Bar charts are a graphical representation of data using rectangular bars to show quantities or frequencies in an established category. They make it easy for readers to spot patterns or trends. Bar charts can be horizontal or vertical, although the vertical format is commonly known as a column chart. They display categorical, discrete, or continuous variables grouped in class intervals [1] . They include an axis and a set of labeled bars horizontally or vertically. These bars represent the frequencies of variable values or the values themselves. Numbers on the y-axis of a vertical bar chart or the x-axis of a horizontal bar chart are called the scale.

Let’s say a sales manager is presenting sales to their audience. Using a bar chart, he follows these steps.

Step 1: Selecting Data

The first step is to identify the specific data you will present to your audience.

The sales manager has highlighted these products for the presentation.

  • Product A: Men’s Shoes
  • Product B: Women’s Apparel
  • Product C: Electronics
  • Product D: Home Decor

Step 2: Choosing Orientation

Opt for a vertical layout for simplicity. Vertical bar charts help compare different categories in case there are not too many categories [1] . They can also help show different trends. Line graphs help illustrate data trends, progressions, or fluctuations by connecting a series of data points called ‘markers’ with straight line segments. This provides a straightforward representation of how values change [5] . Their versatility makes them invaluable for scenarios requiring a visual understanding of continuous data. In addition, line graphs are also useful for comparing multiple datasets over the same timeline. Using multiple line graphs allows us to compare more than one data set. They simplify complex information so the audience can quickly grasp the ups and downs of values. From tracking stock prices to analyzing experimental results, you can use line graphs to show how data changes over a continuous timeline. They show trends with simplicity and clarity.

Real-life Application of Line Graphs

To understand line graphs thoroughly, we will use a real case. Imagine you’re a financial analyst presenting a tech company’s monthly sales for a licensed product over the past year. Investors want insights into sales behavior by month, how market trends may have influenced sales performance and reception to the new pricing strategy. To present data via a line graph, you will complete these steps.

First, you need to gather the data. In this case, your data will be the sales numbers. For example:

After choosing the data, the next step is to select the orientation. Like bar charts, you can use vertical or horizontal line graphs. However, we want to keep this simple, so we will keep the timeline (x-axis) horizontal while the sales numbers (y-axis) vertical.

After adding the data to your preferred software, you will plot a line graph. In the graph, each month’s sales are represented by data points connected by a line.

A data dashboard is a visual tool for analyzing information. Different graphs, charts, and tables are consolidated in a layout to showcase the information required to achieve one or more objectives. Dashboards help quickly see Key Performance Indicators (KPIs). You don’t make new visuals in the dashboard; instead, you use it to display visuals you’ve already made in worksheets [3] .

Keeping the number of visuals on a dashboard to three or four is recommended. Adding too many can make it hard to see the main points [4]. Dashboards can be used for business analytics to analyze sales, revenue, and marketing metrics at a time. They are also used in the manufacturing industry, as they allow users to grasp the entire production scenario at the moment while tracking the core KPIs for each line.

Consider a project manager presenting a software development project’s progress to a tech company’s leadership team. He follows the following steps.

Step 1: Defining Key Metrics

However, creating an effective dashboard requires careful planning to avoid clutter. Besides, dashboards rely on the availability and accuracy of underlying data sources.

Treemap charts represent hierarchical data structured in a series of nested rectangles [6] . As each branch of the ‘tree’ is given a rectangle, smaller tiles can be seen representing sub-branches, meaning elements on a lower hierarchical level than the parent rectangle. Each one of those rectangular nodes is built by representing an area proportional to the specified data dimension.

Treemaps are useful for visualizing large datasets in compact space. It is easy to identify patterns, such as which categories are dominant. Common applications of the treemap chart are seen in the IT industry, such as resource allocation, disk space management, website analytics, etc. Also, they can be used in multiple industries like healthcare data analysis, market share across different product categories, or even in finance to visualize portfolios.

Real-Life Application of a Treemap Chart

Let’s consider a financial scenario where a financial team wants to represent the budget allocation of a company. There is a hierarchy in the process, so it is helpful to use a treemap chart. In the chart, the top-level rectangle could represent the total budget, and it would be subdivided into smaller rectangles, each denoting a specific department. Further subdivisions within these smaller rectangles might represent individual projects or cost categories.

Step 1: Define Your Data Hierarchy

While presenting data on the budget allocation, start by outlining the hierarchical structure. The sequence will be like the overall budget at the top, followed by departments, projects within each department, and finally, individual cost categories for each project.

  • Top-level rectangle: Total Budget
  • Second-level rectangles: Departments (Engineering, Marketing, Sales)
  • Third-level rectangles: Projects within each department
  • Fourth-level rectangles: Cost categories for each project (Personnel, Marketing Expenses, Equipment)

Step 2: Choose a Suitable Tool

It’s time to select a data visualization tool supporting Treemaps. Popular choices include Tableau, Microsoft Power BI, PowerPoint, or even coding with libraries like D3.js. It is vital to ensure that the chosen tool provides customization options for colors, labels, and hierarchical structures.

Here, the team uses PowerPoint for this guide because of its user-friendly interface and robust Treemap capabilities.

Step 3: Make a Treemap Chart with PowerPoint

After opening the PowerPoint presentation, they chose “SmartArt” to form the chart. The SmartArt Graphic window has a “Hierarchy” category on the left.  Here, you will see multiple options. You can choose any layout that resembles a Treemap. The “Table Hierarchy” or “Organization Chart” options can be adapted. The team selects the Table Hierarchy as it looks close to a Treemap.

Step 5: Input Your Data

After that, a new window will open with a basic structure. They add the data one by one by clicking on the text boxes. They start with the top-level rectangle, representing the total budget.

Step 6: Customize the Treemap

By clicking on each shape, they customize its color, size, and label. At the same time, they can adjust the font size, style, and color of labels by using the options in the “Format” tab in PowerPoint. Using different colors for each level enhances the visual difference.

