Dissertation Structure & Layout 101: How to structure your dissertation, thesis or research project.

So, you’ve got a decent understanding of what a dissertation is , you’ve chosen your topic and hopefully you’ve received approval for your research proposal . Awesome! Now its time to start the actual dissertation or thesis writing journey.

To craft a high-quality document, the very first thing you need to understand is dissertation structure . In this post, we’ll walk you through the generic dissertation structure and layout, step by step. We’ll start with the big picture, and then zoom into each chapter to briefly discuss the core contents. If you’re just starting out on your research journey, you should start with this post, which covers the big-picture process of how to write a dissertation or thesis .

Dissertation structure and layout - the basics

*The Caveat *

In this post, we’ll be discussing a traditional dissertation/thesis structure and layout, which is generally used for social science research across universities, whether in the US, UK, Europe or Australia. However, some universities may have small variations on this structure (extra chapters, merged chapters, slightly different ordering, etc).

So, always check with your university if they have a prescribed structure or layout that they expect you to work with. If not, it’s safe to assume the structure we’ll discuss here is suitable. And even if they do have a prescribed structure, you’ll still get value from this post as we’ll explain the core contents of each section.

  • Acknowledgements page
  • Abstract (or executive summary)
  • Table of contents , list of figures and tables
  • Chapter 1: Introduction
  • Chapter 2: Literature review
  • Chapter 3: Methodology
  • Chapter 4: Results
  • Chapter 5: Discussion
  • Chapter 6: Conclusion
  • Reference list

As I mentioned, some universities will have slight variations on this structure. For example, they want an additional “personal reflection chapter”, or they might prefer the results and discussion chapter to be merged into one. Regardless, the overarching flow will always be the same, as this flow reflects the research process , which we discussed here – i.e.:

  • The introduction chapter presents the core research question and aims .
  • The literature review chapter assesses what the current research says about this question.
  • The methodology, results and discussion chapters go about undertaking new research about this question.
  • The conclusion chapter (attempts to) answer the core research question .

In other words, the dissertation structure and layout reflect the research process of asking a well-defined question(s), investigating, and then answering the question – see below.

To restate that – the structure and layout of a dissertation reflect the flow of the overall research process . This is essential to understand, as each chapter will make a lot more sense if you “get” this concept. If you’re not familiar with the research process, read this post before going further.

Right. Now that we’ve covered the big picture, let’s dive a little deeper into the details of each section and chapter. Oh and by the way, you can also grab our free dissertation/thesis template here to help speed things up.

The title page of your dissertation is the very first impression the marker will get of your work, so it pays to invest some time thinking about your title. But what makes for a good title? A strong title needs to be 3 things:

  • Succinct (not overly lengthy or verbose)
  • Specific (not vague or ambiguous)
  • Representative of the research you’re undertaking (clearly linked to your research questions)

Typically, a good title includes mention of the following:

  • The broader area of the research (i.e. the overarching topic)
  • The specific focus of your research (i.e. your specific context)
  • Indication of research design (e.g. quantitative , qualitative , or  mixed methods ).

For example:

A quantitative investigation [research design] into the antecedents of organisational trust [broader area] in the UK retail forex trading market [specific context/area of focus].

Again, some universities may have specific requirements regarding the format and structure of the title, so it’s worth double-checking expectations with your institution (if there’s no mention in the brief or study material).

Acknowledgements

This page provides you with an opportunity to say thank you to those who helped you along your research journey. Generally, it’s optional (and won’t count towards your marks), but it is academic best practice to include this.

So, who do you say thanks to? Well, there’s no prescribed requirements, but it’s common to mention the following people:

  • Your dissertation supervisor or committee.
  • Any professors, lecturers or academics that helped you understand the topic or methodologies.
  • Any tutors, mentors or advisors.
  • Your family and friends, especially spouse (for adult learners studying part-time).

There’s no need for lengthy rambling. Just state who you’re thankful to and for what (e.g. thank you to my supervisor, John Doe, for his endless patience and attentiveness) – be sincere. In terms of length, you should keep this to a page or less.

Abstract or executive summary

The dissertation abstract (or executive summary for some degrees) serves to provide the first-time reader (and marker or moderator) with a big-picture view of your research project. It should give them an understanding of the key insights and findings from the research, without them needing to read the rest of the report – in other words, it should be able to stand alone .

For it to stand alone, your abstract should cover the following key points (at a minimum):

  • Your research questions and aims – what key question(s) did your research aim to answer?
  • Your methodology – how did you go about investigating the topic and finding answers to your research question(s)?
  • Your findings – following your own research, what did do you discover?
  • Your conclusions – based on your findings, what conclusions did you draw? What answers did you find to your research question(s)?

So, in much the same way the dissertation structure mimics the research process, your abstract or executive summary should reflect the research process, from the initial stage of asking the original question to the final stage of answering that question.

In practical terms, it’s a good idea to write this section up last , once all your core chapters are complete. Otherwise, you’ll end up writing and rewriting this section multiple times (just wasting time). For a step by step guide on how to write a strong executive summary, check out this post .

Table of contents

This section is straightforward. You’ll typically present your table of contents (TOC) first, followed by the two lists – figures and tables. I recommend that you use Microsoft Word’s automatic table of contents generator to generate your TOC. If you’re not familiar with this functionality, the video below explains it simply:

If you find that your table of contents is overly lengthy, consider removing one level of depth. Oftentimes, this can be done without detracting from the usefulness of the TOC.

Right, now that the “admin” sections are out of the way, its time to move on to your core chapters. These chapters are the heart of your dissertation and are where you’ll earn the marks. The first chapter is the introduction chapter – as you would expect, this is the time to introduce your research…

It’s important to understand that even though you’ve provided an overview of your research in your abstract, your introduction needs to be written as if the reader has not read that (remember, the abstract is essentially a standalone document). So, your introduction chapter needs to start from the very beginning, and should address the following questions:

  • What will you be investigating (in plain-language, big picture-level)?
  • Why is that worth investigating? How is it important to academia or business? How is it sufficiently original?
  • What are your research aims and research question(s)? Note that the research questions can sometimes be presented at the end of the literature review (next chapter).
  • What is the scope of your study? In other words, what will and won’t you cover ?
  • How will you approach your research? In other words, what methodology will you adopt?
  • How will you structure your dissertation? What are the core chapters and what will you do in each of them?

