It demonstrates your respect for their commitment to their child’s education. Additionally, acknowledge the vital role parents play in their child’s growth and development. Highlighting their importance builds trust and fosters a sense of shared responsibility.

PTA Meeting Tips and Ideas for Collaborative and Engaging Events

PTA meeting: parents talking to each other

Parent-Teacher Association (PTA) meetings are an important tool for building partnerships between parents, school staff , and community members. If you’re in charge of running a PTA meeting , you’ll need to be an effective planner and communicator.

Here, we are sharing some of our top tips for creating engaging and collaborative PTA meetings , from simple reminders like greeting attendees at the door to guidelines on structuring the meeting.

10 Tips for Creating an Effective PTA Meeting

PTA meeting in a classroom

PTA meetings are important advocacy and fundraising events for the school community . They not only offer a platform for the executive board and PTA president to share news and insights, but they also offer a forum for local community members, parents, and sometimes students to express ideas and concerns. These meetings cover everything from school safety and student wellness to assessments and new programs.

Consider the following tips to create a collaborative, efficient, and effective PTA meeting from the elementary school level through high school .

1. Identify the Goal and Prepare an Agenda

As with any meeting, every PTA meeting should have a purpose. Before scheduling the meeting, determine what the main goal of the meeting is — maybe it’s discussing ways to improve your child’s school environment with a new vegetable garden or addressing an upcoming fundraiser. Once you have an objective in mind, you can plan a line-item agenda that helps guide discussion to meet that goal.

Before the meeting, send the agenda to key stakeholders such as student leaders from the Parent Teacher Student Association ( PTSA) , committee chairs, and officers. Ask for feedback on items to add to the agenda and then finalize it.

2. Choose an Appropriate Location

L ocal PTA meetings take place throughout the school year , so it’s important to pick a convenient location that can accommodate all attendees. Usually, a PTA meeting takes place on campus, such as in a conference room, office, or gymnasium. Be sure to check with any pertinent personnel to secure the space. It’s also important to select and announce meeting dates several weeks in advance so that invitees can make arrangements to attend.

3. Prepare Meeting Materials

Once you know the purpose of the meeting and the general timeframe, you can start preparing essential materials. Each meeting is different, but you may need to prep a PowerPoint presentation, print out informational pamphlets, or plan for a guest speaker.

4. Invite Stakeholders to Every Meeting

No meeting can be successful if no one knows about it. For the most convenience and efficiency, send business invitations that you can easily customize to suit your event. Be sure to give guests plenty of time to plan to attend. Typically, PTA meeting invites should be sent two to four weeks before the meeting. This gives everyone enough time to plan their schedules so they can attend.

5. Create an Inclusive Environment and Encourage Participation

While PTA events are designed to conduct official business, they should also encourage participation and foster an inclusive environment. A great PTA meeting will encourage family engagement and get input from parents and community members.

Here are a few ways to increase collaboration and engagement:

  • Have greeters at the door: Make attendees comfortable by having parents, staff, or students greet people at the door. They can answer questions, engage in conversation, and lighten the mood.
  • Prepare materials in several languages: Create an inclusive environment by preparing documents in languages including English , Spanish , Chinese, Tagalog, or French. Consider who attends your public schools and provide documentation in languages that the community, parents, or staff speak.
  • Provide name tags: Make everyone feel more comfortable by handing out name tags. This way, everyone is comfortable addressing other attendees by name.
  • Offer snacks and refreshments: While meetings shouldn’t be longer than an hour, refreshments are an excellent way to break the ice and keep people happy during the discussions.
  • Schedule time in the agenda for dialogue: People want to be heard, so set aside time for discussion during the meeting. You can ask attendees to volunteer suggestions and opinions on the agenda items.
  • Provide childcare : Many high school and middle school students are required to do some form of community service. Ask older, responsible kids to handle childcare during the meeting if it aligns with local guidelines. You can also ask school staff to supervise the child care to ensure safety and order.

6. Consider Decision-Makers

If your PTA meeting involves voting topics, make note of the voting members, including PTA board members . Since voting is limited to eligible members, you want to be sure who’s allowed to vote and who isn’t.

Eligible voting members can change depending on the type of board meeting you’re hosting. If it’s a board meeting , only board members can vote. If it’s a general membership meeting, only members can vote. For committee meetings, only members of the committee have voting powers.

Keep in mind that voting is always done in person . Refer to your local and state PTA bylaws for more details on quorum and voting as these are specific to location.

7. Get Creative With a Themed Meeting

Everyone has a busy schedule, and PTA meetings can feel like a chore for some. To boost attendance, make it a fun experience. Schedule a themed meeting around seasonal holidays. You can host an ugly sweater party (er, meeting) around the holidays or schedule a potluck-style event . Give students a role in the creativity by having them come up with themed meeting ideas. It can also be as simple as emphasizing school colors and throwing in some fun trivia to engage your attendees.

8. Take Training Courses

As a PTA leader , training can help you conduct more effective PTA meetings . Sign up for the National PTA ’s School of Excellence Program to learn skills and techniques to build better partnerships within your school and with the community at large.

9. Stick to a Timeline

Bright Watercolor Invitation

It’s a good rule of thumb to keep your PTA meeting to under an hour and stick to the agenda. Before the meeting, go through the agenda and assign a time slot for each item that needs to be discussed. Ask the secretary or someone to keep track of meeting minutes and move things along before an agenda item takes up too much of the meeting time.

10. Create Follow-Up Meeting Documentation

While there’s a lot of work that goes into preparing for a PTA meeting , your job isn’t done when the meeting adjourns. Create follow-up documentation to track any actionable items. Ask someone to take meeting notes and send these out after the event to remind attendees of the key takeaways.

Use follow-up surveys to generate insights from community members on things that can be improved. These can include procedural changes like venues and agendas as well as potential discussion topics for future meetings.

Get Things Done At Your Next PTA Meeting

With these tips, you’ll plan better and more effective PTA meetings that maximize engagement and collaboration. When you’re ready to invite guests, look no further than Greenvelope’s collection of PTA meeting invitations . Choose a design, then customize it by changing the color scheme — to school colors, for example — and update the message to suit your event.

Aside from saving trees, time, and money, digital invitations let you quickly upload all your attendee contacts and hit send to deliver via email or text. Plus, you can use the online dashboard to track RSVPs seamlessly. If something changes, you can easily send out an update with just a few clicks. That means you’ll have more time to focus on the important stuff like building connections and improving your school community .

Address presented to parents at the pta meeting held 21/11/2013.

AN ACADEMIC REPORT PRESENTED BY THE ACADEMIC DEAN OF T. I. C, AWKA TO THE MEMBERS OF THE P.T.A, TANSI INTERNATIONAL COLLEGE, AWKA THIS DAY 23 RD NOVEMBER, 2013.

I am very glad to welcome you all to this first PTA meeting in this academic session. I welcome all who are attending this meeting for the first time, especially the parents and guardians of J.S one students. We thank God immensely who is the unseen architect of our existence: in Him we move and have our being. We thank Him for bringing you safely to this place, and we pray earnestly that He will lead you safely back to your homes as you go back. We also thank God for having led us thus far in this new academic year having concluded the previous one successfully.

THE REVIEW OF THE LAST ACADEMIC YEAR: 2012/2013

It is very pertinent and ad rem that we refresh our memories briefly about the last academic year. We are grateful to God for the last academic year which has come and gone. We are not recalling the immediate past scholastic year with so much feelings of regrets, though it was laced in a sense with some amount of sorrow and sadness, because it was within the last academic year that we lost a student in J.S one in the person of Master Kingsley Tochukwu Enemuo from Umunze.

As a family, we began the last academic year with seven hundred and ten (710) students and fifty-one (51) members of the teaching staff. In the course of the year, the number of the students reduced slightly. As of 27 th of July, 2013 the population of our students stood at six hundred and ninety-six (696). Some students left because of one reason or the other.