Treemaps excel at illustrating hierarchical structures. These charts make it easy to understand relationships and dependencies. They efficiently use space, compactly displaying a large amount of data, reducing the need for excessive scrolling or navigation. Additionally, using colors enhances the understanding of data by representing different variables or categories.

In some cases, treemaps might become complex, especially with deep hierarchies.  It becomes challenging for some users to interpret the chart. At the same time, displaying detailed information within each rectangle might be constrained by space. It potentially limits the amount of data that can be shown clearly. Without proper labeling and color coding, there’s a risk of misinterpretation.

A heatmap is a data visualization tool that uses color coding to represent values across a two-dimensional surface. In these, colors replace numbers to indicate the magnitude of each cell. This color-shaded matrix display is valuable for summarizing and understanding data sets with a glance [7] . The intensity of the color corresponds to the value it represents, making it easy to identify patterns, trends, and variations in the data.

As a tool, heatmaps help businesses analyze website interactions, revealing user behavior patterns and preferences to enhance overall user experience. In addition, companies use heatmaps to assess content engagement, identifying popular sections and areas of improvement for more effective communication. They excel at highlighting patterns and trends in large datasets, making it easy to identify areas of interest.

We can implement heatmaps to express multiple data types, such as numerical values, percentages, or even categorical data. Heatmaps help us easily spot areas with lots of activity, making them helpful in figuring out clusters [8] . When making these maps, it is important to pick colors carefully. The colors need to show the differences between groups or levels of something. And it is good to use colors that people with colorblindness can easily see.

Pie charts are circular statistical graphics divided into slices to illustrate numerical proportions. Each slice represents a proportionate part of the whole, making it easy to visualize the contribution of each component to the total.

The size of the pie charts is influenced by the value of data points within each pie. The total of all data points in a pie determines its size. The pie with the highest data points appears as the largest, whereas the others are proportionally smaller. However, you can present all pies of the same size if proportional representation is not required [9] . Sometimes, pie charts are difficult to read, or additional information is required. A variation of this tool can be used instead, known as the donut chart , which has the same structure but a blank center, creating a ring shape. Presenters can add extra information, and the ring shape helps to declutter the graph.

Pie charts are used in business to show percentage distribution, compare relative sizes of categories, or present straightforward data sets where visualizing ratios is essential.

Real-Life Application of Pie Charts

Consider a scenario where you want to represent the distribution of the data. Each slice of the pie chart would represent a different category, and the size of each slice would indicate the percentage of the total portion allocated to that category.

Step 1: Define Your Data Structure

Imagine you are presenting the distribution of a project budget among different expense categories.

  • Column A: Expense Categories (Personnel, Equipment, Marketing, Miscellaneous)
  • Column B: Budget Amounts ($40,000, $30,000, $20,000, $10,000) Column B represents the values of your categories in Column A.

Step 2: Insert a Pie Chart

Using any of the accessible tools, you can create a pie chart. The most convenient tools for forming a pie chart in a presentation are presentation tools such as PowerPoint or Google Slides.  You will notice that the pie chart assigns each expense category a percentage of the total budget by dividing it by the total budget.

For instance:

  • Personnel: $40,000 / ($40,000 + $30,000 + $20,000 + $10,000) = 40%
  • Equipment: $30,000 / ($40,000 + $30,000 + $20,000 + $10,000) = 30%
  • Marketing: $20,000 / ($40,000 + $30,000 + $20,000 + $10,000) = 20%
  • Miscellaneous: $10,000 / ($40,000 + $30,000 + $20,000 + $10,000) = 10%

You can make a chart out of this or just pull out the pie chart from the data.

3D pie charts and 3D donut charts are quite popular among the audience. They stand out as visual elements in any presentation slide, so let’s take a look at how our pie chart example would look in 3D pie chart format.

Step 03: Results Interpretation

The pie chart visually illustrates the distribution of the project budget among different expense categories. Personnel constitutes the largest portion at 40%, followed by equipment at 30%, marketing at 20%, and miscellaneous at 10%. This breakdown provides a clear overview of where the project funds are allocated, which helps in informed decision-making and resource management. It is evident that personnel are a significant investment, emphasizing their importance in the overall project budget.

Pie charts provide a straightforward way to represent proportions and percentages. They are easy to understand, even for individuals with limited data analysis experience. These charts work well for small datasets with a limited number of categories.

However, a pie chart can become cluttered and less effective in situations with many categories. Accurate interpretation may be challenging, especially when dealing with slight differences in slice sizes. In addition, these charts are static and do not effectively convey trends over time.

Histograms present the distribution of numerical variables. Unlike a bar chart that records each unique response separately, histograms organize numeric responses into bins and show the frequency of reactions within each bin [10] . The x-axis of a histogram shows the range of values for a numeric variable. At the same time, the y-axis indicates the relative frequencies (percentage of the total counts) for that range of values.

Whenever you want to understand the distribution of your data, check which values are more common, or identify outliers, histograms are your go-to. Think of them as a spotlight on the story your data is telling. A histogram can provide a quick and insightful overview if you’re curious about exam scores, sales figures, or any numerical data distribution.

Real-Life Application of a Histogram

In the histogram data analysis presentation example, imagine an instructor analyzing a class’s grades to identify the most common score range. A histogram could effectively display the distribution. It will show whether most students scored in the average range or if there are significant outliers.

Step 1: Gather Data

He begins by gathering the data. The scores of each student in class are gathered to analyze exam scores.

After arranging the scores in ascending order, bin ranges are set.

Step 2: Define Bins

Bins are like categories that group similar values. Think of them as buckets that organize your data. The presenter decides how wide each bin should be based on the range of the values. For instance, the instructor sets the bin ranges based on score intervals: 60-69, 70-79, 80-89, and 90-100.

