file directly by clicking its name from the Recent Presentation list.

How to close PowerPoint Follow the below given steps to close PowerPoint. Step 1 : Click the Office Button. Step 2 : Click Exit PowerPoint.

Introduction

With respect to class 5 MS PowerPoint, PowerPoint is a presentation program developed by Microsoft. It is a part of the Microsoft office.

It provides facilities to create digital slide shows. You can include multimedia contents like pictures, audio, video clips and animations in it.

Like a movie consists of various scenes, a presentation consists of a number of slides. Each slide can contain text, graphics, audio and video to convey the idea.

Creating a Presentation

You can create a presentation, starting with a blank slide and developing further by adding contents as well as backgrounds and applying font formatting.

Developing the title slide

With respect to class 5 MS PowerPoint, how to develop the title slide:

Step 1:  click on the placeholder where  ' click to add title' is mentioned. Type the main topic of your presentation here.

Step2: Click on the placeholder where ' click to add subtitle' is mentioned. Type more matter about the presentation.

With respect to class 5 computer lessons, the text you type can be formatted in a number of ways to look attractive. Many types of font formatting like font style, size, color and effects can be applied.

A smart art graphic is a visual representation of your information and ideas.

PowerPoint has its own collection of Cliparts. However, you can also select them through the internet.

You can adjust the size of the shape according to your need.

Working with the textbox

The placeholder containing the text is called the textbox. To move the text box, click on the text in the placeholder. A border will appear around the text. Position the pointer on the border, drag the mouse to move the text enclosed in the border.  

Adding header and footer

  • To insert a header, click on the header and footer button in the text group of the insert tab. A dialog box will appear. Select the type of header that you want to insert and then, click on the header placeholder and type the text.
  • To insert footer, click on the header and footer button in the text group of the insert tab. Select the type of footer from the drop down that you want to insert and then, click on the footer placeholder and type the text.

Your presentation can be viewed through various views options in the PowerPoint. Each view has its own use. You can then view buttons at the bottom right corner of the PowerPoint window.

Normal view:

It is the main editing view, in which you type and design your presentation.

This view has three working areas:

  • on the left, there is an outline pane.
  • on the right, the slide pane displays a large view of the current slide.
  • at the bottom, in the notes pane, you can type notes that are required to accompany a slide.

  • Slide sorter view is a view of all slides in a presentation in thumbnail form.
  • It gives you an overall picture of the presentation, making it easy to reorder, add, or delete slides.
  • Reordering of slides is easy in the slide sorter view as you can see the thumbnails of all the slides together. You just need to drag and drop the slides to the reorder.

Slideshow view:

  • Slideshow view is the full-screen view in which you see your presentation the way your audience will see it.
  • You can see how your graphics, animation effects and timings look during the actual presentation.
  • When you click on the slideshow view button, the slideshow starts from the current slide.

How to Run a Slide Show?

  • After completing your presentation, click on the slideshow tab.
  • Then, click on the ' from the beginning' tab. Your slideshow will start.
  • Then press Esc key when your presentation ends to return to normal view.

The Transitions allow you to get creative with your slides. Adding transitions allows you to add a little flair between the slides. Transitions are visual effects when moving from one slide to the next slide. For example, you can make one slide dissolve slowly away as the next slide appears. You can get more creative and make one slide push the old slide out or even use an effect that looks like doors opening to your next slide.

5.5.1 Selecting Page Setup Options

The PowerPoint 2007 Page Setup group consists of a Slide Orientation control so you can display your PowerPoint presentation in Landscape mode (the default) or Portrait mode. You should use Portrait mode only if you intend to print the slides on transparency masters and project them with an overhead projector, or present the slide show on a computer screen with a portrait orientation.

The following list describes the controls in this dialog box:

• Slides Sized For: This drop-down list lets you set the size of your slides based on how you plan to present them. The most common is to present the slides on a standard computer screen, which has an aspect ratio of 4:3. Other options on this drop-down list include different screen ratios, suitable for wide-screen displays, standard sized paper, and even 35-mm slides. A Custom option lets you set any width and height.

• Width: Set a custom width for your slides.

• Height: Set a custom height for your slides.

• Number Slides From: If your slides include numbers, this option lets you set the number for the first slide. The default is 1.

• Orientation: Set the orientation to portrait (tall and skinny) or landscape (short and fat). You can set the setting separately for your slides, handouts, and notes. The most common setting is for the slides to use landscape orientation and the notes and handouts to use portrait.

5.5.2 Printing a Presentation

Printing a Presentation: - The simplest way to print your presentation is to print your slides on regular paper.