These are just the bare basic requirements for your intro chapter. Some universities will want additional bells and whistles in the intro chapter, so be sure to carefully read your brief or consult your research supervisor.

If done right, your introduction chapter will set a clear direction for the rest of your dissertation. Specifically, it will make it clear to the reader (and marker) exactly what you’ll be investigating, why that’s important, and how you’ll be going about the investigation. Conversely, if your introduction chapter leaves a first-time reader wondering what exactly you’ll be researching, you’ve still got some work to do.

Now that you’ve set a clear direction with your introduction chapter, the next step is the literature review . In this section, you will analyse the existing research (typically academic journal articles and high-quality industry publications), with a view to understanding the following questions:

  • What does the literature currently say about the topic you’re investigating?
  • Is the literature lacking or well established? Is it divided or in disagreement?
  • How does your research fit into the bigger picture?
  • How does your research contribute something original?
  • How does the methodology of previous studies help you develop your own?

Depending on the nature of your study, you may also present a conceptual framework towards the end of your literature review, which you will then test in your actual research.

Again, some universities will want you to focus on some of these areas more than others, some will have additional or fewer requirements, and so on. Therefore, as always, its important to review your brief and/or discuss with your supervisor, so that you know exactly what’s expected of your literature review chapter.

Dissertation writing

Now that you’ve investigated the current state of knowledge in your literature review chapter and are familiar with the existing key theories, models and frameworks, its time to design your own research. Enter the methodology chapter – the most “science-ey” of the chapters…

In this chapter, you need to address two critical questions:

  • Exactly HOW will you carry out your research (i.e. what is your intended research design)?
  • Exactly WHY have you chosen to do things this way (i.e. how do you justify your design)?

Remember, the dissertation part of your degree is first and foremost about developing and demonstrating research skills . Therefore, the markers want to see that you know which methods to use, can clearly articulate why you’ve chosen then, and know how to deploy them effectively.

Importantly, this chapter requires detail – don’t hold back on the specifics. State exactly what you’ll be doing, with who, when, for how long, etc. Moreover, for every design choice you make, make sure you justify it.

In practice, you will likely end up coming back to this chapter once you’ve undertaken all your data collection and analysis, and revise it based on changes you made during the analysis phase. This is perfectly fine. Its natural for you to add an additional analysis technique, scrap an old one, etc based on where your data lead you. Of course, I’m talking about small changes here – not a fundamental switch from qualitative to quantitative, which will likely send your supervisor in a spin!

You’ve now collected your data and undertaken your analysis, whether qualitative, quantitative or mixed methods. In this chapter, you’ll present the raw results of your analysis . For example, in the case of a quant study, you’ll present the demographic data, descriptive statistics, inferential statistics , etc.

Typically, Chapter 4 is simply a presentation and description of the data, not a discussion of the meaning of the data. In other words, it’s descriptive, rather than analytical – the meaning is discussed in Chapter 5. However, some universities will want you to combine chapters 4 and 5, so that you both present and interpret the meaning of the data at the same time. Check with your institution what their preference is.

Now that you’ve presented the data analysis results, its time to interpret and analyse them. In other words, its time to discuss what they mean, especially in relation to your research question(s).

What you discuss here will depend largely on your chosen methodology. For example, if you’ve gone the quantitative route, you might discuss the relationships between variables . If you’ve gone the qualitative route, you might discuss key themes and the meanings thereof. It all depends on what your research design choices were.

Most importantly, you need to discuss your results in relation to your research questions and aims, as well as the existing literature. What do the results tell you about your research questions? Are they aligned with the existing research or at odds? If so, why might this be? Dig deep into your findings and explain what the findings suggest, in plain English.

The final chapter – you’ve made it! Now that you’ve discussed your interpretation of the results, its time to bring it back to the beginning with the conclusion chapter . In other words, its time to (attempt to) answer your original research question s (from way back in chapter 1). Clearly state what your conclusions are in terms of your research questions. This might feel a bit repetitive, as you would have touched on this in the previous chapter, but its important to bring the discussion full circle and explicitly state your answer(s) to the research question(s).

Dissertation and thesis prep

Next, you’ll typically discuss the implications of your findings? In other words, you’ve answered your research questions – but what does this mean for the real world (or even for academia)? What should now be done differently, given the new insight you’ve generated?

Lastly, you should discuss the limitations of your research, as well as what this means for future research in the area. No study is perfect, especially not a Masters-level. Discuss the shortcomings of your research. Perhaps your methodology was limited, perhaps your sample size was small or not representative, etc, etc. Don’t be afraid to critique your work – the markers want to see that you can identify the limitations of your work. This is a strength, not a weakness. Be brutal!

This marks the end of your core chapters – woohoo! From here on out, it’s pretty smooth sailing.

The reference list is straightforward. It should contain a list of all resources cited in your dissertation, in the required format, e.g. APA , Harvard, etc.

It’s essential that you use reference management software for your dissertation. Do NOT try handle your referencing manually – its far too error prone. On a reference list of multiple pages, you’re going to make mistake. To this end, I suggest considering either Mendeley or Zotero. Both are free and provide a very straightforward interface to ensure that your referencing is 100% on point. I’ve included a simple how-to video for the Mendeley software (my personal favourite) below:

Some universities may ask you to include a bibliography, as opposed to a reference list. These two things are not the same . A bibliography is similar to a reference list, except that it also includes resources which informed your thinking but were not directly cited in your dissertation. So, double-check your brief and make sure you use the right one.

The very last piece of the puzzle is the appendix or set of appendices. This is where you’ll include any supporting data and evidence. Importantly, supporting is the keyword here.

Your appendices should provide additional “nice to know”, depth-adding information, which is not critical to the core analysis. Appendices should not be used as a way to cut down word count (see this post which covers how to reduce word count ). In other words, don’t place content that is critical to the core analysis here, just to save word count. You will not earn marks on any content in the appendices, so don’t try to play the system!

Time to recap…

And there you have it – the traditional dissertation structure and layout, from A-Z. To recap, the core structure for a dissertation or thesis is (typically) as follows:

  • Acknowledgments page

Most importantly, the core chapters should reflect the research process (asking, investigating and answering your research question). Moreover, the research question(s) should form the golden thread throughout your dissertation structure. Everything should revolve around the research questions, and as you’ve seen, they should form both the start point (i.e. introduction chapter) and the endpoint (i.e. conclusion chapter).