Step 3: Count Frequency

Now, he counts how many data points fall into each bin. This step is crucial because it tells you how often specific ranges of values occur. The result is the frequency distribution, showing the occurrences of each group.

Here, the instructor counts the number of students in each category.

  • 60-69: 1 student (Kate)
  • 70-79: 4 students (David, Emma, Grace, Jack)
  • 80-89: 7 students (Alice, Bob, Frank, Isabel, Liam, Mia, Noah)
  • 90-100: 3 students (Clara, Henry, Olivia)

Step 4: Create the Histogram

It’s time to turn the data into a visual representation. Draw a bar for each bin on a graph. The width of the bar should correspond to the range of the bin, and the height should correspond to the frequency.  To make your histogram understandable, label the X and Y axes.

In this case, the X-axis should represent the bins (e.g., test score ranges), and the Y-axis represents the frequency.

The histogram of the class grades reveals insightful patterns in the distribution. Most students, with seven students, fall within the 80-89 score range. The histogram provides a clear visualization of the class’s performance. It showcases a concentration of grades in the upper-middle range with few outliers at both ends. This analysis helps in understanding the overall academic standing of the class. It also identifies the areas for potential improvement or recognition.

Thus, histograms provide a clear visual representation of data distribution. They are easy to interpret, even for those without a statistical background. They apply to various types of data, including continuous and discrete variables. One weak point is that histograms do not capture detailed patterns in students’ data, with seven compared to other visualization methods.

A scatter plot is a graphical representation of the relationship between two variables. It consists of individual data points on a two-dimensional plane. This plane plots one variable on the x-axis and the other on the y-axis. Each point represents a unique observation. It visualizes patterns, trends, or correlations between the two variables.

Scatter plots are also effective in revealing the strength and direction of relationships. They identify outliers and assess the overall distribution of data points. The points’ dispersion and clustering reflect the relationship’s nature, whether it is positive, negative, or lacks a discernible pattern. In business, scatter plots assess relationships between variables such as marketing cost and sales revenue. They help present data correlations and decision-making.

Real-Life Application of Scatter Plot

A group of scientists is conducting a study on the relationship between daily hours of screen time and sleep quality. After reviewing the data, they managed to create this table to help them build a scatter plot graph:

In the provided example, the x-axis represents Daily Hours of Screen Time, and the y-axis represents the Sleep Quality Rating.

The scientists observe a negative correlation between the amount of screen time and the quality of sleep. This is consistent with their hypothesis that blue light, especially before bedtime, has a significant impact on sleep quality and metabolic processes.

There are a few things to remember when using a scatter plot. Even when a scatter diagram indicates a relationship, it doesn’t mean one variable affects the other. A third factor can influence both variables. The more the plot resembles a straight line, the stronger the relationship is perceived [11] . Demystify the numbers. Your audience will thank you.

While a good presentation has data, data alone doesn’t guarantee a good presentation. It’s all about how that data is presented. The quickest way to confuse your audience is by sharing too many details at once. The only data points you should share are those that significantly support your point — and ideally, one point per chart. To avoid the debacle of sheepishly translating hard-to-see numbers and labels, rehearse your presentation with colleagues sitting as far away as the actual audience would. While you’ve been working with the same chart for weeks or months, your audience will be exposed to it for mere seconds. Give them the best chance of comprehending your data by using simple, clear, and complete language to identify X and Y axes, pie pieces, bars, and other diagrammatic elements. Try to avoid abbreviations that aren’t obvious, and don’t assume labeled components on one slide will be remembered on subsequent slides. Every valuable chart or pie graph has an “Aha!” zone — a number or range of data that reveals something crucial to your point. Make sure you visually highlight the “Aha!” zone, reinforcing the moment by explaining it to your audience.

With so many ways to spin and distort information these days, a presentation needs to do more than simply share great ideas — it needs to support those ideas with credible data. That’s true whether you’re an executive pitching new business clients, a vendor selling her services, or a CEO making a case for change.

Data Storytelling: How to Effectively Tell a Story with Data

When you hear the term “data analysis,” what do you think of? Your mind may jump to scouring spreadsheets, implementing algorithms, and making mathematical calculations—all “hard skills” of data analysis. Yet, hard skills are useless without their soft skill counterparts. It’s not enough to just analyze data; you need to know how to communicate the story it tells in a clear, compelling manner—a skill called data storytelling .

According to the Bureau of Labor Statistics , the demand for research analysts is expected to grow 25 percent between 2020 and 2030, much faster than the average across all industries. Many companies have begun including data storytelling as a required skill in analyst job descriptions, while others have opted to hire for data storyteller positions to supplement their existing analytics teams’ abilities. Possessing the skills to both analyze data and communicate its insights can help you stand out as a well-rounded candidate.

Here’s a primer on the key components of data storytelling, why storytelling is an impactful communication tool, and how to craft a compelling narrative of your own.

What Is Data Storytelling?

Data storytelling is the ability to effectively communicate insights from a dataset using narratives and visualizations. It can be used to put data insights into context for and inspire action from your audience.

There are three key components to data storytelling:

  • Data: Thorough analysis of accurate, complete data serves as the foundation of your data story. Analyzing data using descriptive , diagnostic , predictive , and prescriptive analysis can enable you to understand its full picture.
  • Narrative: A verbal or written narrative, also called a storyline, is used to communicate insights gleaned from data, the context surrounding it, and actions you recommend and aim to inspire in your audience.
  • Visualizations: Visual representations of your data and narrative can be useful for communicating its story clearly and memorably. These can be charts, graphs, diagrams, pictures, or videos.

Data storytelling can be used internally (for instance, to communicate the need for product improvements based on user data) or externally (for instance, to create a compelling case for buying your product to potential customers).