On the other hand, we thank God that from among the members of the teaching staff, last session, some of our teachers secured jobs in some tertiary institutions across the country. This is a credit to us all! The teachers that left were replaced immediately to avoid lack in their areas.

What is more, last academic year witnessed some extra-curricular activities like inter-house sports competitions, organisation of career and open day. These events were successfully executed.

2013/2014 ACADEMIC SESSION

This session began officially on 20 th of September, 2013 and was solemnly inaugurated with a holy mass on 22 nd September, 2013 by the principal, Rev. Fr. Dr. Jerry Okeke.

This academic year, we have seven hundred and forty-seven (747) students. By implication, we have a slight increase in what we had last year.

This academic year is yet to go far, but we have recorded substantially a lot of successes. Thanks to the efforts and ingenious dispositions of the principal and Fr. Paul. They have really made themselves supple instruments in the hands of God for these successes to be reckoned.

  • In the first place, we now have a functional, big, better and befitting library that can compete with other school libraries. This library is built and equipped in such a way that it affords enough comfort and relaxation for readers. The college has spent much to build and equip this library and we are still very much poised to do more and more. We are still soliciting for your assistance, our dear parents, guardians and partners in progress. You are urged to donate books to us for the good and qualitative education of your children and the later generations. At this juncture, may I extend our lens of gratitude to so many students of ours who bought a good number of novels assigned to them for the library. We wish at this point also to thank Engr. & Mrs. Emmanuel Eyisi and family for donating some large cartons of resource books cutting across different subjects. They really put a smile in our faces. We encourage others to emulate them in this act of thoughtfulness. They did not stop there. They are still linking us with some well meaning donor agencies and NGOs that can help us. The principal has already applied to such NGOs. We are hopeful that God will answer our prayers at an appointed time!
  • Our Website: We are happy that we have finally and successfully launched our website: www.tansicollege.edu.ng . The website is presently functional and operational. The realization of this noble dream is as a result of the collective efforts of my colleagues. I sincerely appreciate all your selfless efforts. Every information needed about the college, the administrative staff, tutorial and non tutorial staff, and students are all found there. Hopefully, the first term results of our students will be uploaded in the website; hence our students will not be going home any longer with hand written results, which they can easily manipulate along the line. Secondly, we now have a functional e-mail account: [email protected] . You can send your suggestions and complaints to us via the e-mail account. Be assured that we shall respond to you adequately and promptly.
  • Government Assistance : In the bid to meet up with the attainment of the Millennium Development Goals, the present state government has continued and is still continuing giving a facelift to the education sector in our dear state. Our own college is not left out among the beneficiaries of these wonderful facelifts. There is no point going into specifics. May the good Lord bless and keep our governor and all who have been instrumental to the realization of all these. Amen!
  • A Guidance Cousellor : Over the years, we discovered that there is a great and apparent need for a guidance counsellor. Providentially, this academic session, we succeeded in getting an experienced guidance counsellor who happens to be a parent of one of our students. The students have already started tapping from the wealth of her experiences and are at the same time bearing testimonies to her competence. We thank the principal for the effort he made to bring her in.

AN APPEAL FOR UNDERSTANDING

I discovered that there is a serious need for me to address and clarify certain issues:

  • Our class grading system : Many parents are worried over the reason why their ward(s) that was/were never a runner-up to anybody in both nursery and primary schools should be placed in either B, C, or D streams of a class. They will always prefer their sons to be placed in A stream. For the information of everybody who cares to know, our grading system here is not based in any way at all on the best and brilliant versus less brilliant students. Not even a class has any more advantage over any other class where your son is placed. Our system allows for mixture of both brilliant and less brilliant students. The reasons are best known to us though educationists might take objections. We appeal that you bear and march on with us for we shall definitely take you to “the promised land”.
  • Irregularities in some past results : Believing that no human being is perfect, we seize this opportunity to apologise to those whose results of their sons and wards were marred with some seeming and avoidable irregularities and errors. We are sincerely very sorry for those. We give our words that we shall get it right this time around with the aid of the newly launched website.
  • Criteria for Promotion to the next class : This is another area where parents and guardians disturb us incessantly especially at the end of the academic session. We want to remind you once again about the criteria for promotion here in Tansi International College: for a person to be considered having passed any term, he must pass both English and Mathematics. The pass mark for English and Mathematics is 45% for all classes. Passing two terms is the base line for promotion. Those who did very well in all the subjects but failed Mathematics or English can be promoted on trial. Those in J.S one who passed only one term but have an average of 50% and above in the annual result can be promoted on trial and no other class. A student in J.S 1-S.S 1 fails a particular term when he fails more than six (6) subjects, while a person in S.S 2 fails a term when he fails more than four (4) subjects. This is our stand. We do not want people to start phoning and disturbing that his or her son was on the verge of passing, but did not make it. Remember that the frowning of a he goat does not reduce the price at the market. So, help us advise your children to study very hard.

THE PRESENTATION AND ANALYSIS OF TANSI INT’L COLLEGE 2012/2013 WASSCE RESULT.

  • Our Domestic/Internal Performance in Academics:

It is my pleasure to present to you, our dear parents, the analysis of the most recent WASSCE result. But before I undertake this task, may I present to you the academic champions in the internal cum domestic exams we took for the three terms of the last academic year.

These students have been consistent with their academic exercise. We appreciate them so much. They include:

We are grateful to the parents of these children. Your own child can also achieve this kind of feat. If others can, he also can. We hope to honour all the students that will find themselves in these positions next time in a more befitting way. Meanwhile, the photographs of the present academic champions will be uploaded into our website. Next time, we hope to present them in a more palpable way.

            2.   2012/2013 WASSCE RESULT

We are very grateful to God almighty who has always been the unseen architect of our being. It is through His grace that we are able to record the progress we experience today. We also appreciate all our teachers both present and past for their contributions in making this result what it is. You, our dear parents, are not left out in our baskets of gratitude. We thank you immensely for the moral support and encouragement you gave to these children. Without you, the parents and guardians, this may not have been feasible. So, we thank you so much! We need more of this support, because training of these students is not an individual affair, but a joint venture and enterprise.

Seventy-four (74) candidates where fielded for the examinations and all sat for 9 subjects each. The subjects and the scores graded from A1 to F9 are presented in the table below:

Meanwhile, we register our disappointment over students’ minimal performance in the following subjects: English Language, Physics, Literature-in-English, and Fin. Accounting. These courses need further attention. We believe strongly and promise that more excellent result will be made in future. Never lose hope in us!

STUDENTS’ PERFORMANCE ANALYSIS.

If the results of each student are graded according to how many As, Bs, Cs, Ds, Es and Fs that featured, the following will be the result:

STUDENTS’ PERFORMANCE ANALYSIS TABLE

We are pained over the minimal performance of our immediate past students. We cannot accept this kind of ugly result anymore. From our human calculations, so many factors could be responsible for this poor outing. Without trying to excuse our teachers, they did their best, but the students thought that minimum could be enough for them. We discovered lately that some did not have the required text books. At this juncture, I beg parents and guardians to always provide the necessary texts for their wards. Another factor considered contributory to the failure of these students was the fact that most made wrong choice of subjects. Some chose subjects because others were doing so without asking pertinent questions. Help your sons, in collaboration with the school authorities, choose the necessary subjects that will carry them all through their life.

THE NON-CHALLANCE OF THE PRESENT S.S THREE

In order to forestall the level of minimal performance recorded in the immediate past WAEC result, we have decided to institute a check on the present S.S three. We have discovered to our chagrin that the present S.S three are already tired even before they begin the academic job of studies. So many of them make effort to pass through S.S one and two, only to start showing ‘ I have arrived attitude’ in S.S three. They believe that they cannot be demoted any longer. It is now a rule in Tansi College, that for a student in S.S three to be registered in both WASSCE and NECO, one must have passed 1 st and 2 nd term exams (i.e, the exam taken after their extension and the normal 1 st term exams). This is to say that the Eighty-three (83) students we have presently in S.S three are under probation. We cannot entertain any mediocre results any longer. At least we need to begin somewhere. I know that the parents their sons will be affected badly may be traumatized, but help us caution your sons that this may not be their portion. One who pays attention to the voice of thunder will not be soaked by rain.