Congratulations, you’ve made it to the dissertation stage! You should be incredibly happy. However, beginning to write chapter one might be a little daunting. We’re going to cover a broad overview on chapter one here in this article so that you know the territory before you set out.

Purpose of Chapter One

The purpose of chapter one is to introduce the reader to what’s coming. Chapter one usually runs around 15 pages, and it gives the reader the highlights of what’s coming. Typically, you start with an introduction. 

#1. Introduction

The introduction includes a few citations and says, “Hey, we’re going to talk about ___.” Fill in the blank with your topic (educational policy, or management handling of turnover, etc.). Also, don’t say “hey” like we did (that wouldn’t be very good academic writing).

#2. Background of the Problem

The next section is the background of the problem. I like to think of this as a very short literature review , showing the reader that there’s a foundation of scholarly research about this topic.

#3. Theoretical/Conceptual Framework

Follow that up by the theoretical or conceptual framework . Think of this as the seminal research upon which your study is based. Maslow’s hierarchy of needs, for example, is an incredibly popular conceptual framework. Erickson’s theories are popular in education, and systems theory is being used in many disciplines now. 

#4. Problem Statement

Next comes what many consider to be the guts or the foundation of the dissertation: your problem statement . Your problem statement is typically one line. Now it might be surrounded by a paragraph or two, but the actual problem statement is one sentence. It should begin, “The problem to be studied is…” and finish with something that directly aligns with your purpose and research questions. For example, “…we don’t know the impact of extra after school education on student grades in math,” or “…we are not aware of the perceptions of employees regarding management, changing retirement plans.” 

Over 50% of doctoral candidates don’t finish their dissertations.

#5. Purpose Statement

Next comes your purpose statement . The purpose is directly related to the problem. If the problem is that the impact of management decisions on employee turnover is unknown, then our purpose would be to determine the impact of management decisions on employee turnover.

#6. Research Questions

Follow this by the research questions. Your research questions should be highly aligned with your problem and your purpose. For example, your research question could be: “what is the relationship between management decisions and employee turnover?” Or for another topic, “what are the perceptions of parents regarding teacher pay raises?” 

Quick aside: You’re going to say things over and over and over again in your dissertation. Say them the exact same way. You get in trouble when you try to get interesting and use different terms, because doing so actually introduces new meanings. Be okay with sounding boring. 

#7. Methodology

Next is a brief Methodology section. Am I going to use a quantitative approach? Am I going to use a qualitative approach? What sources am I going to use? Is this going to be secondary data? Am I going to interview parents? Quickly tell the reader that you’re going to have a whole chapter (chapter three) to really go further on this. 

#8. Definition of Key Terms

Many chapter ones include a definition of key terms. If I’m talking about phenomenology, I’d better tell the reader what phenomenology is. If I’m talking about special ed teachers, I’m going to say what a special ed teacher is.

#9. Validity

You also may have a section in chapter one on validity. This is going to be somewhere in your dissertation, and it’s going to assure the reader that you’re following all the ethical steps and that results can be transferable. 

#10. Conclusion and Segway to Chapter Two

Finally, you’re going to have a conclusion wrapping everything up, summarizing for the reader what they heard, and a segue into chapter two.

Writing Chapter 1: The Introduction

The introduction of your Doctoral Dissertation, Masters Thesis, or Capstone Project

Chapter 1, with a highly focused review of the literature, and is normally the “prospectus” that a committee approves before the “proposal” to start research is approved.  After the prospectus is approved, some of the review of literature may be moved into Chapter 2, which then becomes part of the proposal to do research.

Chapter 1 is the engine that drives the rest of the document, and it must be a complete empirical argument as is found in courts of law.  It should be filled with proofs throughout.  It is not a creative writing project in a creative writing class; hence, once a word or phrase is established in Chapter 1, use the same word or phrase throughout the dissertation.  The content is normally stylized into five chapters, repetitive in some sections from dissertation to dissertation. A lengthy dissertation may have more than five chapters, but regardless, most universities limit the total number of pages to 350 due to microfilming and binding considerations in libraries in those institutions requiring hard copies.

Use plenty of transitional words and sentences from one section to another, as well as subheadings, which allow the reader to follow the writer’s train of thought.  Following is an outline of the content of the empirical argument of Chapter 1. Universities often arrange the content in a different order, but the subject matter is the same in all dissertations because it is an empirical “opening statement” as might be found in a court of law. (Note that a dissertation could also be five pages of text and 50 pages of pictures of dragonfly wings and qualify for a Doctor’s degree in entomology.)

Introductory Paragraph

Do not keep the reader waiting to learn the precise subject of the dissertation. State the general field of interest in one or two paragraphs, and end with a sentence that states what study will accomplish.

Background of the Problem

This section is critically important as it must contain some mention of all the subject matter in the following Chapter 2 Review of the Literature 2 and the methodology in Chapter 3. Key words should abound that will subsequently be used again in Chapter 2. The section is a brief  two to four page summary of the major findings in the field of interest that cites the most current finding in the subject area. A minimum of two to three citations to the literature per paragraph is advisable. The paragraphs must be a summary of unresolved issues, conflicting findings, social concerns, or educational, national, or international issues, and lead to the next section, the statement of the problem. The problem is the gap in the knowledge. The focus of the Background of the Problem is where a gap in the knowledge is found in the current body of empirical (research) literature.

Statement of the Problem

Arising from the background statement is this statement of the exact gap in the knowledge discussed in previous paragraphs that reviewed the most current literature found. A gap in the knowledge is the entire reason for the study, so state it specifically and exactly. Use the words “gap in the knowledge.” The problem statement will contain a definition of the general need for the study, and the specific problem that will be addressed.

Purpose of the Study

The Purpose of the Study is a statement contained within one or two paragraphs that identifies the research design, such as qualitative, quantitative, mixed methods, ethnographic, or another design. The research variables, if a quantitative study, are identified, for instance, independent, dependent, comparisons, relationships, or other variables. The population that will be used is identified, whether it will be randomly or purposively chosen, and the location of the study is summarized. Most of these factors will be discussed in detail in Chapter 3.