The Psychological Power of Storytelling

Humans have told stories since the Cro-Magnon era to communicate with others for survival and record accounts of daily life. While storytelling methods have come a long way since the days of cave paintings, its psychological power holds true tens of thousands of years later.

The brain’s preference for stories over pure data stems from the fact that it takes in so much information every day and needs to determine what’s important to process and remember and what can be discarded.

When someone hears a story, multiple parts of the brain are engaged, including:

  • Wernicke’s area, which controls language comprehension
  • The amygdala, which processes emotional response
  • Mirror neurons, which play a role in empathizing with others

When multiple areas of the brain are engaged, the hippocampus—which stores short-term memories—is more likely to convert the experience of hearing a story into a long-term memory.

Rather than presenting your team with a spreadsheet of data and rattling off numbers, consider how you can engage multiple parts of their brains. Using data storytelling, you can evoke an emotional response on a neural level that can help your points be remembered and acted upon.

How to Craft a Compelling Data Narrative

Data storytelling uses the same narrative elements as any story you’ve read or heard before: characters, setting, conflict, and resolution.

To help illustrate this, imagine you’re a data analyst and just discovered your company’s recent decline in sales has been driven by customers of all genders between the ages of 14 and 23. You find that the drop was caused by a viral social media post highlighting your company’s negative impact on the environment, and craft a narrative using the four key story elements:

  • Characters: The players and stakeholders include customers between the ages of 14 and 23, environmentally conscious consumers, and your internal team. This doesn’t need to be part of your presentation, but you should define the key players for yourself beforehand.
  • Setting: Set the scene by explaining there’s been a recent drop in sales driven by customers of all genders ages 14 to 23. Use a data visualization to show the decline across audience types and highlight the largest drop in young users.
  • Conflict: Describe the root issue: A viral social media post highlighted your company’s negative impact on the environment and caused tens of thousands of young customers to stop using your product. Incorporate research (such as this article in the Harvard Business Review ) about how consumers are more environmentally conscious than ever and how sustainably-marketed products can potentially drive more revenue than their unsustainable counterparts. Remind the team of your company’s current unsustainable manufacturing practices to clarify why customers stopped purchasing your product. Use visualizations here, too.
  • Resolution: Propose your solution. Based on this data, you present a long-term goal to pivot to sustainable manufacturing practices. You also center marketing and public relations efforts on making this pivot visible across all audience segments. Use visualizations that show the investment required for sustainable manufacturing practices can pay off in the form of earning customers from the growing environmentally conscious market segment.

If there isn’t a conflict in your data story—for instance, if the data showed your current marketing campaign was driving traffic and exceeding your goal—you can skip that element and go straight to recommending that the current course of action be maintained.

Whatever story the data tells, you can communicate it effectively by formatting your narrative with these elements and walking your audience through each piece with the help of visualizations.

Communicating the Need for Action

Data storytelling can help turn data insights into action. Without effective communication, insights can go unnoticed or unremembered by your audience; both hard and soft skills are crucial for leveraging data to its fullest potential.

What are Methods of Data Presentation?

The term ’data presentation’ relates to the way you present data in a way that makes even the most clueless person in the room understand. 

Some say it’s witchcraft (you’re manipulating the numbers in some ways), but we’ll just say it’s the power of turning dry, hard numbers or digits into a visual showcase that is easy for people to digest.

Presenting data correctly can help your audience understand complicated processes, identify trends, and instantly pinpoint whatever is going on without exhausting their brains.

Good data presentation helps…

  • Make informed decisions and arrive at positive outcomes . If you see the sales of your product steadily increase throughout the years, it’s best to keep milking it or start turning it into a bunch of spin-offs (shoutout to Star Wars👀).
  • Reduce the time spent processing data . Humans can digest information graphically 60,000 times faster than in the form of text. Grant them the power of skimming through a decade of data in minutes with some extra spicy graphs and charts.
  • Communicate the results clearly . Data does not lie. They’re based on factual evidence and therefore if anyone keeps whining that you might be wrong, slap them with some hard data to keep their mouths shut.

Methods of Data Presentation and Examples

Imagine you have a delicious pepperoni, extra-cheese pizza. You can decide to cut it into the classic 8 triangle slices, the party style 12 square slices, or get creative and abstract on those slices. 

There are various ways for cutting a pizza and you get the same variety with how you present your data. In this section, we will bring you the 10 ways to slice a pizza – we mean to present your data – that will make your company’s most important asset as clear as day. Let’s dive into 10 ways to present data efficiently.

#1 – Tabular 

Among various types of data presentation, tabular is the most fundamental method, with data presented in rows and columns. Excel or Google Sheets would qualify for the job. Nothing fancy.

This is an example of a tabular presentation of data on Google Sheets. Each row and column has an attribute (year, region, revenue, etc.), and you can do a custom format to see the change in revenue throughout the year.

When presenting data as text, all you do is write your findings down in paragraphs and bullet points, and that’s it. A piece of cake to you, a tough nut to crack for whoever has to go through all of the reading to get to the point.

All the above quotes present statistical information in textual form. Since not many people like going through a wall of texts, you’ll have to figure out another route when deciding to use this method, such as breaking the data down into short, clear statements, or even as catchy puns if you’ve got the time to think of them.

A pie chart (or a ‘donut chart’ if you stick a hole in the middle of it) is a circle divided into slices that show the relative sizes of data within a whole. If you’re using it to show percentages, make sure all the slices add up to 100%.

Methods of data presentation

The pie chart is a familiar face at every party and is usually recognised by most people. However, one setback of using this method is our eyes sometimes can’t identify the differences in slices of a circle, and it’s nearly impossible to compare similar slices from two different pie charts, making them the villains in the eyes of data analysts.

The bar chart is a chart that presents a bunch of items from the same category, usually in the form of rectangular bars that are placed at an equal distance from each other. Their heights or lengths depict the values they represent.