In conclusion, we can never stop thanking you for your unquantifiable support in helping us train these children. Sometimes, as we know, they might try to be stubborn and recalcitrant, but with your assistance in whatever way, we can make them better human beings. We appreciate all our staff: both tutorial and non-tutorial for their contributions to the smooth running of the college. May the good LORD reimburse you all abundantly!

Once more, thanks and remain blessed in the Lord for you are already blessed!

The welcome speech template

To be effective your welcome speech needs to meet expected, as well as any specific, requirements dictated by the occasion.

The 6 standard welcome speech content ingredients

A woman with a cookbook reading a welcome speech recipe. Plus, a list of ingredients.

There are six common or standard content items in a good welcome speech.

  • Greetings to welcome everyone and thanking them for coming along.
  • Acknowledgement of special guests, if there are any.
  • An introduction of the event itself and a brief overview of special highlights the audience will want to know about.
  • Any important housekeeping information, for instance: where the bathrooms are, where lunch will be served and when...
  • An introduction for the next speaker, if there is one.
  • Thanking everyone for coming once more and then concluding having made everybody feel at ease, eagerly anticipating what is to come.

Numbers 1, 3, and 6 are basic essentials you cannot do without. Numbers 2, 4 and 5 may, or may not, be applicable. Pick what you need from them to fit your occasion.

Short sample welcome speech for a conference

Now let's put all six ingredients into an example of a short welcome speech to open a conference that you can adapt for your own speech.

* (This speech is pure fiction! I made it up to show you how it's done. You'll see its tone is formal rather than informal to fit the occasion. I don't think there is a group called Parents United. However, there are others with a similar mission: 10 Inspiring Organizations that Promote Literacy and Education .)

Example welcome speech - "Readers by Right"

"Sue-Ellen Thomas, Jim Smith, Jane Brown and all of our guests, good morning!

My name is April Molloy, and it's my privilege and great pleasure on behalf of Parents United to welcome you all here today.

We are delighted to have you with us to participate and share in this special occasion, our 5th annual Children's Day Conference. Thank you for coming. That many of you have willingly traveled long distances to be here serves as a reminder to us all just how important our work is.

Quote extract: We want all children, regardless of race, creed or circumstance to achieve their full potential.

Parents United is committed to actively raising the quality of life for every child. We want all children, regardless of race, creed or circumstance to achieve their full potential. Our task is to make it possible. Our mission is to provide practical, step by step assistance.

This year our theme is literacy. We've named the day 'Readers by Right'.

Thanks to the 1948 United Nations Universal Declaration of Human Rights, we are aware of 'rights' in many spheres, including education.  Article 26 declared it should be compulsory and free for children.

That goal is as pertinent today as it was then. And it's a goal I know we all share - the full development of every child. As a body, Parents United recognizes good reading skills established in childhood as the foundation of fulfilling, and ongoing education.

Quote extract: Jim and Jane bring their passion and knowledge of how to reach those in our communities who are frequently overlooked or bypassed.

We are honored to have Sue-Ellen Thomas, Jim Smith and Jane Brown with us today. All three are esteemed specialists in teaching young children to read.

Sue-Ellen has worked for a long time with educational authorities to establish programs putting in place necessary pre-reading skills. Her hard work needs no introduction. The results speak for themselves.

Jim and Jane bring their passion, and knowledge of how to reach those in our communities who are frequently overlooked or bypassed. Their work among disadvantaged English-as-a-second-language families has bridged gaps that were deep dark chasms.

Prepare yourself to be challenged, excited and inspired.

And before I handover to Lesley Watts, our coordinator for 'Readers by Right', who will outline the day's various events, I want to say once more on behalf of the Parents United organizing committee, welcome. It's wonderful to see so many of you here."

Get your welcome speech started

To shortcut wondering, "Should I say this?" or "Maybe I should say that?" and "Then again there's also ...", I have a very simple solution for you.

Download and print my  special greeting address planner .

It covers ALL the necessary ingredients that go into preparing a successful welcome speech. It's simple to use and easily filled out. Once it's done, writing your speech will be a lot less hassle as you'll have the core content ready to work with.

Writing your welcome speech

Tips to help you get your speech right.

When you're entering information into your speech planner:

  • ensure you've got all the names of individuals or special guests you need to mention specifically and, that you know how to pronounce each of them. Also check that you know and use their preferred pronouns: them/they, she/her, he/him...
  • double check the remarks you're going to make about them, or anything else, are factually correct.

Use your introduction of your guests/or the event, as a "teaser" for what is going to come. It will help create anticipation in the audience. Don't ruin it by giving too much away! Just enough to tempt and no more.

Keep it brief. One to two minutes is generally sufficient.

(The word count of my sample welcome speech is 357. It will take approximately 2 minutes to say .)

Use the S-S-S formula for success: Short, Simple and Sincere. Your listeners will appreciate it.

If you're stuck for words, here's a large selection of  adaptable welcoming phrases with example s entences.  Reading through them could help you to find exactly what you want.

What does a good welcome speech do?

Audience members listening intently.

An effective welcome speech has three important functions. It:

  • signals the official beginning of an event . It says to the audience, hush, sit down, stop talking and listen. What you came for is starting!
  • sets the tone for the occasion through the choice of language used . For example, using light-hearted and informal words to welcome guests to a dear friend's birthday party may be completely appropriate.  However, the same type of language to welcome family and friends to a memorial service is unlikely to be. In that setting, people generally expect a more solemn and formal word choice. They could be deeply offended and think the use of casual language is disrespectful.  Understanding and getting tone right is a key element in the overall success of your welcome speech.
  • unites the audience . It draws everyone together in the common purpose at the heart of the occasion. For example, at a birthday party, the welcome speech invites everyone to join in celebrating the person whose birthday it is. The welcome speech opening a specialist conference will affirm its principal purpose: the coming together of people with mutual interests to meet and share new knowledge. Or if a welcome speech is given to newcomers in a workplace, club or educational setting, its purpose is to give an introductory overview of how things work to help them feel more at ease in their new situation - to help them develop a sense of belonging.

Getting the tone right for an event

What is tone.

Tone is the combined impact of the words chosen to express something, with how they are structured and, delivered.  All three elements come together to create tone * .

Get tone wrong, and your welcome speech is a disaster.

Get it right, and it's a triumph!

(Yes, that's hyperbole but I'm sure you get the idea. ☺)

* Tone - a mood, quality or feeling

How to choose the right words

The beginning of getting tone right is to think about your audience and the event itself. Your goal is to unite and bring them together in the main purpose at the core of the occasion. What type of language will do that most appropriately and easily?

Infographic illustrating the principal differences between formal and informal language to create tone

To answer that question, think about the common interest everybody shares - the principal reason behind them getting together.  It will help guide your language choice.

Is it a fun event like a birthday party for close friends and family? If so, then informal language is likely to be the most apt.

You might hear something along the lines of: "Well, here we all are! The big day has finally arrived. Jean-Marie is 50! Half a century! How on earth did that happen?"

If it's a remembrance service for someone who has recently died, the language you're likely to hear is more formal.

For example: "Friends, family, colleagues, thank you for joining us today to celebrate and give thanks for our dear Jean-Marie. Your presence is gratefully appreciated."

What is appropriate? What is expected?  Do spend some time thinking tone through. Misunderstanding and getting it wrong can be very embarrassing for everyone. If in doubt, ask someone whose opinion you trust.