Significance of the Study

The significance is a statement of why it is important to determine the answer to the gap in the knowledge, and is related to improving the human condition. The contribution to the body of knowledge is described, and summarizes who will be able to use the knowledge to make better decisions, improve policy, advance science, or other uses of the new information. The “new” data is the information used to fill the gap in the knowledge.

Primary Research Questions

The primary research question is the basis for data collection and arises from the Purpose of the Study. There may be one, or there may be several. When the research is finished, the contribution to the knowledge will be the answer to these questions. Do not confuse the primary research questions with interview questions in a qualitative study, or survey questions in a quantitative study. The research questions in a qualitative study are followed by both a null and an alternate hypothesis.

A hypothesis is a testable prediction for an observed phenomenon, namely, the gap in the knowledge. Each research question will have both a null and an alternative hypothesis in a quantitative study. Qualitative studies do not have hypotheses. The two hypotheses should follow the research question upon which they are based. Hypotheses are testable predictions to the gap in the knowledge. In a qualitative study the hypotheses are replaced with the primary research questions.

Research Design

In Chapter 1 this is a summary of the methodology and contains a brief outline of three things: (a) the participants in a qualitative study or thesubjects of a quantitative study (human participants are referred tyo as participants, non-human subjects are referred to as subjects), (b) the instrumentation used to collect data, and (c) the procedure that will be followed. All of these elements will be reported in detail in Chapter 3. In a quantitative study, the instrumentation will be validated in Chapter 3 in detail. In a qualitative study, if it is a researcher-created questionnaire, validating the correctness of the interview protocol is usually accomplished with a pilot study.  For either a quantitative or a qualitative study, using an already validated survey instrument is easier to defend and does not require a pilot study; however, Chapter 3 must contain a careful review of the instrument and how it was validated by the creator.

In a qualitative study, which usually involves interviews, the instrumentation is an interview protocol – a pre-determined set of questions that every participant is asked that are based on the primary research questions.  A qualitative interview should contain no less than 10 open-ended questions and take no less than 1 hour to administer to qualify as “robust” research.

In the humanities, a demographic survey should be circulated with most quantitative and qualitative studies to establish the parameters of the participant pool. Demographic surveys are nearly identical in most dissertations. In the sciences, a demographic survey is rarely needed.

Theoretical Framework

The theoretical framework is the foundational theory that is used to provide a perspective upon which the study is based. There are hundreds of theories in the literature.  For instance, if a study in the social sciences is about stress that may be causing teachers to quit, Apple’s Intensification Theory could be cited as the theory was that stress is cumulative and the result of continuing overlapping, progressively stringent responsibilities for teachers that eventually leads to the desire to quit. In the sciences, research about new species that may have evolved from older, extinct species would be based on the theory of evolution pioneered by Darwin.

Some departments put the theoretical framework explanation in Chapter 1; some put it in Chapter 2.

Assumptions, Limitations, and Scope (Delimitations)

Assumptions are self-evident truths.  In a qualitative study, it may be assumed that participants be highly qualified in the study is about administrators.  It can be assumed that participants will answer truthfully and accurately to the interview questions based on their personal experience, and that participants will respond honestly and to the best of their individual abilities.

Limitations of a study are those things over which the research has no control. Evident limitations are potential weaknesses of a study. Researcher biases and perceptual misrepresentations are potential limitations in a qualitative study; in a quantitative study, a limitation may be the capability of an instrument to accurately record data.

Scope is the extent of the study and contains measurements. In a qualitative study this would include the number of participants, the geographical location, and other pertinent numerical data. In a quantitative study the size of the elements of the experiment are cited. The generalizability of the study may be cited. The word generalizability, which is not in the Word 2007 dictionary, means the extent to which the data are applicable in places other than where the study took place, or under what conditions the study took place.

Delimitations are limitations on the research design imposed deliberately by the researcher. Delimitations in a social sciences study would be such things as the specific school district where a study took place, or in a scientific study, the number of repetitions.

Definition of Terms

The definition of terms is written for knowledgeable peers, not people from other disciplines As such, it is not the place to fill pages with definitions that knowledgeable peers would know at a glance. Instead, define terms that may have more than one meaning among knowledgeable peers.

This short section is the centerpiece of the topic development  process, as it helps to illustrate the need for your study by explaining the problem that you will address with your dissertation, including whom the problem affects and how. Because your dissertation must contribute to an existing gap in the research, it is important that you draw only from very recent sources (i.e., those published within the last 3 to 5 years) when developing the problem statement.

A common mistake we encourage our dissertation assistance clients to avoid is equating a lack of research with the research gap; these are not the same thing. Instead, the research gap actually consists of at least three other recent studies that express a need for additional quantitative or qualitative research in a particular area. Another common error is to use this section to describe what you intend to investigate through your study or to explain what type of statistical analysis or qualitative analysis   you have planned; but, save that information for later in the chapter and just focus on the problem for now.

What Are the Essential Elements of the Problem Statement Section?

  • Description of problem of interest, including whom it affects and how
  • Prevalence statistic (i.e., how widespread is the problem?)
  • Citations of 12-15 recent (i.e., published within last 3-5 years) sources that document the existence of the problem
  • Citations of at least three current studies that note a need for additional research on the topic

Purpose: What Is the Overall Aim of This Section?

In this very short section of the chapter, your goal is to help the reader understand the aims of your dissertation. The first sentence—or purpose statement—should contain all key information on how you intend to address the problem you articulated in the previous section (Bloomberg & Volpe, 2008). As the purpose statement is presented verbatim throughout the dissertation, it helps to be thorough and yet concise, stating the method, design, variables or phenomena of interest, population, and often, location of the study. Our dissertation assistance clients often find that they need to go through a few rounds of committee review and editing in order to get the phrasing of the purpose statement just right.

An important note is that the verbs you choose for the purpose statement must align with the research method and design . For example, you might say that the purpose of a qualitative research study is to explore the lived experiences of your participants with regard to some specific phenomenon. On the other hand, you would not use the verb “explore” if you’re planning a study that involves statistical analysis of relationships between variables. For quantitative studies, use verbs such as “examine” or “investigate.” As an example, you might say that the purpose of a quantitative correlational study is to examine the relationship between two or more variables of interest.

Research questions must also be carefully worded so that they reflect the research approach and intended analysis. For example, statistical analysis terminology such as “relationship” and “difference” should not be used in qualitative research questions, as qualitative analysis  cannot determine relationships or differences between variables. As with your dissertation’s purpose statement, perfecting the research questions may require a few rounds of committee review and editing because every word matters.