They can be as simple as this:

Or more complex and detailed like this example of presentation of data. Contributing to an effective statistic presentation, this one is a grouped bar chart that not only allows you to compare categories but also the groups within them as well.

Similar in appearance to the bar chart but the rectangular bars in histograms don’t often have the gap like their counterparts.

Instead of measuring categories like weather preferences or favourite films as a bar chart does, a histogram only measures things that can be put into numbers.

Teachers can use presentation graphs like a histogram to see which score group most of the students fall into, like in this example above.

Recordings to ways of displaying data, we shouldn’t overlook the effectiveness of line graphs. Line graphs are represented by a group of data points joined together by a straight line. There can be one or more lines to compare how several related things change over time.

On a line chart’s horizontal axis, you usually have text labels, dates or years, while the vertical axis usually represents the quantity (e.g.: budget, temperature or percentage).

A pictogram graph uses pictures or icons relating to the main topic to visualise a small dataset. The fun combination of colours and illustrations makes it a frequent use at schools.

Pictograms are a breath of fresh air if you want to stay away from the monotonous line chart or bar chart for a while. However, they can present a very limited amount of data and sometimes they are only there for displays and do not represent real statistics.

If presenting five or more variables in the form of a bar chart is too stuffy then you should try using a radar chart, which is one of the most creative ways to present data.

Radar charts show data in terms of how they compare to each other starting from the same point. Some also call them ‘spider charts’ because each aspect combined looks like a spider web.

Radar charts can be a great use for parents who’d like to compare their child’s grades with their peers to lower their self-esteem. You can see that each angular represents a subject with a score value ranging from 0 to 100. Each student’s score across 5 subjects is highlighted in a different colour.

If you think that this method of data presentation somehow feels familiar, then you’ve probably encountered one while playing Pokémon .

A heat map represents data density in colours. The bigger the number, the more colour intense that data will be represented.

Most U.S citizens would be familiar with this data presentation method in geography. For elections, many news outlets assign a specific colour code to a state, with blue representing one candidate and red representing the other. The shade of either blue or red in each state shows the strength of the overall vote in that state.

Another great thing you can use a heat map for is to map what visitors to your site click on. The more a particular section is clicked the ‘hotter’ the colour will turn, from blue to bright yellow to red.

If you present your data in dots instead of chunky bars, you’ll have a scatter plot. 

A scatter plot is a grid with several inputs showing the relationship between two variables. It’s good at collecting seemingly random data and revealing some telling trends.

5 Data Presentation Mistakes to Avoid

#1 – assume your audience understands what the numbers represent.

You may know all the behind-the-scenes of your data since you’ve worked with them for weeks, but your audience doesn’t.

Showing without telling only invites more and more questions from your audience, as they have to constantly make sense of your data, wasting the time of both sides as a result.

While showing your data presentations, you should tell them what the data are about before hitting them with waves of numbers first. You can use interactive activities such as polls , word clouds , online quiz and Q&A sections , combined with icebreaker games , to assess their understanding of the data and address any confusion beforehand.

#2 – Use the wrong type of chart

Charts such as pie charts must have a total of 100% so if your numbers accumulate to 193% like this example below, you’re definitely doing it wrong.

Before making a chart, ask yourself: what do I want to accomplish with my data? Do you want to see the relationship between the data sets, show the up and down trends of your data, or see how segments of one thing make up a whole?

Remember, clarity always comes first. Some data visualisations may look cool, but if they don’t fit your data, steer clear of them. 

#3 – Make it 3D

3D is a fascinating graphical presentation example. The third dimension is cool, but full of risks.

The goal of data presentation is to make complex topics much easier to understand, and if you’re bringing too much information to the table, you’re missing the point.

You should set your session with open-ended questions , to avoid dead-communication!

About 1 in 4 u.s. teachers say their school went into a gun-related lockdown in the last school year.

Twenty-five years after the mass shooting at Columbine High School in Colorado , a majority of public K-12 teachers (59%) say they are at least somewhat worried about the possibility of a shooting ever happening at their school. This includes 18% who say they’re extremely or very worried, according to a new Pew Research Center survey.

Pew Research Center conducted this analysis to better understand public K-12 teachers’ views on school shootings, how prepared they feel for a potential active shooter, and how they feel about policies that could help prevent future shootings.

To do this, we surveyed 2,531 U.S. public K-12 teachers from Oct. 17 to Nov. 14, 2023. The teachers are members of RAND’s American Teacher Panel, a nationally representative panel of public school K-12 teachers recruited through MDR Education. Survey data is weighted to state and national teacher characteristics to account for differences in sampling and response to ensure they are representative of the target population.

We also used data from our 2022 survey of U.S. parents. For that project, we surveyed 3,757 U.S. parents with at least one child younger than 18 from Sept. 20 to Oct. 2, 2022. Find more details about the survey of parents here .

Here are the questions used for this analysis , along with responses, and the survey methodology .

Another 31% of teachers say they are not too worried about a shooting occurring at their school. Only 7% of teachers say they are not at all worried.

This survey comes at a time when school shootings are at a record high (82 in 2023) and gun safety continues to be a topic in 2024 election campaigns .

Teachers’ experiences with lockdowns

About a quarter of teachers (23%) say they experienced a lockdown in the 2022-23 school year because of a gun or suspicion of a gun at their school. Some 15% say this happened once during the year, and 8% say this happened more than once.

High school teachers are most likely to report experiencing these lockdowns: 34% say their school went on at least one gun-related lockdown in the last school year. This compares with 22% of middle school teachers and 16% of elementary school teachers.

Teachers in urban schools are also more likely to say that their school had a gun-related lockdown. About a third of these teachers (31%) say this, compared with 19% of teachers in suburban schools and 20% in rural schools.

Do teachers feel their school has prepared them for an active shooter?