A PTA meeting, short for Parent-Teacher Association meeting, is a gathering where parents, teachers, and sometimes school administrators come together to discuss and address issues related to the school community. These meetings often involve updates on school programs, planning events, fundraising efforts, and giving parents the opportunity to voice any concerns or suggestions they may have. PTA meetings also serve as a platform for fostering collaboration between parents and educators to support the overall well-being and success of the students.

What Are The Benefits Of This Meeting?

For Managers: PTA meetings can be beneficial for a manager in several ways. Attending these meetings allows managers to connect with parents and gain insights into the concerns and priorities of the school community. Managers can also use these opportunities to communicate important information about school policies, initiatives, and achievements, fostering positive relationships and building community trust. Additionally, PTA meetings provide managers with a platform to gather feedback, solicit ideas, and collaborate with parents on various school-related issues, ultimately leading to more informed decision-making and improved engagement with stakeholders.

For Employees: PTA meetings offer various benefits for employees, including networking opportunities to connect with colleagues from different departments and foster relationships that can enhance collaboration and teamwork. Employees can also gain insights into the organization's goals, initiatives, and future plans, leading to a better understanding of the company's direction and their role within it. Additionally, participating in PTA meetings can provide a platform for employees to voice their opinions, share ideas, and contribute to decision-making processes, ultimately empowering them to feel more engaged and invested in their work and the company as a whole.

For Businesses: PTA meetings can be beneficial for businesses by providing opportunities for networking with other local businesses and community members, gaining insights into community needs and preferences, and building goodwill by supporting local schools and educational initiatives. These meetings can also serve as a platform for promoting the business and its services or products, as well as for engaging with potential customers or clients in a more informal setting. Additionally, participating in PTA meetings can enhance a business's reputation as a responsible corporate citizen and demonstrate a commitment to supporting the community.

How To Run The Pta Meeting As A Manager: Step-By-Step

Next, we will share our step-by-step guidelines for running a Pta Meeting:

Step 1: Scheduling and Notifying

Step 2: meeting preparation, step 3: meeting agenda, step 4: conducting the meeting, step 5: meeting documentation.

As a business expert, it’s crucial to efficiently coordinate meetings by selecting a date, time, and venue that accommodates the majority. After finalizing, communicate details through emails or newsletters. Compile a participant list ensuring key stakeholders are included.

As a business expert, when preparing for a meeting, it’s important to identify key issues requiring discussion and gather all relevant documents. Liaising with teachers, administrators, or parents may be necessary. Consider creating packs of materials for attendees to ensure a productive and informed meeting.

Sure! In addition to creating an agenda for the meeting, it is vital to include segments such as approval of minutes, officer reports, subcommittee updates, special orders, and a closing session. Distribute the agenda beforehand to ensure participants are prepared for discussions.

As the meeting chair, your role is crucial in ensuring productive discussions. Begin punctually, set the tone with a warm welcome, outline the agenda briefly. Guide the conversation with focus and inclusivity, fostering open exchanges and aiming for consensus outcomes.

Assigning someone to take detailed minutes during meetings ensures accurate recording of decisions, reasons for decisions, and assigned tasks. Review, approve, and distribute these minutes promptly to all participants for reference and accountability. Reviewing them at subsequent meetings helps facilitate continuity and progress.

Questions To Ask As The Leader Of The Meeting:

Running PTA meetings efficiently is essential for the success of your organization. By following the tips, utilizing the agenda examples, and implementing the right tools discussed in this blog post, you can ensure that your meetings are productive, engaging, and ultimately benefit your school community. Remember, effective communication and collaboration are key to achieving your PTA’s goals.

A PTA meeting is a gathering of the Parent-Teacher Association, a group of parents and teachers who collaborate to advocate and support the children's academic and personal growth in a school setting.

Parents should attend PTA meetings to stay informed about their child's school activities, understand educational policies and initiatives, and have a voice in decision-making processes affecting their child's schooling.

Any parent, guardian, or primary caregiver of a student enrolled in the school, as well as teachers and administrative staff, are eligible to join the PTA.

Typical topics at PTA meetings may include updates about school events, fundraising initiatives, budget allocation, changes in school policies, academic programs, community engagement projects, and open discussions on concerns raised by members.

You can get involved in PTA activities by volunteering for PTA-sponsored events, leading or participating in committees, serving in PTA leadership positions, contributing to PTA fundraising efforts, or helping to communicate PTA initiatives and information to other parents.

Short opening remarks for a meeting

  • Welcome, everyone. Thank you for taking the time to attend our meeting this morning. This meeting will address some announcements we think you will find interesting. We have a lot to cover, so we will get started without further ado.
  • Good morning, folks. We appreciate you blocking out your calendar so we can discuss some important topics with you. We promise to get through this as quickly as possible so you can get back to your day.
  • Hey, everyone! Great to see so many shining faces in the room, especially for the early hour! Apologies for calling this meeting on such short notice. We have some significant announcements to make, so we will get right to it.
  • Hi, team. Thank you for making an effort to be here today. Some serious developments occurred over the weekend, and we wanted to inform you of the details before you heard any worrisome rumors. Here is everything we can tell you so far.
  • Hello, all! Glad you could make it on such short notice. We have some exciting news to share, and we just could not wait to spill the beans! Rather than wasting any time, we can get right to the good stuff.
  • Good afternoon. Thanks for making time to be here today. As you know, we hit some important milestones this week. We thought sharing the success and discussing what comes next would be helpful. Away we go!
  • Greetings, everybody! Here we are at another super exciting monthly meeting, our chance to share the highs and lows we all have been through since the last time we met. Would anyone like to get things started for us?
  • Well, hey there! It has been a long time since our last meeting. We have all been quite busy, as you know. We have a lot to catch up on, so how about we jump right in and get started?

Opening remarks for a virtual meeting

  • Good morning to everyone on our video call today. We have participants joining today from locations all over the world. Before we get started, we would like to take a moment to share our appreciation for everyone lining up their schedules across the time zones in this way. We understand how difficult it was to coordinate this meeting so all major stakeholders could attend. We promise to make it worth your while. If anyone on the call knows of a colleague who cannot attend, please feel free to share our discussion with them when you can. You should have a meeting deck in your email to help you follow along. Feel free to open it, and we will get started.
  • Cyberteam: Assemble! Cheers to our remote crew, tuning in from the various workspaces around town and throughout the country. It is truly incredible that technology allows us to get together, even if only in digital form. You may have heard about some developments across several departments. We will address those topics and field any questions or concerns you may have. We will also discuss future developments in as much detail as possible. Much of what we will cover is still in the works, so we do not have as much information for you as we would like. However, we promise to do our best to get you up to speed and keep you informed as we learn more.
  • Good afternoon, team. You may have seen the email announcing our new project calendar. This timeline includes tasks spanning multiple teams, so we have a coordinated effort. We wanted to get everyone on a call to brainstorm ways to approach our rollout of various tasks. Depending on the needs, you may find your name on multiple lists, or you may not appear on any lists. Our hope is to distribute the work as fairly as possible among the team to minimize potential overload. Because you are the players involved, we want you to have a say in how we assemble the list.
  • Hello, everyone. Thank you for firing up your cameras and getting online this morning. We have a few special announcements to go over as well as updates on items we left in limbo during our last meeting. We also have a special guest joining us today. This guest speaker has information about making the most of your remote work experience. I know we have discussed workplace wellness in the past, and I thought we should hear from an expert on the subject. They will hop on for the last 30 minutes, which gives us the first 30 minutes to cover everything else. I will dive right in so we can have time for Q&A before our guest appears.
  • Hey, crew! We have gotten away from our meeting schedule as of late, and for a good reason. Great job on catching up on the backlog! Now that we are ahead of the curve again, I would like us to pick back up on our semi-monthly schedule to stay informed in a more unified setting. I think it is also a good idea for us to see one another’s shining faces every so often so we can remember what we all look like! More sincerely, our remote team needs face-to-face interaction, which is what these meetings are all about. I will put new items on our calendars to keep us on track through the end of the year.