If you are planning to conduct qualitative research, it may help to understand that the research questions are not the same as the interview questions  that you will later ask your participants. This is a common misunderstanding among our dissertation consulting clients who are conducting qualitative research for the first time. For example, imagine that you are planning a qualitative analysis of African American executives’ experiences of ascent to leadership positions. Although you might be interested in asking your participants questions about their early experiences, education, mentorship, training, and networking, you wouldn’t write research questions for each of these topics. With a theoretical framework, you base this structure on established theories that help to explain how specific variables or dimensions relate to each other; with a conceptual framework, you base the structure on your own literature-based analysis of how key variables or phenomena relate to one another. To provide an appropriate explanatory structure, the theoretical or conceptual framework needs to align with your problem, purpose, and research questions (Grant & Osanloo, 2014). Whether you are conducting qualitative analysis or statistical analysis, you will also need to interpret your dissertation’s findings through the lens of your framework in your discussion chapter .

Your objective in this section is to help readers understand the assumptions that it was necessary for you to make to conduct your study; these are aspects of your dissertation that you believe—but cannot prove—to be true. One common assumption is that participants will respond to questions honestly and accurately. Note that for quantitative studies,  there will also be assumptions that are related to the statistical analysis regarding properties of the data, such as independence of observations, normality of the distribution, and homogeneity of variances. For example, internal validity may be threatened if you are using an instrument with incomplete or inadequate psychometric properties, and procedures such as convenience sampling may limit the external validity (i.e., generalizability) of your results. The small, purposive samples typically used in qualitative research also limit generalizability, and even though this is normal and expected, it is still important to acknowledge this limitation formally.

While in some institutions PhD students may be required to write more chapters, these three chapters are the meat of any thesis proposal. This article focuses on how to write chapter 1 of a PhD thesis proposal.

Chapter 1 of a thesis proposal has about 10 sections discussed below:

Introduction to the chapter

Background to the study, statement of the problem, justification of the study, significance of the study, objectives of the study and/or research questions, scope of the study, limitations and delimitations of the study, definition of terms, chapter summary, final thoughts on how to write chapter 1 of a phd thesis proposal, related posts.

This is the first section of chapter 1 of a thesis proposal. It is normally short about a paragraph in length. Its purpose is to inform the readers what the chapter is all about.

This section is the longest in chapter 1 of a thesis proposal.

It is important to use existing data and statistics to show the magnitude of the issue. For example, if the proposal is on maternal health in South Africa, then the background of the study will discuss maternal health from the global perspective, then maternal health in Africa, and then it will narrow down to maternal health in South Africa. It will provide data and statistics provided by reports from the Millennium Development Goals (MDGs), Sustainable Development Goals (SDGs), and demographic and health surveys (DHS) of various countries and specifically South Africa, among other reports. Such information paints a clear picture of the problem under investigation and sets the stage for the discussion of the problem statement.

The background to the study should be clear and comprehensive enough such that your readers will be on the same page after reading the section, irrespective of their prior knowledge in your research topic.

While reviewing literature for this section, a good practice is to build mind maps that highlight the important concepts for the study topic and how those concepts relate to each other.

It is also referred to as problem statement or issue under investigation.

The statement of the problem is the elephant in the “chapter 1” room. It is what most students struggle with and the area that can make or break a proposal defense.

It is very common to hear supervisors or defense panelists make comments such as:

“I don’t see any problem here.”

“This problem is not a problem.”

“This problem does not warrant a PhD-level study.”

When writing the statement of the problem, start the section with the problem, as in… The problem (or issue) under investigation is ….

After stating the problem then follow it up with an explanation of why it is a problem.

For PhD students, the problem under investigation should be complex enough to warrant a doctoral-level study and at the same time it should add to the body of knowledge in your chosen field of study. The latter – addition to knowledge – is what distinguishes a PhD-level thesis from a Masters-level thesis.

While crafting the problem statement it is also important to remember that the problem will influence the research objectives and the research methodology as well. The student should therefore think through these aspects carefully.

The justification is used to address the need for conducting the study and addressing the problem. It therefore follows the problem statement.

It is also referred to as the rationale for the study and addresses the “why” of the study: Why does this problem warrant an investigation? What is the purpose for carrying out the study?

In the example of maternal health in South Africa, the rationale or justification for the study would be the high maternal mortality ratios in South Africa and their undesirable effects on children and family. Therefore the study would help bring to light the major causes of maternal mortality in the country and how they can best be mitigated.

Whereas the justification of the study addresses the need for the study, the significance of the study highlights the benefits that would accrue after the study is completed.

The significance can be looked at from two perspectives:

  • Academic perspective
  • Practical perspective

For the academic perspective , the significance entails how the study would contribute to the existing body of knowledge in the chosen topic. Will it add to the methodology? Theory? New data? Will it study a population or phenomenon that has been neglected?

For PhD students, the addition to the body of knowledge is key, and should always be at the back of the student’s mind.

For the practical perspective , the significance of the study would be the impact and benefits that different stakeholders would derive from the findings of the study.

Depending on the study, the stakeholders may include: the Government, policymakers, different ministries and their agencies, different institutions, individuals, a community etc. This will vary from one study to another.

The significance of the study is best presented from a general to specific manner, like an inverted pyramid.

How to present significance of study

Each beneficiary is discussed separately.

Research questions are the question form of the research objectives. Depending on your institution and/or department where you are doing your PhD you may have both objectives and research questions or either.

There are two types of objectives: the general objective and the specific objectives. The general objective is a reflection of the study topic while the specific objectives are a breakdown of the general objective.

Coming up with good research objectives is an important step of any PhD thesis proposal. This is because the research objectives will determine whether the research problem will be adequately addressed and at the same time it will influence the research methodology that the study will adopt.

Research objectives should therefore emanate from the research problem.

While crafting the objectives, think about all those things that you would like to accomplish for your study and if by doing them they will address the research problem in totality.

Once you’ve noted all those activities that you would like to undertake, group the like ones together so as to narrow them down to 4 or 5 strong objectives.

The number of research objectives that PhD students should come up with will be determined by the requirements of their institution. However, the objectives should be adequate enough such that a single paper can be produced from each objective. This is important in ensuring that the PhD student publishes as many papers as is required by their institution.