About four-in-ten teachers (39%) say their school has done a fair or poor job providing them with the training and resources they need to deal with a potential active shooter.

A smaller share (30%) give their school an excellent or very good rating, and another 30% say their school has done a good job preparing them.

Teachers in urban schools are the least likely to say their school has done an excellent or very good job preparing them for a potential active shooter. About one-in-five (21%) say this, compared with 32% of teachers in suburban schools and 35% in rural schools.

Teachers who have police officers or armed security stationed in their school are more likely than those who don’t to say their school has done an excellent or very good job preparing them for a potential active shooter (36% vs. 22%).

Overall, 56% of teachers say they have police officers or armed security stationed at their school. Majorities in rural schools (64%) and suburban schools (56%) say this, compared with 48% in urban schools.

Only 3% of teachers say teachers and administrators at their school are allowed to carry guns in school. This is slightly more common in school districts where a majority of voters cast ballots for Donald Trump in 2020 than in school districts where a majority of voters cast ballots for Joe Biden (5% vs. 1%).

What strategies do teachers think could help prevent school shootings?

The survey also asked teachers how effective some measures would be at preventing school shootings.

Most teachers (69%) say improving mental health screening and treatment for children and adults would be extremely or very effective.

About half (49%) say having police officers or armed security in schools would be highly effective, while 33% say the same about metal detectors in schools.

Just 13% say allowing teachers and school administrators to carry guns in schools would be extremely or very effective at preventing school shootings. Seven-in-ten teachers say this would be not too or not at all effective.

How teachers’ views differ by party

Republican and Republican-leaning teachers are more likely than Democratic and Democratic-leaning teachers to say each of the following would be highly effective:

  • Having police officers or armed security in schools (69% vs. 37%)
  • Having metal detectors in schools (43% vs. 27%)
  • Allowing teachers and school administrators to carry guns in schools (28% vs. 3%)

And while majorities in both parties say improving mental health screening and treatment would be highly effective at preventing school shootings, Democratic teachers are more likely than Republican teachers to say this (73% vs. 66%).

Parents’ views on school shootings and prevention strategies

In fall 2022, we asked parents a similar set of questions about school shootings.

Roughly a third of parents with K-12 students (32%) said they were extremely or very worried about a shooting ever happening at their child’s school. An additional 37% said they were somewhat worried.

As is the case among teachers, improving mental health screening and treatment was the only strategy most parents (63%) said would be extremely or very effective at preventing school shootings. And allowing teachers and school administrators to carry guns in schools was seen as the least effective – in fact, half of parents said this would be not too or not at all effective. This question was asked of all parents with a child younger than 18, regardless of whether they have a child in K-12 schools.

Like teachers, parents’ views on strategies for preventing school shootings differed by party.

Microsoft Pitched OpenAI’s DALL-E as Battlefield Tool for U.S. Military

Any battlefield use of the software would be a dramatic turnaround for OpenAI, which describes its mission as developing AI that can benefit all of humanity.

Microsoft last year proposed using OpenAI’s mega-popular image generation tool, DALL-E, to help the Department of Defense build software to execute military operations, according to internal presentation materials reviewed by The Intercept. The revelation comes just months after OpenAI silently ended its prohibition against military work.

The Microsoft presentation deck, titled “ Generative AI with DoD Data ,” provides a general breakdown of how the Pentagon can make use of OpenAI’s machine learning tools, including the immensely popular ChatGPT text generator and DALL-E image creator, for tasks ranging from document analysis to machine maintenance. (Microsoft invested $10 billion in the ascendant machine learning startup last year, and the two businesses have become tightly intertwined. In February, The Intercept and other digital news outlets  sued Microsoft and OpenAI  for using their journalism without permission or credit.)

The Microsoft document is drawn from a large cache of materials presented at an October 2023 Department of Defense “AI literacy” training seminar hosted by the U.S. Space Force in Los Angeles. The event included a variety of presentation from machine learning firms, including Microsoft and OpenAI, about what they have to offer the Pentagon.

The publicly accessible files were found on the website of Alethia Labs, a nonprofit consultancy that helps the federal government with technology acquisition, and discovered by journalist Jack Poulson . On Wednesday, Poulson published a broader investigation into the presentation materials. Alethia Labs has worked closely with the Pentagon to help it quickly integrate artificial intelligence tools into its arsenal, and since last year has contracted with the Pentagon’s main AI office. The firm did not respond to a request for comment.

One page of the Microsoft presentation highlights a variety of “common” federal uses for OpenAI, including for defense. One bullet point under “Advanced Computer Vision Training” reads: “Battle Management Systems: Using the DALL-E models to create images to train battle management systems.” Just as it sounds, a battle management system is a command-and-control software suite that provides military leaders with a situational overview of a combat scenario, allowing them to coordinate things like artillery fire, airstrike target identification, and troop movements. The reference to computer vision training suggests artificial images conjured by DALL-E could help Pentagon computers better “see” conditions on the battlefield, a particular boon for finding — and annihilating — targets.

In an emailed statement, Microsoft told The Intercept that while it had pitched the Pentagon on using DALL-E to train its battlefield software, it had not begun doing so. “This is an example of potential use cases that was informed by conversations with customers on the art of the possible with generative AI.” Microsoft, which declined to attribute the remark to anyone at the company, did not explain why a “potential” use case was labeled as a “common” use in its presentation.

OpenAI spokesperson Liz Bourgeous said OpenAI was not involved in the Microsoft pitch and that it had not sold any tools to the Department of Defense. “OpenAI’s policies prohibit the use of our tools to develop or use weapons, injure others or destroy property,” she wrote. “We were not involved in this presentation and have not had conversations with U.S. defense agencies regarding the hypothetical use cases it describes.”

Bourgeous added, “We have no evidence that OpenAI models have been used in this capacity. OpenAI has no partnerships with defense agencies to make use of our API or ChatGPT for such purposes.”