Chairman opening remarks in a meeting

  • I am pleased to be speaking to all of you today. As the leader of this board, it is my duty to bring us together when necessary. This task can be challenging, considering our other obligations. I would like us to take this opportunity to review developments that occurred since our last meeting and cover several lingering action items.
  • Good morning, fellow board members. It is a privilege to address you all this afternoon for such a fortunate occasion. It is not often that the board has the opportunity to honor the accomplishments of its own members. Today, we will celebrate the successes of a long-standing trustee who has reached the pinnacle of personal and professional achievement. Before we start, please join me in welcoming our esteemed member with a round of applause.
  • Thank you all for attending. As chairman, I would like to begin this meeting by reviewing the minutes from our last session before covering our new agenda. You all know how quickly the new corporate strategy is unfolding. We have a growing list of issues to address, so we should get started.
  • I would like to extend a warm welcome to all in attendance today. As your newly appointed chairman, I think it best to begin this meeting by introducing myself and explaining my background before having each member do the same. Once introductions are complete, we will review the charter and attend to any new business.

Opening remarks for a seminar

  • Welcome, everyone, and thank you for being with us today. For those who may not know, this seminar is our opportunity to share our latest developments and explain how this progress will lead us into our next phase. We have laid out a roadmap that puts us on solid footing the whole way through. We are eager to share the details and get your input on what improvements we can make. As key stakeholders in the business, your viewpoints count as much as anyone on the team. We hope you feel comfortable sharing your thoughts.
  • There are few moments in which our group can assemble for a subject as important as improving our culture. We feel the need is critical enough to halt operations and bring us all together. This company remains dedicated to the well-being of every employee, but dedication means nothing without action. We have created a seminar-style meeting that presents information intended to help make the most of your experience in the workplace. This is your space, after all, and we will do all we can to create an enriching culture for all of us.
  • I can think of few workplace developments less stressful than learning new software. Unfortunately, we have outgrown our old platform and have no choice but to move to a bigger and better model. After a great deal of deliberation, we have chosen a package that will make your current work much easier while also accommodating future growth. To get a head start on learning, we have put together this seminar with a representative from the software company. This speaker will provide an overview of the system and its functions before going into detail about how each feature fits in with our current system. Please feel free to ask questions and share your insight as we proceed.

Sample closing remarks for a meeting

  • We have covered a lot of material in a short time. If you need more details, you can schedule one-on-one time with your supervisors, who will have additional information shortly. Please write down any questions that arise so you can get answers and feel settled about our next steps.
  • I hope you enjoyed our brainstorming session. We are off to a great start and should have a great second meeting. I will add an item to the calendar to continue with our planning phase. If everyone will kindly send me their notes, then I will create a master folder we can all access. I will also email today’s meeting minutes out so we can create a living document as we go. More to come!
  • As you can understand, this meeting is only a first step. We will continue business as usual until we receive further word about new developments. Once we know more about the acquisition, we will put together another meeting for updates. You may have questions and concerns before then, which you may discuss with your manager, of course. To avoid creating unnecessary anxiety, we would ask that you refrain from speculating on details we have yet to disclose. I appreciate your cooperation.
  • I hope you can all agree that it is important for our team to spend quality time together outside of our usual tasks. These team building meetings are a perfect forum for showing off other sides of our personalities and connecting in fun and exciting ways. This meeting is the first of many! To ensure everyone feels a sense of ownership, I would like you all to send me your ideas for events we can include in future meetings. If you know of any games or icebreaker activities we should include, please send me a note or drop by my office to chat. The more input we have, the better variety of activities we can draw from.

Sample closing remarks for an event

  • We hope you enjoyed attending our event as much as we enjoyed putting it together. As always, we are ready to assist our clients in any way possible. If you have concerns after you head out, please get in touch with your account manager or a supervisor and let us know how we can help. We truly appreciate serving you and cannot wait to see where we go together next. Thank you for coming!
  • Thank you for coming to our get-together. We know breaking away from your busy day can be challenging, and we do not take it for granted. That said, it is always great to see our team come together for time away from the daily grind! We would not be able to do what we do without you. You are all integral to this organization’s success, and we are grateful to have you.
  • We have come a long way since the last time we were all together. The organization has grown considerably, and we know more growth will come. We hope we have clarified what comes next for this company and how we intend to achieve our goals. The agenda may seem ambitious, but we have no doubt that the people in this room are the right people to make the effort successful. Thank you, as always, for your continued support and dedication to our cause. We hope to see you again next time.
  • Before we all head out, I would like to thank everyone who showed up tonight. You really came through and made this event a smashing success! I would also like to give a shout-out to our event team, who put together everything from decorations to catering without falling behind on their daily tasks. This team is phenomenal, and the credit for such a winning event goes to them. Please join me in showing our appreciation for all they have done.

Simple closing remarks

  • Thank you all for coming. Enjoy the rest of your day!
  • This meeting went quicker than expected, so I will give you 30 minutes back.
  • Apologies for this meeting taking longer than scheduled. I appreciate you taking the extra time needed to finish up.
  • If you have any questions after the meeting, please feel free to come to my office.
  • Anyone needing more information can reach out to the contacts listed on the calendar item for this meeting.
  • We have much more to discuss, so I will schedule a follow-up meeting for a week from now.
  • As you can see, we have some serious challenges ahead of us. But I know that our usual team spirit will help us rise to the occasion.

Welcome Letter from the PTA President

sample welcome speech for pta meeting

A letter from the President:

Happy Fall!!!

Welcome to a new school year from the Wanaque School Parent Teacher Association. The Wanaque School PTA is a collaborative partnership between our school, our families, and our community which focuses on the children: the children in your home, the children in our school, and the children in our community. If this is your first year at Wanaque School, I would like to extend a very warm welcome to each of you. If you are a “seasoned” Wanaque family, I know that you are as excited as we are to be starting the school year again.

As I embark on my first term as your PTA President, I am looking forward to continuing the working partnership we have established with the Board of Education, administration, our amazing teachers, and our invaluable staff to provide an excellent learning experience for our children.

I encourage each one of you to become a part of our team. The number one reason to join the PTA is to benefit all the children. In doing so, you help us achieve that goal. Here are some of the many advantages:

*By becoming a member, you’ll be demonstrating to your child the importance you place on education.

*By volunteering with your PTA, you gain valuable experience and personal confidence. It's an opportunity to put your skills and hobbies to good use, for a good cause.

*By getting involved, you’ll be part of the solution, helping to make positive change.

*PTA functions provide opportunities to meet parents and teachers.

*The PTA is a forum for exchanging ideas; attending the PTA Association meetings throughout the year allows members to make suggestions and provide your input.

Some things that we can use help with this year is fundraising. We spend a lot of money on programs and events that enhance our children’s learning experience. As we continue from year to year, we like to add more events, activities, and enrichment. Yet in doing so, we need more funds to allow for these programs. If you have any ideas or would like to help in any way, please contact me.

“Every child’s potential is a reality…

” Thank you and have a great year!!!

Conducting PTA Meetings

When planning a meeting, consider the goal of the meeting and how the meeting can be structured to accomplish that goal. The president and the executive board plan the meeting ahead of time and:

  • Prepare the agenda and distribute written notice to members (See: Sample Agenda Fig. R-2 ).
  • Make the necessary preparations.
  • Attend the meeting to demonstrate their commitment.
  • Start and end the meeting on time.
  • Give members an opportunity to participate in the decision making at the meeting.
  • Streamline minutes and financial reports. Duplicate , distribute or post, wherever possible.
  • Use surveys to evaluate the meeting to improve future meetings.

A National PTA parent survey found the top three things parents say PTA does best.

When conducting business at the meeting, be aware of which individuals are voting members. The privilege of making motions, debating, and voting is limited to eligible members. Eligible members are those whose dues are paid and have been members for at least the previous 30 days. Only eligible voting members count toward the quorum . It is the responsibility of the secretary to have an updated membership list.