Objectives are usually stated using action verbs. For instance: to examine, to analyse, to understand, to review, to investigate… etc.

It is important to understand the meaning of the action verbs used in the research objectives because different action verbs imply different methodology approaches. For instance: to analyse implies a quantitative approach, whereas to explore implies a qualitative approach.

Therefore, if a study will use purely quantitative research methodology, then the action verbs for the research objectives should strictly reflect that. Same case applies to qualitative studies. Studies that use a mixed-methods approach can have a mix of the action verbs.

Have a variety of the action verbs in your research objectives. Don’t just use the same action verb throughout.

Useful tip: To have a good idea of the action verbs that scholars use, create an Excel file with three columns: 1) action verb, 2) example of research objective, and 3) research methodology used. Then every time you read a journal paper, note down the objectives stated in that paper and fill in the three columns respectively. Besides journal papers, past PhD theses and dissertations are a good source of how research objectives are stated.

Another important point to remember is that the research objectives will form the basis of the discussion chapter. Each research objective will be discussed separately and will form its own sub-chapter under the discussion chapter. This is why the complexity of the research objectives is important especially for PhD students.

The scope of the study simply means the boundaries or the space within which the study will be undertaken.

Most studies have the potential of covering a wider scope than stated but because of time and budget constraints the scope gets narrowed down.

When defining the scope for a PhD study, it should not be too narrow or too wide but rather it should be adequate enough to meet the requirements of the program.

The scope chosen by the student should always be justified.

Limitations refer to factors that may affect a study which are not under the control of the student.

Delimitations on the other hand are factors that may affect the study for which the student has control.

Limitations are therefore caused by circumstances while delimitations are a matter of choice of the student.

It is therefore important for the student to justify their delimitations and mitigate their study’s limitations.

Examples of study limitations:

– political unrest in a region of interest: this can be mitigated by choosing another region for the study.

– covid-19 restrictions may limit physical collection of data: this can be mitigated by collecting data via telephone interviews or emailing questionnaires to the respondents.

Examples of study delimitations:

– choice of a particular community as the unit of the study: in this case the student should justify why that particular community was chosen over others.

– use of quantitative research methodology only: in this case the student should justify why they chose the research methodology over mixed-methods research.

The definition of key terms used in the study is important because it helps the readers understand the main concepts of the study. Not all readers have the background information or knowledge about the focus of the study.

However, the definitions used should be the denotative definitions, rather than the connotative (dictionary) definitions. Therefore the context within which the terms have been used should be provided.

This is the last section of the introduction chapter and it basically informs the reader what the chapter covered.

Like the introduction to the chapter, the chapter summary should be short: about one paragraph in length.

Chapter 1 of a PhD thesis proposal is an important chapter because it lays the foundation for the rest of the proposal and the thesis itself. Its role is to inspire and motivate the readers to read on. The most challenging task with chapter 1 is learning how to state the problem in a manner that is clear and to the point. For PhD students, the research problem should be complex enough to warrant a doctoral-level study.

Summarizing , or writing a summary, means giving a concise overview of a text’s main points in your own words. A summary is always much shorter than the original text.

There are five key steps that can help you to write a summary:

  • Read the text
  • Break it down into sections
  • Identify the key points in each section
  • Write the summary
  • Check the summary against the article

Writing a summary does not involve critiquing or evaluating the source . You should simply provide an accurate account of the most important information and ideas (without copying any text from the original).

There are many situations in which you might have to summarize an article or other source:

When you’re writing an academic text like an essay , research paper , or dissertation , you’ll integrate sources in a variety of ways. You might use a brief quote to support your point, or paraphrase a few sentences or paragraphs.

But it’s often appropriate to summarize a whole article or chapter if it is especially relevant to your own research, or to provide an overview of a source before you analyze or critique it.

You should read the article more than once to make sure you’ve thoroughly understood it. It’s often effective to read in three stages:

  • Scan the article quickly to get a sense of its topic and overall shape.
  • Read the article carefully, highlighting important points and taking notes as you read.
  • Skim the article again to confirm you’ve understood the key points, and reread any particularly important or difficult passages.

There are some tricks you can use to identify the key points as you read:

  • Start by reading the abstract . This already contains the author’s own summary of their work, and it tells you what to expect from the article.

  • Read the introduction and the conclusion together and compare them: What did the author set out to do, and what was the outcome?

If the text is a scientific paper that follows a standard empirical structure, it is probably already organized into clearly marked sections, usually including an introduction , methods , results , and discussion .

Other types of articles may not be explicitly divided into sections. But most articles and essays will be structured around a series of sub-points or themes.

Now it’s time go through each section and pick out its most important points. What does your reader need to know to understand the overall argument or conclusion of the article?

Keep in mind that a summary does not involve paraphrasing every single paragraph of the article. Your goal is to extract the essential points, leaving out anything that can be considered background information or supplementary detail.

In a scientific article, there are some easy questions you can ask to identify the key points in each part.

If the article takes a different form, you might have to think more carefully about what points are most important for the reader to understand its argument.

In that case, pay particular attention to the thesis statement —the central claim that the author wants us to accept, which usually appears in the introduction—and the topic sentences that signal the main idea of each paragraph.

Now that you know the key points that the article aims to communicate, you need to put them in your own words.

To avoid plagiarism and show you’ve understood the article, it’s essential to properly paraphrase the author’s ideas. Do not copy and paste parts of the article, not even just a sentence or two.

The best way to do this is to put the article aside and write out your own understanding of the author’s key points.

Examples of article summaries

Let’s take a look at an example. Below, we summarize this article , which scientifically investigates the old saying “an apple a day keeps the doctor away.”

Davis et al. (2015) set out to empirically test the popular saying “an apple a day keeps the doctor away.” Apples are often used to represent a healthy lifestyle, and research has shown their nutritional properties could be beneficial for various aspects of health. The authors’ unique approach is to take the saying literally and ask: do people who eat apples use healthcare services less frequently? If there is indeed such a relationship, they suggest, promoting apple consumption could help reduce healthcare costs.

The study used publicly available cross-sectional data from the National Health and Nutrition Examination Survey. Participants were categorized as either apple eaters or non-apple eaters based on their self-reported apple consumption in an average 24-hour period. They were also categorized as either avoiding or not avoiding the use of healthcare services in the past year. The data was statistically analyzed to test whether there was an association between apple consumption and several dependent variables: physician visits, hospital stays, use of mental health services, and use of prescription medication.