At the time of the presentation, OpenAI’s policies seemingly would have prohibited a military use of DALL-E. Microsoft told The Intercept that if the Pentagon used DALL-E or any other OpenAI tool through a contract with Microsoft, it would be subject to the usage policies of the latter company. Still, any use of OpenAI technology to help the Pentagon more effectively kill and destroy would be a dramatic turnaround for the company, which describes its mission as developing safety-focused artificial intelligence that can benefit all of humanity.

“It’s not possible to build a battle management system in a way that doesn’t, at least indirectly, contribute to civilian harm,” Brianna Rosen, a visiting fellow at Oxford University’s Blavatnik School of Government who focuses on technology ethics.

Rosen, who worked on the National Security Council during the Obama administration, explained that OpenAI’s technologies could just as easily be used to help people as to harm them, and their use for the latter by any government is a political choice. “Unless firms such as OpenAI have written guarantees from governments they will not use the technology to harm civilians — which still probably would not be legally-binding — I fail to see any way in which companies can state with confidence that the technology will not be used (or misused) in ways that have kinetic effects.”

The presentation document provides no further detail about how exactly battlefield management systems could use DALL-E. The reference to training these systems, however, suggests that DALL-E could be to used to furnish the Pentagon with so-called synthetic training data: artificially created scenes that closely resemble germane, real-world imagery. Military software designed to detect enemy targets on the ground, for instance, could be shown a massive quantity of fake aerial images of landing strips or tank columns generated by DALL-E in order to better recognize such targets in the real world.

Even putting aside ethical objections, the efficacy of such an approach is debatable. “It’s known that a model’s accuracy and ability to process data accurately deteriorates every time it is further trained on AI-generated content,” said Heidy Khlaaf, a machine learning safety engineer who previously contracted with OpenAI. “Dall-E images are far from accurate and do not generate images reflective even close to our physical reality, even if they were to be fine-tuned on inputs of Battlefield management system. These generative image models cannot even accurately generate a correct number of limbs or fingers, how can we rely on them to be accurate with respect to a realistic field presence?”

In an interview last month with the Center for Strategic and International Studies, Capt. M. Xavier Lugo of the U.S. Navy envisioned a military application of synthetic data exactly like the kind DALL-E can crank out, suggesting that faked images could be used to train drones to better see and recognize the world beneath them.

Lugo, mission commander of the Pentagon’s generative AI task force and member of the Department of Defense Chief Digital and Artificial Intelligence Office, is listed as a contact at the end of the Microsoft presentation document. The presentation was made by Microsoft employee Nehemiah Kuhns, a “technology specialist” working on the Space Force and Air Force.

The Air Force is currently building the Advanced Battle Management System, its portion of a broader multibillion-dollar Pentagon project called the Joint All-Domain Command and Control, which aims to network together the entire U.S. military for expanded communication across branches, AI-powered data analysis, and, ultimately, an improved capacity to kill. Through JADC2, as the project is known, the Pentagon envisions a near-future in which Air Force drone cameras, Navy warship radar, Army tanks, and Marines on the ground all seamlessly exchange data about the enemy in order to better destroy them.

On April 3, U.S. Central Command revealed it had already begun using elements of JADC2 in the Middle East.

The Department of Defense didn’t answer specific questions about the Microsoft presentation, but spokesperson Tim Gorman told The Intercept that “the [Chief Digital and Artificial Intelligence Office’s] mission is to accelerate the adoption of data, analytics, and AI across DoD. As part of that mission, we lead activities to educate the workforce on data and AI literacy, and how to apply existing and emerging commercial technologies to DoD mission areas.”

While Microsoft has long reaped billions from defense contracts, OpenAI only recently acknowledged it would begin working with the Department of Defense. In response to The Intercept’s January report on OpenAI’s military-industrial about face, the company’s spokesperson Niko Felix said that even under the loosened language, “Our policy does not allow our tools to be used to harm people, develop weapons, for communications surveillance, or to injure others or destroy property.”

“The point is you’re contributing to preparation for warfighting.”

Whether the Pentagon’s use of OpenAI software would entail harm or not might depend on a literal view of how these technologies work, akin to arguments that the company that helps build the gun or trains the shooter is not responsible for where it’s aimed or pulling the trigger. “They may be threading a needle between the use of [generative AI] to create synthetic training data and its use in actual warfighting,” said Lucy Suchman, professor emerita of anthropology of science and technology at Lancaster University. “But that would be a spurious distinction in my view, because the point is you’re contributing to preparation for warfighting.”

Unlike OpenAI, Microsoft has little pretense about forgoing harm in its “responsible AI” document and openly promotes the military use of its machine learning tools .

OpenAI Quietly Deletes Ban on Using ChatGPT for “Military and Warfare”

Following its policy reversal, OpenAI was also quick to emphasize to the public and business press that its collaboration with the military was of a defensive, peaceful nature. In a January interview at Davos responding to The Intercept’s reporting, OpenAI vice president of global affairs Anna Makanju assured panel attendees that the company’s military work was focused on applications like cybersecurity initiatives and veteran suicide prevention, and that the company’s groundbreaking machine learning tools were still forbidden from causing harm or destruction.

Contributing to the development of a battle management system, however, would place OpenAI’s military work far closer to warfare itself. While OpenAI’s claim of avoiding direct harm could be technically true if its software does not directly operate weapons systems, Khlaaf, the machine learning safety engineer, said, its “use in other systems, such as military operation planning or battlefield assessments” would ultimately impact “where weapons are deployed or missions are carried out.”

Indeed, it’s difficult to imagine a battle whose primary purpose isn’t causing bodily harm and property damage. An Air Force press release from March, for example, describes a recent battle management system exercise as delivering “lethality at the speed of data.”