It’s also important to be proactive in setting a welcoming and inclusive environment at association meetings for families from all neighborhoods. This might include organizing and providing:

  • Greeters at the door
  • Handouts/signs in home languages and translators
  • Name badges
  • Door prizes
  • Babysitting
  • Snacks and social time before or after the meeting
  • Board members scattered among participants
  • Time in the agenda for questions and discussion

You may consider study groups, grade-level gatherings, special information sessions, or work parties (e.g., to prepare materials). The most important consideration is whether or not the planned meeting will increase involvement in the organization and ultimately serve the goals of the PTA.

Meetings must be held to vote on issues. Voting by proxy is prohibited. This means no absentee voting: a member cannot vote on behalf of another member who is absent. Voting member: To be eligible to vote, a member must have paid annual per capita dues and been a member of the association for at least 30 days.

A quorum is specified in the bylaws and is the minimum number of qualified voting members that must be present at a meeting to legally conduct business.

Welcome Speech in English: Best Samples, Examples & Tips

Why are welcome speeches necessary.

Most of the gatherings and ceremonies are held with a purpose. They are either planned events or spontaneous gatherings. In both cases, it is important to know how to organize such events. We must prepare ourselves to conduct the event properly.

Let us imagine that you are hosting a gathering. You have prepared everything, including food, drinks, decorations, etc., and even set up the stage. However, you forgot one thing – a welcome speech. What happens next? Do you start talking immediately without waiting for everyone to arrive? Of course not!

The same goes for a meeting. How many times did you attend meetings where people didn’t introduce themselves? Or worse, they talked about themselves too much during the meeting. In addition, some speakers talk directly to the audience without introducing themselves. This makes it difficult for the attendees to comprehend the event’s process and connect with its objectives.

So why is a welcome speech in English needed? To begin with, it is necessary to give a brief overview of the topic. Secondly, it helps to provide information about the organization and its history. Thirdly, it allows us to highlight our achievements. And finally, it creates a good impression on guests. Otherwise, they might ask questions like “Where is this event going?”.

Significance of welcome speech

The significance of the welcome speech won’t be apparent without understanding what makes up the history of an event. An event can be defined as a sequence of activities carried out over a period of time. These activities are usually organized into stages, each with a specific purpose. For example, an event may start with opening remarks, followed by a keynote address, and finally concluded with closing remarks. Each stage of an event has a different set of responsibilities.

In the case of a welcoming ceremony, the welcome speech is considered to be one of the most important parts of the whole gathering. In fact, it is the most crucial aspect of the entire event. This is because the welcome speech serves several purposes.

First, it introduces the guests to the host. Second, it provides information regarding the upcoming program. Third, it creates a positive impression among the attendees. Fourth, it helps in creating a sense of unity among the participants. Fifth, it helps in establishing good relations between the hosts and the guests. And finally, it ensures that the guest feels comfortable during the occasion.

Objectives of a Welcome Speech in English

The objective of a welcome speech in English is to introduce yourself and the rest of the attendees at the event. This is done through a short introduction about who you are, what you do, why you’re attending, etc. The following are the objectives of a welcome speech:

  • Introduce yourself
  • Provide Information regarding the event
  • Create a positive impression among attendees
  • Establish good relations between hosts and guests
  • Ensure guests feel comfortable during the event
  • Help build unity among participants
  • Explain the purpose of the meeting/event
  • Set up the agenda for the meeting/event
  • Make introductions
  • Give background info about the organization
  • Highlight achievements (if any)

Welcome Address in English For Students

It’s natural for attendees of any event to expect an introductory speech, which sets the tone for the occasion. A host can easily command attention with an effective welcome. Even the longest speeches have the capacity to hold an audience’s interest when delivered in a catchy and impressive manner.

A short opening speech for a commencement ceremony

To everyone present, good morning. A very warm welcome to our respected faculty, our remarkable parents, and our dear students. Special recognition is due for our Chief Guest (name of chief guest). It’s a true honor to have such a successful alumnus (or state the chief guest’s job title). We express our biggest gratitude for accepting our invitation to deliver today’s keynote speech.

I’m standing here as a lucky witness to our dear students’ academic journey. Our school is very proud of everything you have accomplished and your small but not minor contributions to society. You’ve brought prestige to our name and deserve the title of one of our school’s most successful and dedicated batch of students.

With your teachers’ guidance and parents’ support, you’ve reached remarkable heights. I’d like to take this time to extend my gratitude to our faculty and our parents, for understanding, encouraging, and nurturing our students.

Graduates, you are about to start another chapter in your life. An exciting yet scary period. From now on, you will face more challenges, but I am confident that you’re adequately equipped to face any tribulation that comes your way. Remember that with conviction and self-belief, no mountain is too high to climb. The laurels you’ve brought back to our school are only the beginning. I am genuinely excited to see the astonishing feats that your futures hold.

A long opening speech for a commencement ceremony

Good morning everyone! I would like to extend a very warm welcome to our esteemed faculty, astounding parents, and our dear students. I’m honored to open our commencement ceremony and stand here where many of our accomplished alumni who I look up to once stood.

I extend a particularly warm welcome to our Chief Guest (name of chief guest), who as one of our outstanding alumni, has really set the standard for exemplary accomplishments.

(enumerate key achievements of chief guest)

Her/his professional and philanthropic endeavors attest to their upbringing and the values she/he lives by. We want to thank you for responding positively to our invitation to be the keynote speaker on today’s auspicious occasion.

As another academic year reaches its end, I’m sure that our dear students are anxious and also filled with hope and excitement. This is their final school event in our renowned school/college/university (name of school). But hopefully, it won’t be their last awarding ceremony.

We are extremely fortunate to have such a talented and passionate group of graduates who have earned laurels in honor of our school, adding to its distinction and great reputation. The amazing encouragement and unconditional support of our parents throughout the school year have been extraordinary. They have stood by their children in every school event. Our teachers and staff are truly thankful for the trust you’ve given us. Your children’s journey wouldn’t have been a huge success without your guidance and nurture.

It’s been a remarkable experience to witness the passion and commitment our students have exhibited in all their undertakings. I am filled with certitude that you will achieve whatever goal you’ve set your mind on. Adulthood is going to be jammed with more trials you’ve never imagined before. I am kidding. Maybe. Joking aside, you will win as long as you work hard and believe in yourself.

Remember that you are valuable and take every challenge you face as an opportunity to prove your worth and get better. Also, surround yourselves with people who are good for your well-being and treat them the way you’d like to be treated.

Maintain your sense of humor because not much else will get you through when the going gets rough. Life can be very special and you can truly make a mark, which doesn’t always need to have global proportions. Be accountable for your mistakes and learn from them. Keep nurturing your passions and remain as driven, bright, and astonishing as you are today. You are all wonderful and I can’t wait to see your future accomplishments, because they will be great.

Thank you and do us proud!

Good morning! We welcome everyone today who is here to celebrate this annual event for their beloved teachers. We don’t always get to thank our teachers, but on this day, we pay tribute to our second parents.

They have provided guidance and given their light to educate and lead us to a journey of wonder, discovery, and knowledge. For their efforts, they deserve the greatest of honors and our utmost respect.

Our steadfast yet affectionate teachers should be our role models. They inspire us daily and motivate us to reach our greatest potential. They impart wisdom so that we don’t only excel academically, but as good people and responsible members of our society.

Children’s innocence and love are incomparable and difficult to resist. Their smile is the closest thing to heaven that we can glimpse in the world.

School is your children’s second home, and we teachers are their second parents. We thank you for the opportunity to take care of and guide your little angels.

Join us to celebrate our students and make this day as eventful and fun as it can be!

But for now, let’s leave our worries and cares out in the hall. Let’s celebrate your wise decision to matriculate in our institution. Our college has prepared special events and an entertainment program highlighting some of our talented students.

The next few hours will be memorable and exciting! Thank you for listening and let’s get on with it!