Although apple eaters were slightly more likely to have avoided physician visits, this relationship was not statistically significant after adjusting for various relevant factors. No association was found between apple consumption and hospital stays or mental health service use. However, apple eaters were found to be slightly more likely to have avoided using prescription medication. Based on these results, the authors conclude that an apple a day does not keep the doctor away, but it may keep the pharmacist away. They suggest that this finding could have implications for reducing healthcare costs, considering the high annual costs of prescription medication and the inexpensiveness of apples.

However, the authors also note several limitations of the study: most importantly, that apple eaters are likely to differ from non-apple eaters in ways that may have confounded the results (for example, apple eaters may be more likely to be health-conscious). To establish any causal relationship between apple consumption and avoidance of medication, they recommend experimental research.

An article summary like the above would be appropriate for a stand-alone summary assignment. However, you’ll often want to give an even more concise summary of an article.

For example, in a literature review or meta analysis you may want to briefly summarize this study as part of a wider discussion of various sources. In this case, we can boil our summary down even further to include only the most relevant information.

Using national survey data, Davis et al. (2015) tested the assertion that “an apple a day keeps the doctor away” and did not find statistically significant evidence to support this hypothesis. While people who consumed apples were slightly less likely to use prescription medications, the study was unable to demonstrate a causal relationship between these variables.

When including a summary as part of a larger text, it’s essential to properly cite the source you’re summarizing. The exact format depends on your citation style , but it usually includes an in-text citation and a full reference at the end of your paper.

Imagine summing up all your life’s work and experience in a single paper. This is what goes into writing a dissertation. These papers represent the culmination of years of study, research and experience, and are required before receiving a terminal degree, such as a doctorate. Dissertation papers usually begin with abstracts, which are summaries that preview the information in the paper. An accurate and interesting summary briefly presents your study's purpose, results, conclusions and recommendations.

Compose most, if not all, of your dissertation before you begin the summary. Review the dissertation with the intention of writing an abstract to help you pick out the most vital and interesting parts that will grab your reader’s interest.

Pre-write the abstract, focusing on listing your thesis topic or purpose, your research methods and the general results and conclusions you drew from the research discussed in your dissertation. Avoid using direct references to your research in the introduction. Use the abstract to clearly and concisely state your ideas and conclusions.

Revise your prewriting. Put all the information into grammatically correct sentences with proper spelling.

Re-read your abstract and make any further adjustments. Check that the organization is logical, starting with your thesis and ending with your conclusions and recommendations.

Ask a friend, professor or someone familiar with your research to read the summary. A new set of eyes may catch structural or organizational errors, or missing content.

Thesis and Dissertation Guide

I. Order and Components

Please see the sample thesis or dissertation pages throughout and at the end of this document for illustrations. The following order is required for components of your thesis or dissertation:

  • Dedication, Acknowledgements, and Preface (each optional)
  • Table of Contents, with page numbers
  • List of Tables, List of Figures, or List of Illustrations, with titles and page numbers (if applicable)
  • List of Abbreviations (if applicable)
  • List of Symbols (if applicable)
  • Introduction, if any
  • Main body, with consistent subheadings as appropriate
  • Appendices (if applicable)
  • Endnotes (if applicable)
  • References (see section on References for options)

Many of the components following the title and copyright pages have required headings and formatting guidelines, which are described in the following sections.

Please consult the Sample Pages to compare your document to the requirements. A Checklist is provided to assist you in ensuring your thesis or dissertation meets all formatting guidelines.

The title page of a thesis or dissertation must include the following information:

  • The title of the thesis or dissertation in all capital letters and centered 2″ below the top of the page.
  • Your name, centered 1″ below the title. Do not include titles, degrees, or identifiers. The name you use here does not need to exactly match the name on your university records, but we recommend considering how you will want your name to appear in professional publications in the future.

Notes on this statement:

  • When indicating your degree in the second bracketed space, use the full degree name (i.e., Doctor of Philosophy, not Ph.D. or PHD; Master of Public Health, not M.P.H. or MPH; Master of Social Work, not M.S.W. or MSW).
  • List your department, school, or curriculum rather than your subject area or specialty discipline in the third bracketed space. You may include your subject area or specialty discipline in parentheses (i.e., Department of Romance Languages (French); School of Pharmacy (Molecular Pharmaceutics); School of Education (School Psychology); or similar official area).
  • If you wish to include both your department and school names, list the school at the end of the statement (i.e., Department of Pharmacology in the School of Medicine).
  • A dissertation submitted to the faculty at the University of North Carolina at Chapel Hill in partial fulfillment of the requirements for the degree of Doctor of Philosophy in the Department of Public Policy.
  • A thesis submitted to the faculty at the University of North Carolina at Chapel Hill in partial fulfillment of the requirements for the degree of Master of Science in the School of Dentistry (Endodontics).
  • A thesis submitted to the faculty at the University of North Carolina at Chapel Hill in partial fulfillment of the requirements for the degree of Master of Science in the Department of Nutrition in the Gillings School of Global Public Health.
  • A dissertation submitted to the faculty at the University of North Carolina at Chapel Hill in partial fulfillment of the requirements for the degree of Doctor of Philosophy in the School of Education (Cultural Studies and Literacies).
  • The words “Chapel Hill” must be centered 1″ below the statement.
  • One single-spaced line below that, center the year in which your committee approves the completed thesis or dissertation. This need not be the year you graduate.
  • Approximately 2/3 of the way across the page on the right-hand side of the page, 1″ below the year, include the phrase “Approved by:” (with colon) followed by each faculty member's name on subsequent double-spaced lines. Do not include titles such as Professor, Doctor, Dr., PhD, or any identifiers such as “chair” or “advisor” before or after any names. Line up the first letter of each name on the left under the “A” in the “Approved by:” line. If a name is too long to fit on one line, move this entire section of text slightly to the left so that formatting can be maintained.
  • No signatures, signature lines, or page numbers should be included on the title page.

Include a copyright page with the following information single-spaced and centered 2″ above the bottom of the page:

This page immediately follows the title page. It should be numbered with the lower case Roman numeral ii centered with a 1/2″ margin from the bottom edge.