Other materials from the AI literacy seminar series make clear that “harm” is, ultimately, the point. A slide from a welcome presentation given the day before Microsoft’s asks the question, “Why should we care?” The answer: “We have to kill bad guys.” In a nod to the “literacy” aspect of the seminar, the slide adds, “We need to know what we’re talking about… and we don’t yet.”

Parents in some corners of the country are concerned by the spike. experts say they aren't worried and the numbers are largely consistent with trends over the past decade..

As students returned to college campuses across the United States, so did campus crime, data shows, alarming some parents so much that they hired their own security force.

They raised more than $40,000 to hire private security at the University of California, Berkeley – much to the chagrin of campus administrators.

Half a dozen unarmed guards patrolled the campus for more than two weeks in March, according to Sagar Jethani, a father of two Berkeley sophomores involved in the effort. A month after Jethani dropped off his kids for their freshman year in October 2022, there was a fatal shooting near their dorm .

“This was a real rude awakening,” he told USA TODAY.

Jethani and other parents were concerned that crime across the city of Berkeley seemed on the rise. A February shooting scared some parents , too. No one was injured and a suspect was reportedly taken into custody. 

Hiring private security officers didn't sit well with Berkeley administrators. In a statement to USA TODAY, spokesperson Janet Gilmore said money intended to keep Berkeley students safe would best be spent supporting the school’s police force. 

“Hiring private security raises a number of concerns, including the training and experience of individuals hired by such firms,” Gilmore said.

Campus crime rebounds to pre-pandemic levels

The number of crimes reported by college campuses across the country rebounded to pre-pandemic levels in 2022, government data shows. 

Crime reported from nearly 6,000 institutions rose about 8% from 2019, even though enrollments dipped during that timeframe. The jump in offenses between 2019 and 2022 coincided with students’ post-pandemic return en masse to campuses. Compared with year-over-year changes before 2019, the recent spike represents the largest increase since post-secondary institutions that receive federal funding began reporting campus safety statistics.

Experts see little reason to worry and say the numbers are largely consistent with what colleges have been experiencing since 2013, according to S. Daniel Carter, president of the consulting firm Safety Advisors for Educational Campuses.

Following a steady decline starting around 2006, the number of crimes reported by colleges and universities remained pretty stagnant over the last decade, according to government data. Yet when foot traffic on and around campuses diminished in 2020 after classes went online during the pandemic, crime dropped precipitously in 2020. In the years since it has inched up again.

The recent increase was mostly driven by a surge in reported motor vehicle theft, which more than doubled from 2019 and accounted for more than a quarter of offenses in 2022. Carter was skeptical of that spike, saying it could be traced to schools changing their reporting requirements to comply with federal law. 

“There has been some work done to increase awareness that scooters and golf carts are motor vehicles – that could be a factor,” he said.

Government data is not yet available for 2023, so these numbers don’t account for the turmoil on college campuses in the wake of the Israel-Hamas war. Recent surveys show many Muslim and Jewish students reported feeling unsafe on campus since the Oct. 7 attacks, which prompted massive campus clashes and protests, as well as spikes in Islamophobic and antisemitic incidents . 

The reported numbers from 2022 include offenses that occurred on and off campus, including on university properties located elsewhere; offenses that occurred on public property adjacent to campuses, and a small number of offenses reported to institutions by local police.

Renewed push to encourage students to report crimes

Colleges and universities that receive federal funding must compile statistics about crimes that occur on or near campus under the Clery Act . The federal law, passed in 1990, was named after 20-year-old Jeanne Clery, a student whose rape and murder at her dorm at Lehigh University drew national attention. 

The tension colleges contend with in simultaneously trying to encourage students to report crimes and keep numbers down was on full display during a recent scandal at Liberty University, a private Evangelical university in Virginia.

The federal government concluded last year that the school created a culture of dissuading victims of sexual assault from reporting what happened to them, according to a preliminary report obtained by USA TODAY . Then, in March, the Education Department slapped the school with a $14 million fine and ordered officials to pay another $2 million for “on-campus safety improvements and compliance enhancements.” In a written statement in March, Dondi E. Costin, Liberty’s president, said the school sincerely regretted the errors. 

The scandal shed light on the consequences schools face if they don’t fully comply with the law, said Abigail Boyer, the associate executive director of the Clery Center, which tracks campus safety trends. 

“Ultimately, we want campuses to create a culture in which students are comfortable about reporting,” she said. 

Clery Act figures are self-reported, and the Department of Education doesn’t verify them independently. However, the agency conducts periodic reviews of Clery Act compliance. Over the past 15 years, the agency has evaluated at least 110 universities. Dozens of those cases have led to fines.

Do stolen scooters and e-bikes explain the apparent crime spike?

The Clery Act requires schools to report “motor vehicle thefts," but the statute doesn’t only include cars – scooters, electric bicycles and golf carts fall into the same category. 

Several schools said the spike in crime on or near their campuses in 2022 could be attributed to their revised reporting of scooter, electric bike and golf cart theft. In 2022, Grand Canyon University in Arizona began classifying thefts of skateboards, scooters and bikes under the umbrella of "motor vehicle theft." 

Spokesperson Bob Romantic said the “overwhelming majority” of the school's additional criminal offenses in 2022 were due to that change.

“Beyond that,” he said, “we saw slight increases in some other offenses due mostly to the rapid growth of our campus population, increased crime in the Phoenix area, and the fact that we were still coming out of COVID.” 

David Kelly, spokesperson for the University of Colorado, Denver-Anschutz Medical, said the school has taken steps to combat a spike in motor vehicle thefts, installing more security cameras and deploying officers to monitor parking lots and garages. 

It could be that there are more of these vehicles on campuses as well, according to Bethanie Glover, a spokesperson for the University of Virginia.

“The presence of motor scooters on (grounds) and across the country has increased dramatically, and reports of theft have increased along with them,” she said.