Sample of Welcome Speech for a Goodbye Get-together

Good evening everyone!

Welcome to my farewell party. I know, I know. You all said you’re sorry to see me go, but that you all would need food and entertainment first to deal with your sadness. So here we are. I shall deliver.

As the Semisonic song goes “Every new beginning comes from some other beginning’s end.” And so it is with great gratitude that the VP in Japan decided to retire early, so the end of his role can mark the beginning of mine. To Toni Takitani, thanks for deciding you’ve had enough!

Kidding aside, I’d like to thank my friends who made this very corporate event a huge success. Look at this, my goodness!

Most importantly, I want to impart my profound gratitude to my boss (name of the boss). Without you, this party won’t have a band. I couldn’t ask for a better mentor. Or I could, but none of them would have changed my life as positively as you have. It saddens me to leave you the most, but it comforts me that you were my biggest source of encouragement to go. Or it may have been your plan all along. Genius!

So to everyone who came, thank you. I’ll have time to thank you properly later, but for now, let’s eat!

Welcome Speech Sample for a Business Conference

Good morning to everyone who came out to join us here today. My name is Julius Kaizer and I’ll be hosting today’s events.

Before anything else, I’d like to take this moment to thank Merville & Posque Inc., their CEO Mr. Hyori Asano and his team for putting this event together in record time. It won’t be possible without your tireless dedication and contributions. I also want to thank everyone who came, our remarkable associates from Osaka, Chiang Rai, and Quezon, our wonderful clients who have stuck with us through thick and thin, and our amazing consultants in various fields of energy conservation. Your interest and patronage are very much appreciated.

A great welcome to all our extraordinary employees and staff members, some of whom have worked and grown along our company’s 23-year history. A big welcome, too, to our interns who have recently joined and brightened our corporate offices.

Today marks the 15th annual MPBC and it’s an honor to be a host in this glorious congress. I myself will be staying for the conference’s entirety to learn what I can about sustainable energy systems and their various implications and impact on the future of our planet.

The activities today will include an overview of all the forums, seminars, and exhibits around the MPBC complex. Second, we will have the inauguration of the new bio-dome on the grounds where we will also honor this year’s retirees. The afternoon’s seminars will kick off after lunch, and I encourage you to attend the discussions and learn about our future plans and projects. Finally, I’d like to encourage everyone to help yourselves to the snack stations in the hallway. Refreshments and sandwiches are on us for the duration of the conference.

I won’t keep you long and let’s begin the day. I wish all of you a valuable and wonderful time! Thank you.

Welcome Speech Samples for Family Functions

Huge family events often have speeches: weddings, birthdays, farewell parties, funerals, anniversaries, and so on. Some of these events normally have hosts and esteemed guests. Here are some tips and samples to inspire you.

Tips on Welcoming the Chief Guest?

If you’re searching for tips on how to make a welcome speech for guest, here are some things you can do:

  • When drafting your speech, do the research.
  • Highlight the key qualities that are worth mentioning in an opening welcome speech for event.
  • Take note of the welcome address speech sample in this article and create a framework from them.
  • Look up welcome speech quotes and choose the best one to use somewhere in your speech.
  • Greet the chief guest at the event personally and introduce yourself if you don’t know each other.
  • Extend your hard for a handshake and smile to express that they are honored and welcome to the event.
  • Smile and suggest they are being welcomed.
  • Address them formally with the usual Miss or Mr.
  • Escort the chief guest before you assume host duties.

Welcoming the Chief Guest with a Short Speech

It’s a great honor to welcome our Chief guest and tonight’s keynote speaker. I was worried at first about how to introduce (title and name of Chief guest) because any introduction would pale in comparison to the reality and immensity of her/his accomplishments.

(Enumerate the main accomplishments of the chief guest).

She/he is the ultimate inspiration for young professionals everywhere who want to succeed in the field of international trade. Here to inspire us with her career journey and all the experiences she accumulated along the day, join me in giving a round of applause to (title and name of chief guest).

Welcoming the Chief Guest (Longer Version of the Speech)

Introducing our next attendee is a great pleasure of mine. When she/he accepted our invitation to be tonight’s Chief guest and keynote speaker, I almost jumped for joy. Then I realized I would naturally receive the task of introducing her/him. At first, this gave me great anxiety. How would I be able to pull it off and deliver an introduction that would give her background justice? Then I thought, no introduction would ever compare, so it was foolish to aim for success when failure is guaranteed. So I decided to just do it. Our chief guest has accomplished the following, to name a few:

As I looked at her/his professional and personal successes, I realized here is a woman/man who was faced many times with the certainty of failure but had given her circumstances a grad twist by attaining success against all odds. Then I thought, perhaps I should aim for success in this speech, after all.

She/he is an inspiration to many, not only for all the fields of expertise she has earned and the extreme success that went with the process, but she/he has also set the benchmark for philanthropy and good deeds. She/he has done this quietly, too, and she/he might strangle me for revealing it to the public. I didn’t even know half of the wonderful things she/he has done for our community before my research.

Without further ado, and here to inspire us with her wisdom and grand skill, join me in welcoming our Chief guest (title and name of chief guest).

Welcome Speech for Parents

Hi everyone!

As host and brother of the groom, I’d like to take this time to introduce the parents of the bride. Without them, my brother wouldn’t be the lucky and happy man he is today. More than that, I have witnessed how they accepted my brother and treated him as a son long before the engagement. I often tag along on family trips and have spent hours of wonderful conversations with them. Apart from my own parents, they are two of the most affectionate and hospitable people I’ve ever met. If I could meet a woman whose parents are just like them, I’d consider myself half as lucky as my brother.

Let’s give a round of applause for (names of the bride’s parents). Thank you for embracing my brother into the fold.

Welcome Speech Samples for National Holidays

Below is a sample of a welcome speech typically delivered during Annual Day. Substitute the appropriate details to match your information and use the framework in other speeches reserved for national holidays.

Welcome Speech for Annual Day

I am overjoyed to have this chance to welcome all of you to our elite institution’s 25th Annual Day. Today’s children are the hope of the next generation. All these graduates we see today, receiving awards for their achievements will go on to lead successful lives. Let them live up to the expectations set before them.

I am very happy to be a member of such an elite school where we learned from such great professors who teach us beyond the boundaries of the ordinary classroom. They’re also the minds and hands behind such a big event every year. I’d like to use this chance to organize such a wonderful event this year. It’s also a great pleasure of mine to introduce our Chief Guest.

Welcome speeches are necessary at events. They usually set the tone or expectations of the people who attended or participated in the occasion. There are many ways in going about delivering a welcome address speech. Review the samples in this article and do your due diligence to craft an outline, framework, or skeleton from the contents that you can use in welcome speeches of your own.

Frequently Asked Questions

A good welcome speech has the following qualities: * It is sincere. * It can hold the attention of the audience. * The ideas don’t ramble. * Welcome address quotes are used. One for a short welcome speech, and 2 for a longer one. Never 3, unless the speaker is trying to be funny. * The contents are relevant to the event. * It has an impressive anecdote. * The length doesn’t exceed 5 minutes.

The last segment of this article contains tips on welcoming chief guests, esteemed guests, or guests of honor. The tips contained here can be divided into things to consider while drafting the welcome speech, and things to do at the event itself when meeting the chief guest.

A simple thank you would suffice. Make sure you reiterate your gratitude. Some welcome speeches can end with a line that welcomes the guest of honor.

Depending on the context, a welcome speech doesn’t always need to be impressive. In some situations, a straightforward introduction is all you need. However, in some circumstances like commencement ceremonies, farewell parties, dinners, and some others, the audience is prepared to listen to long speeches. In this case, the speech needs to catch the attention of the attendees and maintain their interest. An impressive welcome speech often has an emotional element. Not just parroting big words to describe a person’s achievements or flatter them. Try to use humor if you’re funny by nature or if you can deliver the punchline well. Use popular quotes in your speech. Tell anecdotes relevant to the attendees. Or reveal an epiphany. These are how you should draft a welcome speech set to impress.