Inclusion of this page offers you, as the author, additional protection against copyright infringement as it eliminates any question of authorship and copyright ownership. You do not need to file for copyright in order to include this statement in your thesis or dissertation. However, filing for copyright can offer other protections.

Include an abstract page following these guidelines:

  • Include the heading “ABSTRACT” in all capital letters, and center it 2″ below the top of the page.
  • One double-spaced line below “ABSTRACT”, center your name, followed by a colon and the title of the thesis or dissertation. Use as many lines as necessary. Be sure that your name and the title exactly match the name and title used on the Title page.
  • One single-spaced line below the title, center the phrase “(Under the direction of [advisor's name])”. Include the phrase in parentheses. Include the first and last name(s) of your advisor or formal co-advisors. Do not include the name of other committee members. Use the advisor's name only; do not include any professional titles such as PhD, Professor, or Dr. or any identifiers such as “chair” or “advisor”.
  • Skip one double-spaced line and begin the abstract. The text of your abstract must be double-spaced and aligned with the document's left margin with the exception of indenting new paragraphs. Do not center or right-justify the abstract.
  • Abstracts cannot exceed 150 words for a thesis or 350 words for a dissertation.
  • Number the abstract page with the lower case Roman numeral iii (and iv, if more than one page) centered with a 1/2″ margin from the bottom edge.

Please write and proofread your abstract carefully. When possible, avoid including symbols or foreign words in your abstract, as they cannot be indexed or searched. Avoid mathematical formulas, diagrams, and other illustrative materials in the abstract. Offer a brief description of your thesis or dissertation and a concise summary of its conclusions. Be sure to describe the subject and focus of your work with clear details and avoid including lengthy explanations or opinions.

Your title and abstract will be used by search engines to help potential audiences locate your work, so clarity will help to draw the attention of your targeted readers.

You have an option to include a dedication, acknowledgements, or preface. If you choose to include any or all of these elements, give each its own page(s).

A dedication is a message from the author prefixed to a work in tribute to a person, group, or cause. Most dedications are short statements of tribute beginning with “To…” such as “To my family”.

Acknowledgements are the author's statement of gratitude to and recognition of the people and institutions that helped the author's research and writing.

A preface is a statement of the author's reasons for undertaking the work and other personal comments that are not directly germane to the materials presented in other sections of the thesis or dissertation. These reasons tend to be of a personal nature.

Any of the pages must be prepared following these guidelines:

  • Do not place a heading on the dedication page.
  • The text of short dedications must be centered and begin 2″ from the top of the page.
  • Headings are required for the “ACKNOWLEDGEMENTS” and “PREFACE” pages. Headings must be in all capital letters and centered 2″ below the top of the page.
  • The text of the acknowledgements and preface pages must begin one double-spaced line below the heading, be double-spaced, and be aligned with the document's left margin with the exception of indenting new paragraphs.
  • Subsequent pages of text return to the 1″ top margin.
  • The page(s) must be numbered with consecutive lower case Roman numerals (starting with the page number after the abstract) centered with a 1/2″ margin from the bottom edge.

Include a table of contents following these guidelines:

  • Include the heading “TABLE OF CONTENTS” in all capital letters, and center it 2″ below the top of the page.
  • Include one double-spaced line between the heading and the first entry.
  • The table of contents should not contain listings for the pages that precede it, but it must list all parts of the thesis or dissertation that follow it.
  • If relevant, be sure to list all appendices and a references section in your table of contents. Include page numbers for these items but do not assign separate chapter numbers.
  • Entries must align with the document's left margin or be indented to the right of the left page margin using consistent tabs.
  • Major subheadings within chapters must be included in the table of contents. The subheading(s) should be indented to the right of the left page margin using consistent tabs.
  • If an entry takes up more than one line, break up the entry about three-fourths of the way across the page and place the rest of the text on a second line, single-spacing the two lines.
  • Include one double-spaced line between each entry.
  • Page numbers listed in the table of contents must be located just inside the right page margin with leaders (lines of periods) filling out the space between the end of the entry and the page number. The last digit of each number must line up on the right margin.
  • Information included in the table of contents must match the headings, major subheadings, and numbering used in the body of the thesis or dissertation.
  • The Table of Contents page(s) must be numbered with consecutive lower case Roman numerals centered with a 1/2″ margin from the bottom edge.

Lists of Tables, Figures, and Illustrations

If applicable, include a list of tables, list of figures, and/or list of illustrations following these guidelines:

  • Include the heading(s) in all capital letters, centered 1″ below the top of the page.
  • Each entry must include a number, title, and page number.
  • Assign each table, figure, or illustration in your thesis or dissertation an Arabic numeral. You may number consecutively throughout the entire work (e.g., Figure 1, Figure 2, etc.), or you may assign a two-part Arabic numeral with the first number designating the chapter in which it appears, separated by a period, followed by a second number to indicate its consecutive placement in the chapter (e.g., Table 3.2 is the second table in Chapter Three).
  • Numerals and titles must align with the document's left margin or be indented to the right of the left page margin using consistent tabs.
  • Page numbers must be located just inside the right page margin with leaders (lines of periods) filling out the space between the end of the entry and the page number. The last digit of each number must line up on the right margin.
  • Numbers, titles, and page numbers must each match the corresponding numbers, titles, and page numbers appearing in the thesis or dissertation.
  • All Lists of Tables, Figures, and Illustrations page(s) must be numbered with consecutive lower case Roman numerals centered with a 1/2″ margin from the bottom edge.

If you use abbreviations extensively in your thesis or dissertation, you must include a list of abbreviations and their corresponding definitions following these guidelines:

  • Include the heading “LIST OF ABBREVIATIONS” in all capital letters, and center it 1″ below the top of the page.
  • Arrange your abbreviations alphabetically.
  • Abbreviations must align with the document's left margin or be indented to the right of the left page margin using consistent tabs.
  • If an entry takes up more than one line, single-space between the two lines.
  • The List of Abbreviations page(s) must be numbered with consecutive lower case Roman numerals centered with a 1/2″ margin from the bottom edge.

If you use symbols in your thesis or dissertation, you may combine them with your abbreviations, titling the section “LIST OF ABBREVIATIONS AND SYMBOLS”, or you may set up a separate list of symbols and their definitions by following the formatting instructions above for abbreviations. The heading you choose must be in all capital letters and centered 1″ below the top of the page.