Make sure that it is relevant to the content of your welcome speech or the point you’re making. You can use phrases such as the following: * According to… * As the old saying goes… * There’s a quote that has always stuck with me… * Events like this always remind me of one of my favorite quotes… Try to find quotes that are unique and not cliche. You can find some in the lyrics of contemporary music, or lines and dialogues from books and movies, and so on.

It is in light of this that I want to highlight some of the prospects, challenges and modalities.

I have been trained by experience to resist the temptation of narcissism when it comes to talking about our academic performance. It is in the best interest of the parents to inform the house that we are working assiduously to ensure that teaching and learning takes place optimally. The need to achieve high academic excellence calls for recruitment of competent, proactive and qualified teachers that can face the educational challenges of the 21 st century learners, this we have done diligently. I am glad to report that significant milestones have been made in terms of academic performance.

Students are handled based on their peculiarities and level of comprehension. Our relatively small numbers of students per class is a serious advantage that we are maximizing optimally. As human being, we are not perfect and may still have room for improvement. At this juncture, I want to state clearly that we welcome constructive criticisms that would improve teaching and learning.

General Certificate of Education (GCE)

The management of Medmina College has refused to be stereotyped and conservative in terms of attempting new things or challenges. In view of this, as a strategic policy of the school, all SS2 students, starting with the present SS2 will be sitting for GCE. This may look audacious and herculean in nature but we have decided to take the bull by its horn. In future, our final year students may not have not sit for NECO examination if our policy of writing GCE in SS2 succeeds, we urge all parents to put us in their prayers. The GCE may take the place of NECO examination.

Extension Classes for SS2 and SS1 Students.

The ambitious target we have set for ourselves in the interest of our students has necessitated the school to initiate the idea of having extension classes for both SS2 and SS1students. As Muslims, we should be truthful to ourselves. It is instructive to state that we need to re-double our efforts towards achieving high academic excellence if our students must perform remarkably well in the GCE that we have proposed for the SS2 students. All our SS2 and SS1 students are transfer students from other schools. With all honesty and modesty, some of the students came with accumulated inherent deficiencies that we have been trying to correct. It is a responsibility that we have accepted wholeheartedly and we don’t intend to give excuses for any failure. The GCE is slated for first week of September. Sequel to this, we need to take a holistic drastic approach/measure in order to get the students ready for the examination. We want to be proud to state that our students sat for GCE in SS2 and passed well.

The proposed extension class for SS2 students is scheduled to take place between July 17 and August 30 and the real GCE examination between Sept 1 st and Sept 30 th insha Allah. It is going to be about nine weeks of intensive programme for the school to prepare the students for the examination. The SS1 students will have their extension class between July 17 and August 30, which is six weeks. The SS2 students will not be going home for break/holiday because even while they are writing their GCE, lessons will still continue and the first term will commence September 18. It is going to be stressful but justifiable.

This proposed extension classes will be associated with sacrifices from all stakeholders. We have tried as much as possible to keep the extent of financial commitment as low as possible. Find below the cost implication of the proposed extension classes.

Proposed Cost Implication for Parents.

Welfare of the Students.

Just like our own biological children, we have placed high premium on the welfare of our students. With all intents and purposes, our students are well-fed based on the nutritional needs of children within their age range, the quantity and quality of the food is satisfactory and we also offer the students  snacks and drinks at appropriate times. I want to succinctly state that based on all known national and international standard, we are justifiably doing our best. The health status of our students is of great relevance to us, we are always sensitive to the health of the students. Health complains are treated with utmost urgency but on fortunately, some student who are scared of receiving injection always fail to report health challenges. Even with this, we have directed our house master, matron and the nurse to be extra vigilant in observing the students. We have also commenced the process of standardizing our school clinic to meet ideal standard and that was why we came up with the medical fee of N10, 000.00. I want to appeal to parents to ensure that they pay the medical fees; the response has not been encouraging. The school is also in partnership with a good hospital in case of any eventuality.

I want to appeal to parents to always liaise with us in a calm and modest manner, and give us the benefit of doubt when issues come up. Parents should always seek to understand first, and then be understood. Barrage of criticisms always great us when eventualities or incidentals occur.

School Fees

Sending gentle reminders to parents about the need to pay school fees promptly has become a hallmark of my newsletter and this is always irresistible and compelling. Recall that Medmina College is still at its formative and rudimentary stage, this is the stage at which inadequate finance presents its excruciating encumbrances.  I have stated previously in our newsletters that we do not want our students to be aware of issues related to their school fees but that does not constrain me from sharing with you the challenges we are facing presently.

Presently, the school is financially handicapped to pay this month’s staff salaries because about 70% of our parents are yet to pay the school fees of their ward(s). It is paramount to state that we are in a dicey situation that needs drastic measures to ameliorate. Default in payment of school fees has become a norm and this is affecting us seriously. There is need for a positive attitudinal change in terms of prompt payment of school fees and other charges. For example, some parents are yet to pay for the last extension classes organized by the school for all JSS3 students. We are conscious and abreast with the economic hardship in the country and we sympathize with all parents. I want to appeal to all parents to ensure that they pay their ward’s school fees promptly.

 Graduation/Walimat

It is in the best interest of the school, parents and students that we decided to stage a memorable graduation/walimat for our JSS3 students who are actually our pioneer students. This occasion will be used to reward high academic excellence, outstanding Islamic ethics and ethos, personal achievements and other categories of awards. This is going to be the maiden edition of the graduation/walimat and we want it to be colourful, memorable and remarkable. The date slated for the graduation/walimat is Saturday 2 nd July, 2016. Celebrating our JSS3 students is part of the school policy which we intend to uphold seriously.

As part of our strategic policy and as captured in our main objective, we want to help our students to learn and live Islam. Our students before graduating should have acquired the unique heritage of Muslim children equipped to compete with the best brains in the world without losing their identities as Muslims.

The graduation/walimat would demand the contribution of our esteemed parents in a unique way. We are in touch with some parents that would be expected to bring their knowledge and experiences to bear during the graduation/walimat day. It is instructive to state in concrete terms that attendance is mandatory for all parents, please endeavor to attend

Unscheduled Visits/Phone calls.

The school frowns vehemently on the act of unscheduled visits by parents to the school in order to see their ward (s). As a matter of policy, parents can only visit their ward (s) during visiting days. Any other visit apart from the visiting day is highly prohibited and parents should desist from it. In the same manner, parents can only make phone calls in order to speak with their ward (s) fortnightly on Saturdays and Sundays. The school will not entertain phone calls made during school days. I urge parents to humbly adhere to the highlighted conditions.

Successful Umrah/Excursion

I want to inform parents and staff that the students and staff that went for Umrah/excursion are successfully back. The spiritual journey was inspiring and enriching in many fronts, we pray Allah to accept their noble course in the best manner. Parents and staff were involved in fervent prayers for a successful journey and Allah has answered our prayers. On this note, I want to appreciate and acknowledge all parents and staff for their contributions.

I also want to reiterate for avoidance of doubt that Umrah/excursion is part of our mainstream policy and we want to nourish and sustain it continuously.  It is not a jamboree but a noble course that we cherish and value, I want to inform all parents especially of JSS2 students that next year is around the corner, it will be their turn. Adequate preparation in terms of finance and other related logistics should start sooner than later.

Vacation Date

The school will be closing for the third term holiday on Saturday 2nd July, 2015 and to resume on Sunday 18th September, 2016 Inshallah.

Appreciation.

I want to appreciate all parents for their unrelenting efforts towards taking this school to greater heights by challenging the school management on many fronts. I will like to end this address by recognizing the enormous contribution of both academic and non-academic staff for their unflinching support, may Allah reward all of you abundantly.

Wassalamu alaykum warahmatullahi ta’ala wa barakatuhu
